Overview

May 2026 brought 73 updates to SMBcrm, with focus on Automation, AI, and Communication.

Highlights include AI Data Extract Action Added to Workflows, Visual Edits in AI Studio, and AI Builder for Workflows Gets a Major Upgrade.

AI Agent Adds Call Transcript Context and Feedback Logs

Released May 1, 2026

SMBcrm has improved the AI Agent action with built-in call transcript context, structured feedback in execution logs, and additional stability fixes for a more reliable experience.

What changed

Call transcript context for AI Agent actions

The AI Agent action now includes a built-in Call Transcript tool that gives the agent access to a contact’s call history. No setup is required.

To use it, reference call transcripts in the agent prompt, such as: “Use this contact’s call transcripts to summarize their concerns.” The agent retrieves and uses the transcripts automatically.

This builds on the previously released conversation history tool. The agent can now use both past chat conversations and call transcripts, giving SMBcrm AI features more context from customer interactions.

Feedback from execution logs

You can now submit structured feedback on each AI Agent run directly from execution logs. Use the feedback flow to flag what went wrong, note what worked well, and provide specifics for individual runs.

Feedback is used to improve the AI Agent’s accuracy, evaluation quality, and goal alignment over time.

Stability improvements

Several bugs across the AI Agent action were resolved to improve reliability and the overall experience in SMBcrm automation workflows.

Why it matters

Call transcript context helps the AI Agent make decisions and responses based on a fuller view of each contact interaction, including voice conversations as well as chat history and contact fields.

The feedback flow also gives teams a direct way to share run-level input, helping close the gap between what the agent did and what was expected.

AI Builder for Workflows Gets a Major Upgrade

Released May 1, 2026

SMBcrm has rebuilt the AI Builder in workflows as a streaming, context-aware copilot for creating, editing, and learning about workflows. The update improves transparency, session continuity, and multi-step requests inside automation workflows while connecting naturally with broader AI features.

What changed

Live streaming progress

Builds, edits, and questions now stream results in real time. A step-by-step progress card shows when the AI is asking clarifying questions, searching for actions and triggers, creating the schema, placing it into the workflow, or validating the result.

Multiple edits in one request

You can ask for several workflow changes in a single message, such as renaming a workflow step, adding a 24-hour wait, and turning off re-entry. The AI can process those changes together instead of requiring separate prompts.

Session memory and continuity

The AI keeps the current session context, so follow-up instructions like changing a wait from 24 hours to 48 hours can refer back to the previous request. If you close the sidebar and reopen it, the chat history and progress remain available.

Smarter workflow canvas behavior

When you start a build from a canvas that already contains a workflow, the AI asks whether you want to start fresh or edit the existing workflow. This removes the need to manually create a separate workflow just to begin a new AI-assisted build.

Context-aware suggestions

The AI sidebar now adapts to the workflow state. A blank canvas shows build-from-scratch prompts, an existing workflow shows Make it and Fix it suggestions based on the current flow, and Chat Mode surfaces knowledge prompts.

Chat to Build handoff

When you ask a build-related question in Chat Mode, a Continue in Build Mode button appears. Selecting it switches modes and auto-submits the request.

Learn Mode 2.0

Learn Mode responses stream in real time and include related follow-up questions at the end of each answer, supported by a dedicated knowledge base search tool.

Brand-neutral AI output

The AI is designed not to reference the platform by name in generated output, reducing cleanup for teams that expose the builder to end users.

Why it matters

This update makes Workflow AI Builder interactions easier to follow and reduces the need for repeated prompts. The rebuilt architecture also supports future workflow AI capabilities without requiring the pipeline to be rewritten.

Badges Get a Dedicated Tab in the Client Portal

Released May 1, 2026

Badges are now easier to find and manage in the Client Portal. They have been moved into a dedicated tab, giving them clearer visibility alongside certificates.

What Changed

  • Dedicated badges tab: Badges now appear as their own section in the Client Portal.
  • All badges in one view: Users can see issued badges in a clean, organized layout.
  • Download and share: Badges can be downloaded and shared, similar to certificates.

Why It Matters

This update makes badges easier to access and use. For businesses using Memberships & Education, it also helps give learner achievements more visibility and makes them easier to showcase.

Conversation AI Adds Separate Bot Sleep Controls

Released May 1, 2026

SMBcrm has added more granular controls for how Conversation AI pauses when outbound messages are sent. The previous bot sleep setting has been split into two independent options: manual messages and workflow messages.

This gives teams more precise control over communication and automation workflows without changing existing behavior by default.

What Changed

Users can now configure bot sleep behavior separately for:

  • Manual messages sent directly by a user
  • Workflow messages sent through automations

This makes it possible to pause the bot only for manual interactions, only for automated messages, or for both message types.

How It Works

Existing Behavior Stays the Same

If no changes are made, Conversation AI continues to follow the previously configured sleep behavior. Existing automations and manual interactions remain unaffected.

Separate Controls for Manual and Automated Messages

Teams can now choose whether manual replies, workflow messages, or both should send the bot to sleep. This helps support hybrid communication strategies where people and automations both participate in the same conversation.

Reactivation Still Works as Before

The existing “Reactivate bot after” setting continues to apply regardless of whether the bot was paused by a manual message or a workflow message.

Why It Matters

Separate bot sleep controls help prevent unnecessary pauses during automated workflows while still allowing manual interventions to pause Conversation AI when needed. The result is more predictable bot behavior and better continuity across mixed manual and automated conversations.

This is an enhancement to existing functionality. Current behavior remains unchanged unless users update the new settings.

Dashboards Replace Insights in the SMBcrm Mobile App

Released May 1, 2026

SMBcrm is replacing Insights with Dashboards in the SMBcrm Mobile app, bringing the web dashboard experience to mobile as part of the current mobile release cycle.

Instead of a reduced mobile reporting view, users can access the dashboards they already use on the web, including pipeline, deals, conversions, campaigns, team activity, and related reporting data.

What changed

The previous Insights experience covered only part of the reporting experience available on web. With this update, Dashboards on mobile supports the full set of dashboards users have built on web, with real-time data that matches what teams see from their desktop.

When users open Dashboards, their default dashboard loads automatically. From there, they can:

  • Switch between dashboards
  • Apply quick filters and date ranges
  • View supported chart widgets, including Numeric, Line, Donut, Vertical Bar, and Horizontal Bar
  • Expand widgets for a closer look
  • Interact with charts by tapping or dragging across data points
  • Use widget-level AI insights for a plain-English read on the data

Why it matters

This update gives users a more complete reporting view when they are away from their desk. Teams can check deal status, pipeline value, conversions, campaign performance, and trends from mobile without relying on a separate or limited reporting module.

The mobile experience is also designed for phone use, with expanded widget views, touch interactions, and layouts intended to make charts easier to read on smaller screens.

How to get started

Mobile Dashboards is currently available in Labs. To turn it on:

  1. Open the SMBcrm Mobile app and go to Labs.
  2. Find Mobile Dashboards and toggle it on.
  3. Open the Apps section and tap Dashboards.
  4. Use the dashboard switcher, filters, expanded widget views, and AI icon as needed.

The source release notes that this is a phased public rollout and that general access is expected in about 14 days.

Campaigns now has a dedicated module

Campaign data previously lived inside Insights. With this update, Campaigns has its own dedicated module so users can track campaign status in one focused place.

Availability and limits

  • Release cycle: Current mobile release cycle
  • Version: 4.14.1
  • Status: Phased public rollout, currently in Labs
  • Supported widgets: Numeric, Line, Donut, Vertical Bar, Horizontal Bar, and supported system widgets
  • Included: Dashboard switcher, default dashboard loading, quick filters, date filters, expanded widget views, theme support, and analytics events
  • Current limits: View-only access. Dashboard and widget editing from mobile are not included in this release.
  • Not included: Dashboard-level AI summaries
  • Unsupported widgets: Show a placeholder message instead of failing silently

Planned follow-up improvements

The source release also notes planned work for:

  • A configurable homepage carousel widget for selected graphs
  • Broader widget support beyond the current Phase 1 set
  • Richer AI workflows at the widget and dashboard level
  • Cross-dashboard analysis
  • Continued performance and readability tuning for high-density dashboard data

Social Planner CSV Uploads Now Support Video Thumbnails

Released May 1, 2026

Social Planner CSV and XLSX uploads now support custom thumbnails for video posts. This gives teams more control over how bulk-scheduled videos appear before viewers click.

What Changed

You can now add a thumbnailUrl field to your CSV or XLSX file. When the file is uploaded, SMBcrm automatically applies that thumbnail to the first video in the post.

Updated sample CSV and XLSX templates now include the thumbnailUrl field so users can start with the correct format.

How to Use Video Thumbnails in CSV Posts

  1. Go to Marketing > Social Planner > Create Post > CSV Post.
  2. Download the latest CSV or XLSX template.
  3. Add your image link in the thumbnailUrl column.
  4. Upload your file as usual in Social Planner.
  5. Your video post will automatically use the provided thumbnail.

Why It Matters

Custom thumbnails can help teams:

  • Present video posts with more consistent visuals
  • Maintain brand consistency across bulk uploads
  • Save time by managing thumbnails during scheduling
  • Improve the visual quality of video content at scale

Notes

  • The thumbnail applies only to the first video in a post.
  • Multiple video thumbnails are not supported.
  • Behavior may vary across different social platforms.

New Marketing Templates for Websites, Emails, Forms, and Ads

Released May 2, 2026

SMBcrm has added new customizable templates to help teams build marketing assets faster across websites and funnels, email, forms, and ad campaigns.

These templates are designed to provide professional starting points while still allowing teams to adjust content, design, and messaging for their audience.

What Was Added

The latest template additions include:

  • 1 website template in the Creative category
  • 1 email template in the Restaurant and Bar category
  • 1 form template in the Beauty and Fashion category
  • 5 Facebook ad templates across Restaurant and Bar, Travel and Hospitality, Automotive, Real Estate, and Beauty and Fashion
  • 5 Google ad templates across Beauty and Fashion, Automotive, Travel and Hospitality, Restaurant and Bar, and Real Estate
  • 5 LinkedIn ad templates across Marketing Agency, Real Estate, Creative, Finance, and Insurance

Why It Matters

Templates can reduce setup time when creating marketing assets, especially when teams need a structured starting point for a specific industry or campaign type.

Use these additions when building a website, preparing an email campaign, creating a form, or launching ad creative that needs to be customized for a specific business or audience.

Embedded Voice AI Widgets Add Inline Placement Controls

Released May 4, 2026

SMBcrm now gives website teams more control over how Voice AI widgets appear on a page. The Style tab includes placement and display options for sticky corner widgets or embedded inline experiences.

