Announcing: Team Member Assignment (Round Robin Calendar)
We're excited to share our latest feature update that enhances calendar scheduling and team member assignments. Introducing the ability to configure team member assignments for appointments in a round-robin calendar. With this new feature, you can specify reschedule preferences and new appointment preferences, providing greater control and flexibility.
What's New?
Previously, any rescheduled or new appointment would always assign a team member through round-robin scheduling. Now, you have the flexibility to choose how the team member should be assigned. This means you can either continue using the round-robin method or select a specific team member.
Reschedule Preference
When a contact reschedules an appointment using the booking widget, you now have two options:
- Reassign through round-robin scheduling: Keep using the round-robin method to assign a team member.
- Keep the same appointment owner: Ensure that the same team member is assigned to the rescheduled appointment.
- Book new appointments with the contact's assigned user: Instead of using round-robin scheduling, you can now book new appointments with the contact's specifically assigned user. This ensures consistency and fosters stronger client relationships.
- Reorder the form in the booking widget: To schedule new appointments with the contact's assigned user, the form must be placed first in the booking widget order. You can reorder the widget from the Forms & Payments tab.
How to Use?
To access these settings in any Round Robin Calendar:
- Navigate to Meeting Details > Team Members > Advanced Settings.
- Choose your preference for new appointments and rescheduled appointments.
Recommendations:
- Turn off 'Allow Staff Selection': This prevents bookers from changing the staff member on the booking widget, ensuring your preferred assignment settings are maintained.
- Confirm Your Settings: Check your 'Assigned User' settings from Notifications & Additional Options to ensure everything is configured correctly.
- Ensure Consistent Settings: Maintain consistent settings across all your calendars to prevent any conflicts in updating the contact's assigned user.
These changes give you more control over how your appointments are managed and improve the efficiency of your team scheduling processes.
