With the introduction of the Send Recurring Invoice Action, you can now seamlessly automate the sending of recurring invoices as part of any workflow. If you're managing ongoing billing cycles, this feature allows you to place your invoicing on autopilot, saving time and reducing manual tasks.

Key Features:

  • Flexible Start Options: Choose between an Action Date or a Fixed Date to start the invoicing.
  • Stop Rules: Decide whether to never stop billing or to stop after a specified number of occurrences.
  • Frequencies: Set the billing recurrence to Daily, Weekly, Monthly, or Yearly.
  • Optional Auto-Pay: Automatically charge customer cards for consistent, hassle-free payments.

How to Use

Prerequisites

Before you start using the feature, ensure that:

  1. At least one invoice template is created under Invoices.
  2. A payment gateway like Stripe or PayPal is configured.

Steps to Implement

  1. Add the Action: In the Workflow Builder, click on the "+" to add a new action.

  2. Search and Select: Look for and select "Send Recurring Invoice."

  3. Basic Settings:

    • Rename Action: For example, "Monthly Plan – Silver."
    • Choose From User: Select who is sending the invoice.
    • Select Invoice Template: Pick your pre-created invoice template.

    • Mode Toggle: Switch between Live or Test Mode.
    • Set Start Date:
      • Action Date: Begins from the contact's entry point, such as a form submission.
      • Fixed Date: Begins from a pre-determined calendar date like July 1st.

  4. Define End Criteria:

    • Never: Continues billing until manually stopped.
    • After X Occurrences: Specify the number of iterations, like 12 monthly invoices.

  5. Choose Recurrence Frequency:

    • Daily: Every X days.
    • Weekly: On a set weekday or action date.
    • Monthly: By date or specific week (e.g., 2nd Wednesday).
    • Yearly: Annually.

  6. Enable Auto-Pay (Optional): Turn on if you want to auto-charge the saved card post the first successful payment.

  7. Test & Go Live: Save and test the setup using "Test Workflow," then publish.

Why We Built This

Recurring billing is critical for businesses such as agencies, membership platforms, course providers, and SaaS services. Previously, automating this process involved workarounds, but now this native integration streamlines recurring invoices directly within workflows, increasing efficiency and ensuring nothing falls through the cracks.