This update gives teams more flexibility across website and landing page voice interactions in SMBcrm communication and AI features.

What changed

  • Widget Placement is available at the top of the Style tab:
    • Sticky keeps the widget floating in a page corner and remains the default option.
    • Embedded/Inline renders the Voice AI widget inside website content.
  • Embedded widgets include Display Mode options:
    • Avatar for a static visual representation.
    • Visualizer for dynamic voice-based visual cues.
  • Visualizer mode includes Interface Size options: Small, Medium, and Large.
  • Preview updates reflect placement and display selections in real time.
  • Inline widgets can show a CTA below the avatar or visualizer, such as “Call us here.”

How to configure it

  1. Go to Sites > Chat Widget > Style tab.
  2. Choose Widget Placement: Sticky or Embedded/Inline.
  3. For Embedded/Inline placement, choose Display Mode: Avatar or Visualizer.
  4. If Visualizer is selected, choose an Interface Size.
  5. Customize the remaining available styling options.
  6. Select Get Code.
    • Sticky uses a floating script.
    • Embedded/Inline uses an inline embed snippet, such as a div or iframe.
  7. Paste the code into the website location where the widget should appear.

Why it matters

Embedded Voice AI widgets let teams place voice interactions directly inside page layouts instead of relying only on floating widgets. This can help align the widget with landing pages, funnels, and content-driven site sections.

The visualizer display option also gives visitors a more interactive voice experience while preserving layout control.

Notes

  • Some customization options, including widget position and contact form toggle, are disabled in Embedded/Inline mode for Voice AI widgets.
  • Display mode variations are currently optimized for Voice AI experiences.
  • Multiple embedded widgets can be used across the same site.

AI Studio Deleted Projects Are Now Marked Inactive

Released May 5, 2026

Deleted projects in AI Studio now behave more predictably after removal. Previously, deleting a project did not take down its preview or published URLs, which meant pages could remain accessible.

With this update, deleted projects are automatically marked as inactive, along with their associated pages.

What changed

When a project is deleted in SMBcrm AI Features, the following are now marked inactive:

  • Preview URLs
  • Domains
  • Published URLs

This helps ensure removed AI Studio project pages are no longer left active after deletion.

Custom Metrics Add Filters, Meta Ads, and Google Analytics

Released May 5, 2026

SMBcrm custom metrics now give teams more control over how dashboard KPIs are calculated. You can add filters to individual metrics inside a formula, use Meta Ads and Google Analytics as data sources, and build formulas in a full-page builder instead of a modal.

What Changed

  • Add filters to individual custom metrics in a formula, such as contact tag, pipeline, owner, agent, and more.
  • Use Meta Ads as a data source, including Spend, Impressions, CTR, CPC, CPM, Conversions, and Reach.
  • Use Google Analytics as a data source and combine GA data with CRM metrics in one formula.
  • Build custom metrics in a full-page builder instead of a modal.

How It Works

  1. Go to your Dashboard and open or create a Custom Metric.
  2. In the formula builder, click any metric token to add filters.
  3. Set filter conditions, such as Tag = Customer, Pipeline = Sales, or Owner = a specific rep.
  4. To use Meta Ads or Google Analytics data, select the source from the metric picker under its category.
  5. Combine metrics with the formula builder, such as Sum of Spend / Count of Opportunities, then save.

Why It Matters

This update makes it easier to build segmented KPIs directly inside SMBcrm. For example, teams can track win rate by sales rep, conversion rate by lead source, or contact metrics filtered by tags like Customer or VIP.

It also helps connect marketing and CRM performance in one place. You can combine Meta Ads or Google Analytics data with pipeline metrics to calculate KPIs such as cost per lead or cost per opportunity.

Notes

  • Filters support multiple conditions using AND logic per metric token.
  • This update is available to all accounts with no plan restriction noted in the release.

Google Lead Form Attribution Now Uses Paid Search

Released May 5, 2026

Google Lead Form submissions in SMBcrm now record the correct session source as Paid Search instead of being stored as Paid Social.

This update improves attribution accuracy for teams using Google Ads Lead Forms as part of their lead capture process.

What Changed

Google Lead Form submissions now include:

  • Correct session source attribution as Paid Search
  • Campaign, ad group, and ad details from the originating Google Ads entity
  • A dedicated contact activity called Google Lead Form Submission
  • Activity details that include campaign, ad group, ad, and form name

How It Works

When a prospect submits a Google Lead Form, SMBcrm creates or updates the contact automatically.

In the contact record:

  • The Activity panel shows the session source as Paid Search
  • Campaign, ad group, and ad details are populated from Google Ads
  • The activity timeline includes a Google Lead Form Submission entry
  • The activity snippet shows the campaign, ad group, ad, and form name

Why It Matters

This update helps improve reporting and follow-up workflows by making Google Lead Form data easier to identify and use.

Key benefits include:

  • More accurate paid-channel reporting because Google Lead Form leads are no longer categorized as Paid Social
  • Better campaign visibility with campaign, ad group, ad, and form details on each lead
  • Cleaner contact timelines with a dedicated activity type for Google Lead Form submissions
  • More precise workflow branching based on the new activity type

Notes

  • This applies to new submissions going forward.
  • Historical contacts keep their original attribution.
  • No setup changes are required.
  • The corrected attribution and new activity apply automatically wherever Google Ads Lead Form integrations are supported.

Blocked Slots for Rental Listings

Released May 6, 2026

SMBcrm now lets you create blocked slots for rental listings. A blocked slot reduces availability like a booking, but it is not tied to a customer or order.

This gives teams more control over rental inventory and helps keep availability accurate across calendar and booking flows, including rental operations connected to Reputation & Growth workflows.

What Changed

You can now:

  • Create blocked slots for rental listings
  • Reduce listing availability without creating a customer booking
  • Optionally block specific variants and quantities, when enabled
  • View, edit, and delete blocked slots from the Calendar View
  • See blocked slots clearly on the calendar with relevant details

How It Works

When creating a new booking, set the event type to Blocked slot. Then select the listing, date and time range, and optional variant and quantity if those settings apply.

Once the blocked slot is created, the selected listing becomes unavailable for that time period and availability is updated across booking flows.

You can also open the blocked slot later to view details, edit it using the same form, or delete it to release availability.

Why It Matters

Blocked slots help teams manage rental inventory beyond customer bookings. They are useful for real-world scenarios such as maintenance, internal use, holds, or offline commitments.

By reserving inventory directly on the calendar, teams can reduce scheduling conflicts and keep booking availability more accurate.

Dynamic Me Filter and Contact Notes in Opportunities

Released May 6, 2026

Two Opportunities updates are rolling out in SMBcrm to make personal pipeline views easier to manage and give users more context at a glance.

What Changed

Dynamic me filter for Owner and Follower

SMBcrm now includes a dynamic me option in Owner and Follower filters. It is available in both Advanced Filters and Smart Tags, and it automatically resolves to the logged-in viewer.

To use the dynamic me filter:

  1. Open Opportunities.
  2. Open Advanced Filters or the Smart Tag editor.
  3. Add a filter on Owner or Follower.
  4. In the value dropdown, select me.
  5. Save it as a Smart Tag to reuse across sessions or share with the team.

When a Smart Tag using me is shared, each viewer sees only their own opportunities.

Primary contact notes in List view

You can now add Primary Contact Notes as a column in the Opportunities List view. The column shows all notes from each opportunity’s primary contact and behaves like other list view columns. It can be sorted, resized, and included in saved views.

To add the column:

  1. Open Opportunities in List view.
  2. Open Customize Columns.
  3. Toggle on Primary Contact Notes.

Why It Matters

These updates make CRM and sales workflows easier to manage. The dynamic me filter reduces the need to create separate filter views for each user, while the notes column helps reps scan important contact context before calls and during daily pipeline review.

Quiz Results Page Styling and Builder Improvements

Released May 6, 2026

SMBcrm has improved the Quiz Results Page builder with more styling controls, clearer category guidance, and easier navigation while editing quiz results pages.

What Changed

You can now:

  • Adjust the results page width to better fit your layout
  • Add a background color or background image to the results page
  • Select or add a section and have the preview automatically scroll to that section
  • See a clearer empty state when no quiz categories have been created
  • Use the “How Scoring Works” guidance while building results pages
  • Edit quiz results pages with a smoother builder flow

How to Access

Open the Quiz Builder, then go to the Results Page or Edit Result Template area. From there, you can update styling, manage categories, and customize the layout and sections.

Why It Matters

These updates give you more control over how quiz results pages look and make it easier to build branded quiz experiences. The clearer empty state helps reduce confusion when categories are missing, and automatic preview scrolling makes longer results pages faster to edit.

Bluesky Comment Management Added to Social Planner

Released May 7, 2026

SMBcrm Social Planner now supports Bluesky comment management, so you can view and reply to Bluesky comments alongside other social channels.

With this update, users can view and reply to comments on Bluesky posts directly from Social Planner without opening the native Bluesky platform.

What Changed

  • Reply to Bluesky comments directly from Social Planner
  • Add emojis alongside text replies
  • Follow conversation context with threaded replies up to 3 levels deep
  • Automatically sync comments for recent Bluesky posts

How to Use It

  1. Go to Marketing > Social Planner > Comments.
  2. Open the Comments tab.
  3. Select your Bluesky account.
  4. View and reply to comments directly.

Why It Matters

This update helps teams manage Bluesky engagement without switching platforms. It also supports faster responses and more consistent communication across connected social channels.

Notes and Limits

  • Replies have a 300-character limit.
  • Only text and emojis are supported.
  • Media attachments are not supported.
  • Profile tagging is not supported.
  • Replies are visible up to 3 levels deep.
  • Full threads are stored internally.
  • Comments sync for the last 15 posts only.
  • Sync runs every 6 hours.

Schema Markup Adds 7 More Supported Types

Released May 7, 2026

SMBcrm now supports 7 additional schema types in the manual schema markup flow, expanding parent-level support from 12 to 19 types.

Users will see the added options in the existing Add Schema Markup or Edit Schema Markup popup. No workflow changes are required.

Added Schema Types

The manual schema markup flow now supports:

  • Offer
  • Review
  • Aggregate Rating
  • Recipe
  • ImageObject
  • Service
  • Course

This applies to the manual flow only. The AI-assisted flow already supports all Schema.org types.

Supported Areas

The expanded schema type support applies to:

  • Website pages
  • Funnel pages

How It Works

  1. Click Add Schema or Edit Schema Markup.
  2. Select a schema type from the dropdown by searching or scrolling.
  3. Fill in the fields using Form view, or paste JSON-LD using JSON view.
  4. Click Validate & Save.

