Dynamic Field Assignment to Sender: Streamlining Document Management for Multi-Membered Teams
SMBcrm is excited to unveil a new feature in our Documents & Contracts templates that will simplify your document management process: dynamic field assignment to the sender. This release caters specifically to teams, making it easier for different crew members to handle signature fields seamlessly when sending documents.
What’s New?
- Assign to Sender Option: Now, you can choose the “Assign to Sender” option in your document templates.
- Flexible Templates: Instead of selecting a specific name when creating a template, users can now assign signature fields to the “Sender.”
- Automatic Assignment: When a crew member sends a document using a template, the signature fields are automatically assigned to them.
How to Use This Feature
- Select Fields: In your template, select any field, such as a Signature field, that the document sender needs to sign.
- Assign to Sender: Under Properties, select the Sender as the signer.
- Save Changes: Click Save to apply these settings.
- Using the Template: When a crew member uses the template, they will be recognized as the Sender, and the signature fields will be automatically assigned to them.
Important Consideration
- Workflow Note: In workflows, even if you assign a field to “Sender,” it will remain tied to the business user who created the document. Workflows are triggered by contacts, which might not correspond to a specific sender.
Why We Built This Feature
Previously, each crew member had to manually assign the business owner’s signature fields when using shared templates, which led to unnecessary delays and potential errors. With this enhancement, we’ve eliminated that step, making it efficient for users to send documents without needing to modify existing fields.