Existing schema markups are unaffected. The additional types simply appear as new dropdown options.

Why It Matters

Businesses in categories such as e-commerce, food, education, and services can now add more category-specific structured data to website and funnel pages. This can help improve rich result eligibility on Google.

More precise schema markup can also help large language models better understand and cite business content, increasing the chance that content is referenced in AI-generated responses.

Visual Edits in AI Studio

Released May 7, 2026

Visual Edits is a new in-canvas editing mode in SMBcrm AI Studio. It lets you change how your site looks by selecting elements directly in the live preview, including colors, fonts, spacing, images, icons, and text.

For teams using SMBcrm’s AI features, this gives you a faster way to make precise visual updates without describing every change in a prompt.

What Changed

Click to select

Click any element in the preview to open the Visual Edits panel. The available controls adapt based on what you select, such as text, buttons, images, icons, or layout elements.

Edit text inline

Double-click any text element to edit it directly in the preview. Press Escape or click outside the element when you are done.

Swap icons faster

Click any Lucide icon to open a searchable library of more than 1,600 icons. Choose a replacement and it swaps instantly without a reload.

Use live color controls

Your project’s theme colors appear alongside the full Tailwind palette. Click a color swatch to apply it to the selected element.

Adjust spacing and layout

Margin and padding controls are shown side by side, with a toggle to link or unlink all four sides. For images, a Layout dropdown lets you choose Fill, Contain, Cover, or Scale down.

Resize icons

Select a Lucide icon to adjust width and height. Values can snap to Tailwind classes or use custom sizes.

Apply changes across multiple elements

Select multiple elements at once and describe the change you want across all of them in a single prompt. This is useful for applying consistent styling or coordinated updates across several components.

Direct Edits Do Not Use AI Model Calls

Color changes, spacing tweaks, icon swaps, and inline text edits apply instantly without calling the AI model. These direct edits do not count against token usage. The AI model is only used when you explicitly send a prompt.

Save or Discard Changes

Changes are previewed live. Select Save to apply them to your code, or Discard to throw them away.

What You Can Edit

  • Any element: colors, spacing, border, shadow, border radius, opacity, and typography
  • Text: inline content
  • Buttons and inputs: type and aria label
  • Links: URL, target, and rel
  • Images: source, alt text, and object-fit
  • Lucide icons: icon selection and sizing
  • Textareas: placeholder, name, and rows

AI Builder Supports Full If/Else Workflow Edits

Released May 8, 2026

SMBcrm AI Builder now supports more complete editing for If/Else logic in workflows. Users can add, remove, and update branches, segments, conditions, operators, and values directly through the builder.

What Changed

In workflow automation, AI Builder can now handle more detailed If/Else updates, including:

  • Multi-level edits at the branch, segment, and condition level
  • Compound edits in a single request, such as adding a condition and changing an operator together
  • Clarification prompts when requests are ambiguous on complex If/Else nodes
  • Improved edit type and target identification to reduce misclassification issues

Why It Matters

These improvements make it easier to refine conditional workflow logic without breaking the editing flow. For teams using AI features to adjust automations, the builder can better understand what needs to change and ask for clarification when a request is not specific enough.

Array Formatter Is Free with a Clearer Workflow UI

Released May 8, 2026

Array Formatter is now free to use in SMBcrm workflows. It runs as a standard execution billed at $0, and the previous premium action badge and banners have been removed.

Workflow behavior remains unchanged. The update focuses on making array formatting easier to understand and more predictable when building automations.

What Changed

  • Array Functions has been renamed to Array Formatter.
  • Array Formatter is billed at $0 as a standard workflow execution.
  • The premium action badge and related banners have been removed.
  • Action type options now include descriptions, muted icons, return types, and output previews.

How It Works

Use Array Formatter after a webhook or any workflow step that outputs an array. The improved action dropdown helps clarify what each option does before you save the step.

You can review the expected return type and output preview so it is easier to understand what the action will produce.

Why It Matters

This update makes array formatting clearer while removing the added cost from Array Formatter executions. It is especially useful when working with webhook data or other workflow steps that return arrays.

Cal.com Workflow Triggers and Actions

Released May 8, 2026

SMBcrm now connects Cal.com booking events with Workflow Builder, so scheduling activity can start automations and workflows can manage bookings directly.

Use this update when you want booking changes to drive follow-up, CRM updates, reminders, or rescheduling steps inside SMBcrm automation.

What Changed

The Cal.com integration includes two parts:

  • Instant workflow triggers for booking lifecycle events
  • Premium workflow actions for common booking operations

Triggers are webhook-backed and typically fire within 1 to 3 seconds of the booking event. Actions let workflows create, cancel, reschedule, or find bookings without using separate webhook plumbing or third-party tools.

All Cal.com triggers and actions are marked as premium, so premium action credits apply at the standard automation rate.

Supported Triggers

The integration supports these Cal.com workflow triggers:

  • Booking Created
  • Booking Rescheduled
  • Booking Cancelled
  • Meeting Ended
  • Out of Office Created or Updated

Each trigger returns booking data that can be used in downstream workflow steps, including fields such as booker URL, title, start time, end time, notes, event type ID, attendees, and organizer.

Supported Actions

The integration also supports four workflow actions:

  • Create Booking
  • Cancel Booking
  • Reschedule Booking
  • Find Booking

Create Booking requires the event type, attendee name, attendee email, and start time. Cancel Booking can include an optional cancellation reason. Reschedule Booking moves an existing booking to a new start time, and Find Booking can look up bookings by ID, attendee email, or filter.

Setup and Testing Notes

Before a Cal.com trigger or action can run, connect the integration from either:

  • Automation > Workflows, by adding a Cal.com trigger or action and selecting Connect Now
  • Settings > Integrations, by finding Cal.com and selecting Connect

When testing a trigger, use Find New Records and select a recent booking as the mapping reference. This locks the payload schema so later workflow steps can map fields consistently.

For Create Booking, workflow variables can be used in fields such as attendee name, attendee email, and start time. For example, use {{contact.full_name}} for the attendee name and {{contact.email}} for the attendee email.

If you are booking on behalf of leads in different regions, provide the attendee timezone in IANA format, such as America/New_York or Europe/London. If the timezone is not supplied, Cal.com falls back to the account timezone.

Practical Use Cases

Common ways to use the Cal.com integration include:

  • Create or update a CRM contact when a new booking is created
  • Send a welcome email after a discovery call is booked
  • Trigger no-show recovery after a meeting ends
  • Start a save flow when a booking is cancelled
  • Create a booking from a high-intent form submission
  • Distribute recording links and summaries where recording-ready workflows are supported

Important Details

  • Use Find Booking before canceling or rescheduling when downstream logic depends on the booking state.
  • Meeting Ended is re-armed automatically when a booking is rescheduled.
  • Cancel Booking sends Cal.com’s standard cancellation email, including the reason if supplied.
  • Reschedule Booking refreshes the invite for the new time.
  • Self-hosted Cal.com setups should be tested with a real booking, especially for meeting-ended behavior.
  • These triggers and actions are released as Beta, and the source notes that incremental UX changes may continue.

Chat Widget Registration Adds Smarter Checks

Released May 8, 2026

SMBcrm has improved the compliance check for chat widget registration. During campaign registration, SMBcrm now scans the user’s website to confirm that the chat widget is installed before allowing submission.

What Changed

During Chat Widget registration, the Compliance Review modal now checks whether the SMBcrm chat widget is present on the website.

If the widget is not found, users see a clear prompt with steps to fix the issue:

  1. Copy the widget script.
  2. Paste it into the website.
  3. Run the check again.

Users can resubmit only after the check passes.

Why It Matters

Previously, users could submit Chat Widget campaigns even when the widget was not actually present on the website. Those submissions often led to rejections.

By catching missing-widget issues before submission, SMBcrm gives users a clearer path to fixing setup problems and moving campaigns through review faster. This update supports smoother customer communication workflows across SMBcrm communication tools.

Linear Workflow Actions and Triggers in SMBcrm

Released May 8, 2026

The Linear integration brings Linear into the SMBcrm Workflow Builder so support, sales, and marketing teams can connect customer activity with engineering and product work.

With SMBcrm automation, workflows can respond to Linear events and create or update Linear records without separate webhook setup or third-party handoffs.

What changed

The integration includes:

  • 12 instant Linear triggers that fire when Linear records change
  • 13 workflow actions that create, update, find, or attach Linear records
  • OAuth-based connection with workspace and team scoping
  • Support for issues, projects, customers, customer needs, initiatives, documents, comments, labels, and attachments

All Linear triggers and actions are premium workflow components and consume premium action credits at the standard automation rate.

Available Linear triggers

All 12 triggers are instant and powered by Linear webhooks:

  • New Issue
  • Updated Issue
  • New Issue Comment
  • New Project
  • New Project Update
  • Updated Project Update
  • New Customer
  • Updated Customer
  • New Customer Need
  • Updated Customer Need
  • New Document Comment
  • New Initiative Update

These triggers can help teams react when an issue is created, a project update is posted, a customer need changes, or a Linear document receives a comment.

Available Linear actions

SMBcrm workflows can also take action in Linear:

  • Create Issue
  • Update Issue
  • Get Issue
  • Find Issues
  • Create Comment
  • Create Issue Attachment
  • Add Label To Issue
  • Remove Label From Issue
  • Create Project
  • Find Project
  • Create Customer
  • Find Customer
  • Create Customer Need

For example, a workflow can turn a customer-reported bug into a tagged Linear issue, attach the CRM record URL, and create a related customer need for product prioritization.

How to connect Linear

You can connect Linear from the Workflow Builder or from Settings.

Connect from Workflow Builder
  1. Open Automation, then Workflows.
  2. Choose an existing workflow or create one.
  3. Add a Linear trigger or action from the Apps tab.
  4. Select the Linear trigger or action you want to use.
  5. Click Connect Now.
  6. Sign in to Linear and authorize the workspace and teams you want to use.
  7. Save the connection.
Connect from Settings
  1. Go to Settings, then Integrations.
  2. Find Linear in the integrations list.
  3. Click Connect.
  4. Authenticate with OAuth and authorize the workspace.

Example workflows

Customer-reported bug to Linear issue

A support form or inbound conversation can trigger a workflow that finds the customer in Linear, creates a tagged issue, attaches CRM context, and logs a customer need.

Linear issue resolved to customer notification

An Updated Issue trigger can watch for issues marked Done with a support-related label. The workflow can get the latest issue state, summarize the resolution, and send the original reporter an email or SMS.

Engineering project update to customer communication

A New Project Update trigger can convert engineering updates into customer-ready release notes, stakeholder digests, or opportunity updates.

CRM and Linear customer sync

A workflow can create a Linear customer when a CRM customer is created, or update CRM fields when a Linear customer changes.

Sales conversation to customer need

A workflow can use a call transcript, extract feature requests, find the matching Linear customer, and create customer needs for product review.

Setup and testing tips

Before publishing a workflow, test both the trigger and the action.

  • Use Find New Records in the trigger panel to select a mapping reference.
  • Confirm the payload includes the fields needed by downstream steps.
  • Use Test Action to verify the result in Linear.
  • Run a full workflow test before publishing.

For cleaner workflows, set a Team filter on Linear triggers, add clear source labels such as from-customer-support, and use Create Issue Attachment to connect the Linear issue back to the CRM record.

If you use workflow variables in fields, wrap them carefully in titles and descriptions. For example: [Customer Bug] {{trigger.subject}} - {{contact.full_name}}.

Important notes

Linear actions are partial where applicable. Update Issue only sends fields that are explicitly set, so unrelated Linear fields remain unchanged.

Customer and Customer Need records depend on Linear’s Customer Requests feature, which is gated behind specific Linear plan tiers. Check Linear’s current pricing for those details.

The Linear triggers and actions are released as Beta. The source release notes that they are safe to use in live workflows and that incremental UX changes, additional filters, and additional fields may follow as the integration moves out of Beta.

Restore Deleted Blog Posts in SMBcrm

Released May 8, 2026

Deleting a blog post no longer removes it permanently right away. Deleted posts are now hidden from the main blog list, marked as deleted, and remain recoverable for 30 days.

When restored, a blog post returns with its original content and status.

What changed

A dedicated Deleted filter is now available for blog posts. From this view, users can:

  • See deleted blog posts
  • Restore a deleted post with one click
  • Restore multiple deleted posts in bulk
  • Permanently delete posts when long-term cleanup is needed

Why it matters

This update helps reduce accidental content loss and gives teams more control over blog cleanup. Users can recover deleted posts without waiting on support, while still having the option to delete posts forever when needed.

How it works

To delete a post:

  1. Go to Sites > Blogs.
  2. Open the 3-dot menu on a post.
  3. Select Delete and confirm.

To review deleted posts, open the Deleted filter.

From there, restore a post, bulk restore posts, or permanently delete posts.

Smarter AI Assistant Responses in Workflows

Released May 8, 2026

The AI Assistant in workflows now provides more accurate and relevant answers across a wider range of queries.

SMBcrm has improved how the assistant sources its responses, with attention to areas where answers were previously incomplete or unavailable. The assistant is also designed to continue improving over time as usage grows.

Why it matters

For teams using workflow automation, this means fewer unanswered questions and less reliance on manual support when building or managing automations.

The update also strengthens the practical value of AI features inside everyday workflow tasks by improving response coverage and answer quality.

Undo and Redo for AI Workflow Builder

Released May 8, 2026

SMBcrm’s AI workflow building experience now supports undo and redo inside the Workflow Builder. When you use AI to create or edit a workflow, you can return to a previous AI-generated version during the same session.

This applies to AI-generated changes such as adding actions, editing existing steps, or restructuring a workflow.

How it works

When building with AI in Automations:

  1. Open the Workflow Builder and create or edit a workflow using AI.
  2. Press Ctrl+Z on Windows, or Cmd+Z on Mac, to undo the last AI-generated change.
  3. Press Ctrl+Y on Windows, or Cmd+Y on Mac, to redo the change you just undid.
  4. Continue building while your session keeps the available undo history.

You can also review recent changes from the recent change tab in the top-right corner of the Workflow Builder.

Why it matters

Undo and redo make it easier to experiment with AI-generated workflow changes without losing a working version. If a suggestion does not fit, you can roll back quickly and keep refining the workflow.

More Templates for Websites, Emails, Forms, and Ads

Released May 10, 2026

SMBcrm added more customizable templates to help teams move faster when building marketing assets across websites and funnels, email, forms, surveys, social posts, and ads.

What was added

This template release includes:

  • 1 website template for Health & Wellness
  • 1 email template for Creative
  • 1 form template for Travel & Hospitality
  • 2 survey templates for Beauty & Fashion and Automotive
  • 4 social templates for Business Coaching and Consulting and Beauty & Fashion
  • 5 Facebook ad templates across Real Estate, Home Services, Marketing Agency, Health & Wellness, and Automotive
  • 5 Google ad templates across Home Services, Health & Wellness, Finance, Creative, and Business Coaching & Consulting
  • 5 LinkedIn ad templates across Marketing Agency, Business Coaching & Consulting, Creative, and Finance

Why it matters

Templates can reduce setup time when creating common marketing assets. Use them as a starting point, then customize the copy, design, and content to match your campaign or audience.

Bulk Delete for Custom Objects, Companies, and Tasks

Released May 11, 2026

SMBcrm now supports bulk delete across Custom Objects, Companies, and Tasks, with no upper limit on how many records can be deleted in a single action.

Previously, Custom Objects could only be deleted one record at a time from the list view. Companies and Tasks supported bulk delete, but were capped at 100 records per action. The delete experience is now consistent across all three areas.

This feature is currently available in account Labs.

How Bulk Delete Works

Go to the Custom Objects, Companies, or Tasks list view in your account. Use the checkboxes on the left side of each row to select the records you want to delete. You can also use the header checkbox to select all records on the page.

After selecting records, click Delete from the bulk actions bar.

Confirm the action in the dialog.

You can review progress and logs from the Bulk Actions page.

What Gets Removed

Deleting a record also removes its relations and associations, including:

  • Associations to related Notes and Tasks
  • Associations to related Contacts, Companies, Opportunities, and other Custom Object records
  • Any association labels applied to those relationships

The related records themselves are not deleted. Only the link between them and the deleted record is removed.

Restore Deleted Records

Bulk-deleted records can be restored within 60 days from the Bulk Actions page.

Open the Bulk Actions page, locate the deletion job you want to reverse, then use the three-dot menu to select Restore.

The restore runs as a new job and reinstates the records along with their field values, associations, and association labels.

Why It Matters

Bulk delete helps teams clean up stale, test, or mis-imported records faster. It also removes the need to delete Custom Object records one at a time or split Company and Task cleanup into 100-record batches.

Dashboard Widgets for Services and Rentals

Released May 11, 2026

SMBcrm now includes 22 additional widgets for reporting on appointment services and rentals in dashboards and custom reports.

What changed

Appointment service widgets

There are 11 widgets for service appointment reporting, including revenue, coupon performance, staff rankings, and account-level insights.

Rental widgets

There are 11 widgets for rental reporting, including rental revenue, inventory status, deposit collection, and booking lifecycle views for upcoming, active, overdue, and unconfirmed rentals.

Cleaner appointment reporting

Appointment Count by Service and Appointment Count by Service Category are now grouped under the Services area for easier navigation.

Appointment count widgets in the Meetings area now count meeting appointments only. Service and rental booking counts now have dedicated widgets under Services.

How to use the widgets

  1. Enable Services and Rentals in account calendar settings.
  2. Open the account Dashboard or Custom Reports builder.
  3. In the Appointments widget module, find the 37 available widgets, including the two relocated appointment count widgets.
  4. Add the service or rental widgets you need to monitor revenue, inventory, bookings, and coupon performance.

Why it matters

  • Revenue visibility: see which services, staff members, and rental listings are driving revenue.
  • Rental operations: track overdue, unconfirmed, upcoming, and active rentals without relying on separate manual checks.
  • Coupon reporting: review coupon redemptions, revenue impact, and top-performing codes.
  • Easier navigation: Meetings, Services, and Rentals reporting widgets are grouped more clearly as the widget library expands.

Notes

  • The 22 added widgets are also available in the quick filters panel and custom metrics.
  • The widgets are available to accounts with Calendar Appointment Services or Rentals enabled.
  • They are available in all supported languages.

QR Codes Are Now Supported for Certificates

Released May 11, 2026

SMBcrm certificates can now include QR codes directly in the Certificate Builder. This helps recipients and outside parties verify certificates or open a relevant link with a quick scan.

What changed

In Memberships & Education, you can add a QR code to a certificate without using an external QR generator or uploading a QR image manually.

You can choose from two QR code types:

  • Verification QR: Opens the official certificate preview and validation page.
  • Custom link QR: Opens a custom URL, such as a portfolio, website, LinkedIn profile, or booking page.

Styling options

You can adjust:

  • Background color
  • Stroke color

The canvas updates with a live preview while you edit.

Why it matters

QR codes make certificates easier to verify and give creators a simple way to connect certificates to relevant online destinations. They also reduce manual steps by keeping QR creation inside SMBcrm.

Resize and Expand Workflow Builder Sidebars

Released May 11, 2026

SMBcrm has added workspace controls to the workflow builder so you can adjust how much room you have while configuring automations.

You can now resize the action and trigger sidebar, or expand an individual action or trigger to full screen when you need more space.

What changed

Resize the sidebar

Drag the edge of the action or trigger sidebar left or right to adjust its width. This helps you choose how much space the configuration panel uses based on your screen size and the detail you are working with.

Expand actions and triggers

Open any action or trigger in full screen to focus on its configuration without working inside a narrow panel. This is useful for longer setup areas like emails, forms, messages, or actions with multiple fields.

How to use it

  • Open any workflow action or trigger.
  • Drag the sidebar edge to resize the panel.
  • Use expand mode when you need more space to configure an action or trigger.

Additional notes

  • The controls apply to workflow actions, triggers, and features in the left sidebar.
  • Action and trigger sidebars can be resized based on screen size and preference.
  • Actions and triggers can be expanded to full screen.

Default Values for Email Personalization

Released May 13, 2026

Personalized emails often depend on contact details such as names, company information, or appointment details. When that data is missing, emails can show blank spaces or incomplete wording.

SMBcrm now supports default values for custom values directly in the email editor. A default value acts as fallback text when the related contact field is empty.

What changed

You can configure a fallback value for each custom value instance used in:

  • Email body content
  • Subject lines
  • Preview text

For example, if an email starts with Hi {{contact.first_name}}, you can set the default value to “there” so the message still reads naturally when the first name is missing.

Default values can be added, edited, or removed from the custom value edit modal in the editor. They are configured per custom value usage, so the same custom value can use different fallback text in different email contexts.

Why it matters

  • Helps prevent blank spaces and incomplete personalization
  • Keeps subject lines, preview text, and email content clearer
  • Improves readability when CRM data is incomplete
  • Adds flexibility without changing the contact record

Where it is supported

Default values are supported across workflow emails, campaign emails, bulk actions, and email templates. They do not overwrite existing contact data.

Facebook Background Text Posts in Social Planner

Released May 13, 2026

Social Planner now supports Facebook-style background text posts, so users can create colorful text-only Facebook posts without switching to Facebook manually.

What changed

When Facebook is selected in the post composer, a Text Background option appears for eligible posts. Users can:

  • Browse available background presets
  • Select a background instantly
  • Preview the style while editing
  • Publish immediately or schedule the post

Facebook-style preview while editing

The composer preview now reflects the native Facebook background post experience. Background changes appear live, and text automatically resizes based on caption length so users can better understand how the post will look when published.

Automatic handling for post compatibility

Backgrounds are supported only for text-only Facebook posts. Social Planner automatically manages this behavior:

  • Adding images or videos disables the background option
  • Editing a scheduled post with media removes the selected background
  • Background selection remains available for eligible text-only Facebook posts

How to use it

  1. Go to Marketing and open Social Planner.
  2. Create a post and select Facebook as the platform.
  3. Click Text Background.
  4. Choose a background preset.
  5. Add your caption.
  6. Publish immediately or schedule the post.

Why it matters

This update helps teams create more visible Facebook text posts from the same Social Planner workflow they already use for publishing and scheduling. It also reduces the need to recreate native Facebook background posts manually.

Find Unread Messages Faster in Conversations

Released May 13, 2026

Unread conversations are easier to review in SMBcrm. The communication tools now help you jump directly to unread messages in longer conversation threads so important replies are easier to find.

What changed

  • A “New” divider clearly marks where unread messages begin in a thread.
  • Opening an unread conversation automatically takes you to the first unread message.
  • The “New” indicator stays visible if you navigate away or refresh the page.
  • The indicator is cleared only when you reply or manually mark the conversation as read.

Why it matters

Long conversations can include campaign logs, activity updates, and message history. This improvement reduces scrolling and helps teams identify the messages that need attention.

Availability note

The “New” indicator is shown only for messages received after April 23, 2026.

Reputation Integrations Now Support Multiple Pages

Released May 13, 2026

SMBcrm now supports connecting multiple pages per platform across supported reputation integrations. This gives teams more flexibility when managing reviews for multiple brands, branches, or client pages.

What changed

Connect multiple pages per platform

You can link more than one business page under the same review platform, such as multiple Facebook or Yelp listings.

Add as many page connections as needed

There are no caps on page connections, so teams can add the pages they need as review management expands.

Manage reviews across 52 platforms

Supported platforms include Google Business Profile, Facebook, Yelp, TripAdvisor, Trustpilot, Zillow, Zomato, Airbnb, Amazon, Booking.com, Uber Eats, Glassdoor, Indeed, OpenTable, and more.

Centralized integration management

From the integrations settings, users can:

  • View all connected pages in one place
  • Monitor connection status, including Active or Not Connected
  • Manage or remove connections at any time
  • Review sync details and page-level information

Page-level visibility

Each connected page can show:

  • Page link or reference
  • Connection status
  • Review count
  • Last sync details

How it works

To connect pages:

  1. Go to Reputation, then Settings, then Integrations.
  2. Select a platform.
  3. Click Connect Account.
  4. Add one or more page links.
  5. Use Manage to view, monitor, or remove connections.

Why it matters

This update helps teams manage multiple pages from one place, reduce scaling limits for review management, and get clearer visibility into page-level performance.

AskAI Helps You Build and Manage Courses

Released May 14, 2026

AskAI can now help users create, edit, organize, and manage courses directly through chat in SMBcrm. For teams using Memberships & Education, this can make it easier to move from course idea to structured product setup.

  • Generate complete course outlines with modules and lessons
  • Create rich lesson content in HTML format
  • Build quizzes, assessments, and assignments

  • Create and configure offers
  • Guide course creation step by step
  • Assist with comments, assignments, and other course management workflows

Built-In Guardrails

Why It Matters

For course creators, AskAI makes it easier to plan, create, and manage course content while keeping important management actions guided and controlled.

Blog Editor Adds Captions, Keywords, and Image Actions

Released May 14, 2026

SMBcrm Blogs now supports image captions, bulk SEO keyword entry, and additional image controls inside the blog editor. These updates help teams create cleaner posts with less manual formatting.

What Changed

Image captions in the blog editor

You can add captions directly below images in blog posts. Captions support multi-line text, stay attached to the image, and resize responsively with the image.

Bulk SEO keyword entry

When scheduling a blog post, you can paste multiple comma-separated keywords into the keyword field. The editor converts them into individual keyword chips automatically.

Example: seo, marketing, content strategy, growth

More image action controls

Images now include additional toolbar actions:

  • Open the image full-size in a popup modal
  • Link the image to a URL
  • Do nothing

How to Use It

  • Open any post in the blog editor.
  • Insert or select an image.
  • Add a caption or configure image behavior from the image toolbar.
  • While scheduling a post, paste comma-separated keywords into the keyword field.
  • Save or publish the blog post.

Why It Matters

These blog editor improvements help you:

  • Create more polished blog layouts
  • Add context to images with captions
  • Speed up SEO keyword setup
  • Configure image interactions without code
  • Reduce reliance on external editors or custom HTML

Pinterest Multi-Board Publishing in Social Planner

Released May 14, 2026

Social Planner now supports multi-board publishing for Pinterest. You can create one Pinterest post and publish it to up to 25 boards per Pinterest account without duplicating the post manually.

What Changed

Select multiple Pinterest boards in one post

When creating a Pinterest post, you can now choose multiple boards from the Boards selector.

  • Select up to 25 boards per Pinterest account
  • Use board chips to review selected boards
  • Remove selected boards easily
  • Work across multiple connected Pinterest accounts
  • Keep selected boards pinned at the top for quicker access
Publish separately to each board

Each selected board creates its own published pin automatically. This keeps publishing and reporting separated by board.

  • Each board is tracked independently
  • A failure on one board does not block the others
  • Analytics remain separated per board
Supported publishing flows

Multi-board Pinterest publishing works across these Social Planner flows:

  • Instant publishing
  • Scheduled posts
  • Approval workflows
  • Recurring posts
  • Category Queue
  • CSV bulk uploads

How to Use It

  1. Go to Marketing, then Social Planner.
  2. Create a new Pinterest post.
  3. Select your Pinterest account or accounts.
  4. Choose up to 25 boards from the Boards selector.
  5. Publish, schedule, or queue the post.

Social Planner automatically creates individual pins for each selected board.

Notes

  • The maximum is 25 boards per Pinterest account.
  • Each selected board creates a separate published post.
  • Board-level failures do not impact other selected boards.
  • Existing Pinterest drafts continue working normally.

Contact Tag Updates Now Require Confirmation

Released May 15, 2026

SMBcrm has improved contact tag management in the Contacts area. Tag changes now require confirmation before they are applied, giving users more control when managing contacts in CRM & Sales.

This helps reduce accidental tag updates and prevents unintended workflow triggers caused by selecting or deselecting the wrong tag.

What Changed

  • Added an Apply button for contact tag changes
  • Added a Cancel button to discard unintended edits
  • Added confirmation for both adding and removing tags
  • Reduced accidental workflow triggers from unintended tag updates
  • Improved safety and accuracy when managing contact tags

How It Works

  1. Open the tag dropdown for a contact.
  2. Select or deselect the tags you want to add or remove.
  3. The Apply button becomes active.
  4. Click Apply to confirm the tag changes.
  5. Click Cancel if you do not want to proceed.

Workflow triggers now run only after the tag update is intentionally applied.

Upcoming Tag Management Improvements

SMBcrm is continuing to improve the tag management experience with planned enhancements including:

  • Tag categories for better organization
  • Tag colors for easier identification
  • Category and color visibility inside the tag dropdown
  • Selected tag counts displayed for each category

HubSpot Actions and Trigger Added to Workflows

Released May 15, 2026

SMBcrm workflows can connect with HubSpot for contact-centered automation. In the Automation builder, teams can react when contacts are created in HubSpot, then create, find, search, or associate contact records as part of a workflow.

What changed

The HubSpot integration includes one instant trigger and five workflow actions.

Trigger
  • New Contact Created: Fires when a contact is created in HubSpot and returns the contact payload, including standard and custom properties.
Actions
  • Create Contact: Creates a HubSpot contact using standard fields such as email, first name, last name, and phone. Custom contact properties are supported.
  • Find Contact: Looks up a contact by record ID, email, or filter and returns matching contact records for downstream workflow steps.
  • Get Contact by ID: Fetches the latest state of a contact by HubSpot record ID.
  • Search Contact by Email: Runs an exact email lookup, which is useful for deduplication before creating a contact.
  • Create Association: Associates an existing contact with a company, deal, or ticket in HubSpot.

These trigger and actions are premium workflow features.

How to connect HubSpot

Before a HubSpot trigger or action can run, the integration must be connected so workflows can read from and write to the HubSpot portal.

Recommended setup path:

  1. Open Automation > Workflows and choose or create a workflow.
  2. Add a HubSpot trigger or action from the Apps tab.
  3. Select the HubSpot trigger or action you want to use.
  4. Click Connect Now on the action card.
  5. Sign in to HubSpot through OAuth and authorize the required scopes for contacts and associations.
  6. Save the connection.

You can also connect from Settings > Integrations by locating HubSpot, clicking Connect, and completing OAuth authorization.

Example: Trigger a workflow from a HubSpot contact

To run a workflow when a contact is created in HubSpot:

  1. Add the New Contact Created trigger from the Apps tab.
  2. Give the trigger a clear name, such as New HubSpot Lead.
  3. Add optional filters for lifecycle stage, source, or another contact property.
  4. Use Find New Records in the test panel.
  5. Select a returned contact as the mapping reference.
  6. Save the trigger.

Testing locks the payload schema so later workflow steps can map fields cleanly.

Example: Create a HubSpot contact from a form

A common workflow is to create a HubSpot contact from a form submission.

  1. Add a workflow step and choose HubSpot from the Apps tab.
  2. Select Create Contact.
  3. Connect HubSpot if this is the first HubSpot action in the workflow.
  4. Map the required email field, for example {{contact.email}}.
  5. Map first name, last name, phone, and any supported custom properties.
  6. Save the action.

For cleaner data, run Search Contact by Email before Create Contact. If a contact is found, use the existing record or skip creation. If no contact is found, continue to Create Contact. HubSpot uses email as the primary deduplication key.

Common workflow patterns

Form-to-contact with deduplication

Use a form submission trigger, search HubSpot by email, then create the contact only when no matching record is found. You can optionally add a Create Association step to connect the contact to a company or deal.

HubSpot to SMBcrm contact sync

Use the New Contact Created trigger to mirror HubSpot contacts into SMBcrm. The workflow can find an SMBcrm contact by email, then create or update the SMBcrm contact with HubSpot data such as email, name, phone, and lifecycle stage.

Contact-to-company association

After a lead submits a form, the workflow can search or create the contact, find the related company, and associate the contact with that company in HubSpot.

Testing notes

Before publishing, test both the trigger and the action.

  • For triggers, use Find New Records and confirm the Trigger Data Response includes the fields you plan to map.
  • For actions, use Test Action and verify that the contact appears in HubSpot with the expected properties.
  • If custom properties do not populate, confirm the property exists in HubSpot before mapping it.
  • Workflow variables are supported in fields, including values such as {{contact.email}} and {{right_now.minute}}.

If Create Contact fails, such as when an email is malformed, the error appears in the workflow execution log and the workflow continues based on its branching.

Additional notes

The integration works with the free HubSpot CRM tier. Some HubSpot-side features, such as certain HubSpot workflow automations or custom property types, may require paid HubSpot plans.

Create Association links a contact to another HubSpot record, typically a company, deal, or ticket. The relationship is visible from both records in HubSpot.

New Marketing Templates Added to SMBcrm

Released May 16, 2026

SMBcrm has added a new set of marketing templates designed to help teams create campaign assets more efficiently. These templates support common workflows across websites, email, forms, surveys, social content, and paid ads.

Teams using Websites & Funnels can use these templates as starting points, then customize them for their brand, audience, and campaign goals.

What Was Added

This release includes templates across several marketing asset types:

  • 1 website template for home services
  • 1 email template for finance
  • 1 form template for automotive
  • 1 survey template for business, coaching, and consulting
  • 4 social templates for financial and creative use cases
  • 5 Facebook ad templates across business coaching, home services, restaurant and bar, creative, and medical use cases
  • 5 Google ad templates across pet grooming, medical, marketing agency, legal, and insurance use cases
  • 5 LinkedIn ad templates across real estate, finance, insurance, marketing agency, and property staging use cases

Why It Matters

Templates can reduce setup time when launching or updating marketing campaigns. Instead of starting from a blank page, users can begin with a relevant layout or campaign asset and adjust the content to fit their business.

Upload and Download Folders in Media Center

Released May 18, 2026

The Media Center now makes it easier to manage larger groups of files. You can upload full folders, download folders as zip files, and track progress more clearly while preserving the original folder structure.

What changed

  • Added an Upload Folder option in the Media Center
  • Support for uploading entire folders, including subfolders and files
  • Drag-and-drop support for folders, multiple folders, and mixed uploads with folders and individual files
  • Folder downloads as a single zip file
  • Clearer upload progress with a folder-based view for nested files and subfolders
  • Preserved folder structure during uploads and downloads
  • Improved sorting so the order selected in the main grid also appears in the Move to Folder modal
  • Better upload and download performance for larger file batches
  • Clearer handling for upload limits, skipped files, and partial completion states

How to use it

  1. Open the Media Center.
  2. Use Upload Folder from the header next to Upload File, or drag and drop folders directly into the Media Center.
  3. To download a folder, use the Download option on a folder to save it as a zip file.

Why it matters

This improvement reduces manual file organization when working with large media batches. It also gives you better visibility into upload and download progress, especially when folders include nested files or subfolders.

AI Agent Can Update Custom Values in Automations

Released May 19, 2026

The AI Agent action now includes Update Custom Value as a built-in tool for SMBcrm automation. It can evaluate context during execution and write directly to custom values inside an account.

What changed

Update Custom Value helps replace large If/Else trees that were used only to set custom values based on conditions such as:

  • Day of the week
  • Contact data
  • Date formatting
  • Timezone
  • Pipeline stage

The tool also supports the familiar static value and “Let AI decide” pattern used in other AI features.

How to use it

  1. Select Update Custom Value as a tool inside the AI Agent action.
  2. Choose a custom value to update, or set it to Let AI decide so the agent can choose the right field based on its reasoning.
  3. Enter a fixed value or variable reference, or set the value to Let AI decide so the agent can generate the value from your prompt instructions.

Common configurations

  • Static custom value with AI-decided value: Update a specific field with the value the agent determines. This is the most common setup.
  • AI-decided custom value and value: Let the agent choose which custom value to update and what to set it to. This is suited for multi-field use cases where the target field depends on context.

Why it matters

Automations that previously needed branching logic for every possible condition, such as day-based schedules, formatted dates, rolling promo codes, or context-aware values, can now be handled in a single agent step. That means less maintenance, fewer actions, faster execution, and lower complexity across workflows.

AI Agent Knowledge Base Search for Automations

Released May 19, 2026

SMBcrm AI Agent actions can now use Knowledge Base Search as a built-in tool. During execution, the agent can search selected native knowledge bases in real time, bringing relevant business context into its decisions and replies.

This update is useful for teams using AI Features inside Automation. Instead of pasting long FAQ lists, service menus, pricing details, booking rules, or availability notes into a prompt, the agent can retrieve only the information it needs when it needs it.

What changed

  • The AI Agent action now includes Knowledge Base Search as a tool.
  • The agent connects directly to native knowledge bases where business context already lives.
  • It can retrieve relevant content during execution instead of loading full static content into the prompt.
  • This helps keep prompts lean and can improve response accuracy by grounding answers in the knowledge base.

How to use it

  1. Select Knowledge Base Search as a tool inside the AI Agent action.
  2. Choose which knowledge bases the agent should search.
  3. Define a static search query, or let the AI decide the query dynamically based on the conversation.
  4. Set the number of chunks the agent retrieves from the knowledge base.

Why it matters

By searching the knowledge base at execution time, the agent can use relevant business information without front-loading pages of context into the prompt. This reduces token usage, keeps business knowledge in one place, and helps the agent produce more grounded responses.

Ask AI Now Creates Full Blog Drafts

Released May 19, 2026

Ask AI can now help create complete, SEO-friendly blog drafts from a simple topic or prompt inside SMBcrm. This makes it easier to move from an idea to an editable long-form draft without switching tools.

What changed

Ask AI now supports full blog draft generation, including:

  • Blog title suggestions
  • Structured headings and subheadings
  • SEO-friendly formatting
  • Long-form paragraphs
  • Ready-to-edit blog drafts

This expands SMBcrm AI features for users who create blog content as part of their marketing workflow.

More context for better drafts

Ask AI can use web-based context to help generate more relevant and up-to-date content. This can improve topic relevance, content depth, accuracy for trending topics, and overall blog quality.

You can also provide URLs or image references so Ask AI can create content that is more aligned with the context you provide.

Multi-language blog creation

Ask AI can generate blog content in multiple languages, making localized content creation easier for businesses and agencies that publish for different audiences.

How to use it

  1. Open Ask AI.
  2. Enter a topic or custom prompt.
  3. Optionally add URLs or image references.
  4. Review the structured blog draft Ask AI generates.
  5. Edit, refine, and publish as needed.

Why it matters

This update helps reduce manual effort in long-form content creation, supports more consistent publishing, and gives users a faster way to create SEO-friendly blog drafts directly in SMBcrm.

Customize Quiz Results by Category

Released May 19, 2026

SMBcrm now gives you more control over personality-style quiz result pages by letting you customize content for each individual category.

This helps you create more personalized results while making the setup process easier to manage.

What Changed

You can now customize result content for each category in a quiz, including:

  • Text
  • Images
  • Videos
  • CTA text
  • Links

This works for both highest-scoring and lowest-scoring category results.

The first category can also act as a default template for the rest, which can reduce repetitive setup when multiple categories use similar result content.

How to Access It

  1. Open the Quiz Builder.
  2. Go to Customize Result Page.
  3. In the left panel, select + Add Section.
  4. Choose Individual Category from the section picker.
  5. Select the new Individual Category section in the left panel.
  6. Choose the category you want to edit.
  7. Use Display Category to choose whether the content applies to the highest score or lowest score.
  8. Customize the category content, including text, images, videos, CTA text, and links.

Why It Matters

This improvement makes personality quiz results feel more specific to each outcome. It also helps reduce setup time by allowing one category to serve as a starting point for others.

Product Image Lightbox Adds Keyboard Shortcuts

Released May 19, 2026

SMBcrm now supports keyboard shortcuts for product images when Open Lightbox zoom is enabled on a Product Details Page.

When a product image is opened in the lightbox, users can:

  • Press Escape to close the lightbox.
  • Use Right Arrow to move to the next image.
  • Use Left Arrow to move to the previous image.
  • Continue navigating from the last image back to the first, and from the first image back to the last.

The lightbox now auto-focuses when opened, so keyboard shortcuts work immediately without an extra click. Arrow keys also no longer scroll the page behind the popup while the lightbox is open.

How to Use It

  1. Open a Product Details Page with Open Lightbox zoom enabled.
  2. Click a product image to open the lightbox.
  3. Use Escape, Left Arrow, or Right Arrow to control the lightbox.

Key Details

  • The thumbnail strip auto-scrolls to keep the active thumbnail visible.
  • Existing mouse interactions remain unchanged, including arrow clicks, thumbnail selection, close, zoom, and grid toggle.
  • Keyboard shortcut support is available in both Page Builder and Builder Preview.

Facebook Lead Ads Contact Merge Controls

Released May 20, 2026

SMBcrm has expanded Facebook contact merge settings so users can control name-based matching separately for Messenger conversations and Facebook Lead Ads submissions.

This helps teams managing lead capture and CRM records reduce duplicate contacts when incoming Facebook leads do not always include consistent phone numbers or email addresses.

What changed

The previous Merge Facebook contacts by name setting only applied to Facebook Messenger conversations.

That behavior has been split into two settings under Account View > Settings > Business Profile > General:

  • Merge Facebook contacts by matching contact names from Messenger conversations
  • Merge Facebook contacts by matching contact names from Facebook Lead Form submissions

Why it matters

With name-based matching available for Facebook Lead Form submissions, users have more control over how Facebook contacts are deduplicated.

This can help:

  • Reduce duplicate contacts
  • Keep CRM records cleaner
  • Improve lead continuity across Facebook sources
  • Make Facebook contact management more reliable

The separate settings also make it clearer which Facebook source each merge rule applies to.

Chat Widget Can Load After Visitor Interaction

Released May 21, 2026

SMBcrm now includes a Load on user interaction setting for customer-facing chat widgets. When enabled, the widget waits to load until a visitor interacts with the website, helping reduce immediate script execution during page rendering while keeping customer communication available.

What changed

  • Added a Load on user interaction toggle in Sites > Chat Widget Builder > Chat Window > Additional Options.
  • When enabled, the chat widget loads after a visitor interaction such as scrolling, clicking, or touching the page.
  • If no interaction occurs, the widget automatically loads after a fallback delay of about 8 seconds.
  • Existing widgets continue using immediate load behavior unless this setting is manually enabled.

How to enable it

  1. Go to Sites > Chat Widget Builder.
  2. Open the specific chat widget you want to update.
  3. Select the Chat Window tab.
  4. Under Additional Options, enable Load on user interaction.

Why it matters

This setting gives businesses more control over the balance between website performance and chat availability. It can help reduce unnecessary widget loading during the initial page render, especially on mobile devices, while still making the widget available for visitors who interact with the page.

If the toggle is disabled or not configured, the chat widget loads immediately using the existing behavior.

Conditional Visibility Adds Layout and Field Options

Released May 21, 2026

Conditional Visibility in the email builder is now easier to manage with support for layout-level visibility rules and value-based field conditions.

What Changed

Visibility rules for layouts

You can now apply conditional visibility to an entire layout instead of setting the same rule on each individual element. Layouts include a dedicated Visibility tab alongside Edit, making it easier to hide or show whole sections based on field values.

Value-based operators

Conditional Visibility now supports additional operators:

  • IS
  • IS NOT
  • IS EMPTY
  • IS PRESENT

All custom fields, including attachment fields, are now available in the conditional visibility dropdown.

Example Uses

  • Show a Download Invoice button only when an attachment field IS PRESENT
  • Hide a personalized greeting when first_name IS EMPTY

Why It Matters

This update reduces repetitive setup across multiple elements, improves handling for empty or missing field values, and allows full email sections to hide more cleanly when conditions are not met.

How to Use It

  1. Select any layout or element inside the email builder.
  2. Open the Visibility tab.
  3. Choose the field you want to evaluate.
  4. Select a condition such as IS, IS NOT, IS EMPTY, or IS PRESENT.
  5. Set the required value if applicable, then save.

Field Previews Improve Workflow Integration Setup

Released May 21, 2026

SMBcrm has improved the setup experience for integration-powered workflow actions and triggers. Users can now see required fields upfront, connect the right account without leaving their workflow setup, and select from multiple connected accounts where supported.

This makes automation workflows easier to configure and helps users understand what an integration step needs before completing the connection.

What Changed

When an integration is not connected, the action or trigger panel now shows:

  • A connection banner
  • A locked preview of the available fields
  • A prompt to connect the required account

Selecting Connect your account opens the integration setup in a new browser tab, so users can complete the connection without losing their workflow progress. After the account is connected, the fields unlock and the selected account appears directly inside the action or trigger.

How to Use It

  1. Open an integration-powered action or trigger in a workflow.
  2. Select Connect your account if no account is connected.
  3. Choose the connected account.
  4. Configure the available fields.

Why It Matters

Previously, users could discover missing integrations only after saving a workflow, with limited guidance on how to fix the issue. Users also could not always see which fields or options an integration supported before connecting an account.

This update helps reduce setup errors, keeps users in their workflow context, and makes integration-powered actions easier to evaluate and configure.

Example Use Cases

  • A user opens a Typeform action from a workflow template and can preview the available fields before connecting an account.
  • A user opens a Slack action with multiple connected accounts, selects the correct account, and the available connections reload for that account.

Additional Notes

  • Available field options can now appear as a preview before an integration is connected.
  • If a connected account is removed or becomes invalid, the step returns to a locked connection-required state.
  • Some apps load fields step by step after connection, depending on earlier selections.
  • Dynamic fields that depend on the selected account may reset when the account changes.

Preference Updates Now Appear in Conversations

Released May 21, 2026

SMBcrm now logs contact-level communication preference updates directly in Conversations. This gives teams more context inside the communication workspace without needing to switch back to the contact record.

What changed

  • Preference status updates are now captured as conversation logs.
  • Logs are created when the update is triggered by either the contact or a user.

Why it matters

Preference updates are easier to review while working in Conversations. Teams can see when communication preferences changed, understand the context of a contact’s activity, and follow up with more clarity.

This also adds visibility alongside the contact details already available in the CRM.

What is next

The source release also notes work in progress on filters for the Contact Listing page to support broader visibility across contact workflows.

Wait Action Gets Intent-Based Setup and Scheduling

Released May 21, 2026

The Wait action in SMBcrm automation has been redesigned to make workflow timing easier to configure. Users can now choose the wait intent first, then configure the details without searching through nested dropdowns.

What Changed

Intent-based card selection

The previous dropdown has been replaced with a card selection screen that asks what the contact should wait for. This makes common options, such as waiting for a contact reply, easier to find.

Recurring wait schedules

Wait actions now support recurring schedules with weekly, monthly, or yearly frequency.

  • Weekly schedules can use specific days and times.
  • Monthly schedules can use a specific day or nth weekday.
  • Yearly schedules can support renewals, holidays, and annual check-ins.
Single-step setup for specific dates

Waiting for a specific date now happens inside the Wait action. Instead of using separate actions, users can choose a fixed date or pull the date from a custom field directly in the Wait action.

Seconds as a wait unit

Time delays now support seconds, which helps when a workflow needs short pauses between actions.

Dynamic wait durations

Wait durations can be set dynamically with the custom value picker. Users can pull the duration from a custom field, contact field, or supported variable instead of entering a fixed value.

Grouped wait types and contextual ordering

Related wait types are now grouped under single cards to reduce clutter. For example, contact action waits now include trigger link clicks and email events in one place. Appointment and service booking waits are also unified.

The card selection screen also adapts based on context. When a Wait action follows a Send action for SMS, email, or WhatsApp, waiting for the contact to reply is surfaced first.

AI-assisted Wait setup

A new prompt at the top of the Wait action lets users describe the wait behavior they want in natural language. The AI Builder agent can generate a configured Wait action card that users can add directly or refine through conversation.

Why It Matters

The Wait action previously caused confusion in two common areas: waiting until a specific date and finding contact reply waits. The redesigned layout addresses both by making date waits a single-step setup and presenting wait options based on user intent.

Client Portal Domain Setup Moves to Domain Configuration

Released May 22, 2026

SMBcrm has moved Client Portal email domain configuration from Notifications Domain Configuration to the main Domain Configuration page under Dedicated Domain Setup.

This centralizes email domain management and keeps Client Portal email activity visible in Conversations, so teams can review those messages alongside other conversation history.

What changed

  • Client Portal Domain configuration is now managed from Domain Configuration.
  • The setting is available under Dedicated Domain Setup.
  • Client Portal emails can still be viewed directly within Conversations.
  • Email domain types are managed in one centralized area.

Why it matters

This update makes it easier to manage Client Portal email domains without switching between separate domain configuration areas. It also keeps Client Portal email activity accessible with the rest of the customer conversation history.

How to configure the Client Portal domain

  1. Go to Email Services.
  2. Open Dedicated Domain Setup.
  3. Navigate to Domain Configuration.
  4. Configure the Client Portal Domain.

Company Fields Now Work in the Custom Value Picker

Released May 22, 2026

SMBcrm now supports Company fields in the Custom Value Picker, making company-level data available across more customer communication and automation tools.

This applies to both standard Company fields and custom Company fields.

What changed

You can now select Company fields as custom values in supported areas of SMBcrm, including:

  • Workflows
  • Email Builder
  • Email Campaigns
  • Conversations
  • Documents and Contracts
  • Bulk Actions
  • Conversation AI

Each custom value resolves at runtime to the Company associated with the Contact.

Why it matters

Company data stored in your CRM and sales workspace can now be used directly where you communicate, automate, and generate documents.

This helps you:

  • Personalize messages with details such as company name, industry, account tier, or custom attributes
  • Auto-fill proposals, agreements, and contracts with Company context
  • Give Conversation AI access to Company information when generating replies
  • Build workflows that use Company data without extra workarounds

How to use Company fields

  1. Open a supported tool, such as Conversations or a Workflow Send Email action.
  2. Click the Custom Value Picker in the editor toolbar.
  3. Select the Company group.
  4. Choose any standard or custom Company field.

Custom Modal Height for Form, Survey, and Quiz Embeds

Released May 22, 2026

SMBcrm has improved the embed experience for forms, surveys, and quizzes by adding more control over modal sizing and making builder actions more reliable while content loads.

What changed

You can now set a custom modal height for these embed types:

  • Popup
  • Polite Slide-in
  • Sticky Sidebar

This helps embedded forms, surveys, and quizzes fit more naturally on host pages instead of appearing too tall or too small.

Preview, Integrate, and Save are also disabled until the builder fully loads. This helps prevent clicks that do not take effect while the form, survey, or quiz is still loading.

How to use it

  1. Open a form, survey, or quiz in the builder.
  2. Wait for the builder to finish loading.
  3. Click Integrate.
  4. Select Embed Code.
  5. Choose Popup, Polite Slide-in, or Sticky Sidebar.
  6. Enter a value in Modal height.
  7. Copy and use the updated embed code.

Existing embeds continue to work the same way unless a modal height is added.

Why it matters

This update gives you more control over how lead capture experiences appear on your site. It also helps reduce confusion by preventing builder actions from being clicked before the builder is ready.

Gradient Button Backgrounds for Forms, Surveys, Quizzes

Released May 22, 2026

SMBcrm now supports gradient backgrounds for buttons in the form, survey, and quiz builders. This gives teams more control over button styling without needing custom code.

What Changed

Button style settings now let you choose between a solid color and a gradient background. Gradient options include:

  • Linear, radial, and angular gradient types
  • Adjustable gradient angle for supported styles
  • Multiple editable color stops for more customized designs

This update helps create more flexible, visually distinct buttons across SMBcrm lead capture experiences.

How to Use It

  1. Open the form, survey, or quiz builder.
  2. Select a button element.
  3. Open the button style settings.
  4. In the Button Background section, switch from solid color to gradient.
  5. Customize the gradient colors, type, and angle as needed.

Existing button styles continue to work, with gradient backgrounds available as an added design option.

Inactive Domain Email Handling Improved

Released May 22, 2026

SMBcrm now better protects email delivery when a domain mapped to a campaign or other domain configuration becomes inactive or unverified.

Previously, emails could continue attempting to send after the mapped domain became inactive. With this update, SMBcrm automatically stops those email attempts and shows a clear failure message in Conversations.

What Changed

  • Emails are stopped automatically if the mapped campaign domain becomes inactive or unverified.
  • Failed email attempts display a clear error message in Conversations.
  • Users get better visibility into delivery issues caused by domain verification status changes.

Why It Matters

This improvement helps prevent failed or unauthorized email delivery attempts from inactive domains. It also makes troubleshooting easier by showing domain verification issues directly where users review email activity.

How It Works

  1. If a campaign domain changes from active to inactive or unverified, SMBcrm stops email sending for messages using that domain.
  2. The email activity is marked as failed.
  3. Conversations shows a message explaining that the email failed because the domain is not verified.

Manage Fields Shows All Form, Survey, and Quiz Fields

Released May 22, 2026

SMBcrm improved Manage Fields for form, survey, and quiz submissions. You can now see all fields from the item definition, including fields with no submission data yet.

This helps teams using lead capture prepare columns and submission views before test or live responses come in.

What changed

  • Manage Fields shows all fields from form, survey, or quiz definitions.
  • Fields are visible even if they have not received submission data.
  • Fields added after earlier submissions appear in the available fields list.
  • Available but unselected fields appear in the Add Fields section.

How to access

  1. Go to Sites, then Forms, Surveys, or Quizzes.
  2. Open the three-dot menu for the item you want to review.
  3. Select View Submission.
  4. On the Submissions page, select Manage Columns to view and add fields from the definition, including fields without submission data.

Why it matters

  • You can manage submission columns before responses come in.
  • You get better visibility into all available fields.
  • You can prepare reports and views without waiting for test or live submissions.
  • Submission management is more complete and predictable.

Math Operation for Company and Custom Object Workflows

Released May 22, 2026

The Math Operation action is now supported in company-based workflows and custom object-based workflows in SMBcrm.

This brings the same calculation action already available in other workflow types into more automation workflows, so teams can run calculations on numeric values tied to companies or custom objects.

What changed

When a company or custom object workflow reaches the Math Operation action, SMBcrm calculates the selected values and stores the result for use later in the workflow. The action follows the same behavior as the existing Math Operation action in other workflow types.

How to use it

  • Open a company-based or custom object-based workflow.
  • Add the Math Operation action.
  • Choose the values and operation.
  • Use the result in the next workflow steps.

Example

A construction business can use a custom object workflow to calculate total project cost by adding material cost and labor cost stored on a project object.

Scope

  • Supported in company-based workflows.
  • Supported in custom object-based workflows.
  • Uses the same Math Operation behavior available in other workflow types.

Share Meeting Recordings as Community Posts

Released May 22, 2026

SMBcrm now lets users share a meeting recording directly into Communities from the recordings workflow. This helps teams continue discussion after a meeting without creating a separate manual post.

This update is useful for teams using Memberships & Education features to keep conversations, updates, and follow-up content inside the right community channel.

How it works

  1. Open the profile avatar in the top right and select Manage Profile.
  2. Go to Meetings, then select View recordings.
  3. Choose the relevant recording and open the three-dot menu.
  4. Select Share as Post.
  5. Use the searchable Community selection modal to choose the community and channel where the recording should be posted.

Why it matters

Recordings can now move from meetings into community discussions in fewer steps. Users can share a recording where members are already collaborating, making it easier to keep follow-up conversations connected to the original meeting.

Company Smart Lists for Saved CRM Views

Released May 23, 2026

You can also:

  • Duplicate an existing Smart List to create another version quickly
  • Export Smart List results to CSV

  7. Open Customize List to manage duplicate, export, sharing and permissions, and delete options.

Why it matters

Company Smart Lists reduce repetitive setup for teams that work with company records. They also make it easier to return to frequently used views, standardize company lists across users, and share important filtered lists with the right people.

Notes

  • This feature is currently available in Account Labs.
  • Users with edit access can also change sharing permissions.

Automatic Alt Text for Store Images and Elements

Released May 25, 2026

SMBcrm now generates alt text automatically for supported ecommerce images and store elements. This helps improve SEO and accessibility by using existing metadata from products, collections, stores, variants, payment methods, and element context.

What Changed

Alt text is now generated for several store image types without requiring manual setup.

Product Images
  • Main product images use the product name.
  • Product gallery images include the product name and image index.
  • Variant images include the product name and variant name.
  • Upsell and bundle images use the product name.
Collection and Store Branding
  • Collection cover images use the collection name.
  • Header logos use the store name when alt text is not already present.
Store Elements

Supported store elements now use product-based alt text where applicable, including:

  • Product cards
  • Featured Product
  • Related Products
  • Cart item images
  • Checkout product thumbnails

Components inside store elements can also use the component name when applicable. Fallback translation support is included when existing metadata is used to generate alt text.

How It Works

No action is required. Alt text is generated automatically for supported ecommerce images and store elements using existing store and product metadata.

Notes

  • This version does not add a new UI or manual alt text input.
  • Storefront design remains unchanged.
  • The existing customer workflow remains unchanged.

Fix Email Setup Issues with AI

Released May 25, 2026

SMBcrm now includes AI-powered one-click fixes for common email setup issues in the email builder. This helps users correct validation problems faster before sending or scheduling emails.

What Changed

When an email has setup issues, Email AI can now apply a fix with one click. Supported examples include:

  • Invalid custom value syntax
  • Missing subject lines
  • Missing preview text

When needed, the AI also creates the required variant and logs the changes directly in the Email AI chat window.

This update supports faster setup inside SMBcrm communication workflows while giving users more visibility into changes made by AI features.

Why It Matters

The update reduces manual debugging for email configuration errors and helps users resolve invalid setups before sending. It also keeps a clear chat history of AI-generated changes so users can review what was updated.

How to Use It

  1. Enable Email AI in Beta Labs.
  2. Create a campaign with an issue, such as incorrect custom field syntax or a missing subject line or preview text.
  3. Click Send, Schedule, or open the Checklist.
  4. When validation errors appear, select Fix with AI.
  5. Review the Email AI chat window to see the explanation and logged changes.

Coming Soon

The source also notes that Beautify with AI is coming soon. It is described as a one-click way to improve mobile responsiveness, alignment, spacing, and overall email layout consistency.

Calendly Reschedules Now Update Appointments

Released May 26, 2026

SMBcrm now handles Calendly appointment reschedules more like native calendar reschedules. When an appointment is moved in Calendly, the existing SMBcrm appointment is updated instead of recreated.

What Changed

  • Calendly reschedules are treated as true appointment reschedules in SMBcrm.
  • The existing appointment is updated with the new date and time.
  • The appointment is marked as Rescheduled.
  • The previous appointment date and time are preserved for tracking.
  • Reschedule tags and workflow conditions apply correctly.

Why It Matters

This creates a more consistent scheduling experience for teams that use Calendly with SMBcrm calendars. Workflows that use the Rescheduled = True filter can now also apply to Calendly reschedules, improving automation reliability and appointment tracking accuracy.

Connect Shopify Faster with OAuth

Released May 26, 2026

Connecting a Shopify store in SMBcrm is now simpler with Shopify OAuth. Users can connect directly without creating a custom Shopify app, generating API tokens, or involving developer setup.

Existing Shopify integrations are not affected. If a store was already connected using the custom app method, it continues to work as-is and no action is required.

What Changed

  • Simplified OAuth connection: Connect a Shopify store directly with a one-click authorization flow.
  • No API token setup: Users no longer need to manually generate an API token or create a custom app in Shopify.
  • Scoped access: OAuth 2.0 uses scoped, auditable access that can be revoked from Shopify admin at any time.
  • Same sync capabilities: Existing sync features remain supported, including historic and real-time sync for customers, orders, transactions, products, and collections.
  • Faster onboarding: Connecting Shopify can now take under a minute.

How It Works

  1. Go to Settings > Integrations > Shopify and click Connect.
  2. Enter the Shopify store URL and click Next.
  3. Select import and sync preferences, then click Save.
  4. Review the requested permissions in Shopify and click Install.
  5. After approval, Shopify redirects back to the account automatically.

Why It Matters

This update lowers the technical barrier for merchants who want to connect Shopify without managing API scopes or custom app setup.

It also helps teams that manage multiple Shopify stores onboard integrations more quickly while using Shopify’s standard authorization flow.

Klaviyo Triggers and Actions in Workflows

Released May 26, 2026

SMBcrm now supports Klaviyo triggers and actions in the Workflow Builder, helping teams connect Klaviyo activity with CRM and marketing automation steps.

With this integration, a Klaviyo signup can create a CRM contact, a segment match can trigger an internal alert, and a workflow milestone can send a draft Klaviyo campaign. These actions can be configured inside SMBcrm automation without building a custom webhook connection.

What the Klaviyo Integration Supports

The integration includes two main parts:

  • Triggers from Klaviyo to workflows: New event, new profile, profile added to list, and profile added to segment.
  • Actions from workflows to Klaviyo: Seventeen actions for profiles, lists, segments, tags, campaign lookup, and sending draft campaigns.

All Klaviyo triggers poll every 5 minutes and return matching records since the last poll, in order. All Klaviyo triggers and actions are premium workflow components, so premium action credits apply at the standard automation rate. Klaviyo plan usage, such as active profiles and SMS credits, is billed directly by Klaviyo on your Klaviyo account.

Available Triggers

Klaviyo triggers can start workflows when profile, list, segment, or event activity is detected.

  • New event: Fires when a tracked event is recorded against a profile. It can be filtered by metric, such as Placed Order, Viewed Product, or a custom event.
  • New profile: Fires when a new profile is created in Klaviyo and returns the profile payload, including email and SMS subscription status.
  • Profile added to list: Fires when a profile is added to a selected Klaviyo list.
  • Profile added to segment: Fires when a profile matches a selected Klaviyo segment for the first time.

Available Actions

Klaviyo actions let workflows write data back to Klaviyo or look up Klaviyo records during an automation.

Profile actions include:

  • Create profile
  • Update profile
  • Find profile
  • Subscribe profile
  • Unsubscribe profile

List, segment, and tag actions include:

  • Create list
  • Find list
  • Add profile to list
  • Remove profile from list
  • Find segment
  • Find tags
  • Add tag to list
  • Remove tag from list
  • Add tag to segment
  • Remove tag from segment

Campaign actions include:

  • Find campaigns
  • Send campaign

The Send campaign action sends a draft Klaviyo campaign immediately. The campaign recipients, subject, and content must already be configured inside Klaviyo.

Setup and Authentication

Before a Klaviyo trigger or action can run, connect the Klaviyo account through OAuth.

Connect from the Workflow Builder
  1. Open Automation > Workflows and choose or create a workflow.
  2. Add a Klaviyo trigger or action from the Apps tab.
  3. Select the Klaviyo step.
  4. Click Connect your account.
  5. Review the requested Klaviyo scopes and click Allow.
  6. Return to the Workflow Builder and confirm the panel shows Connected.
Connect from Settings
  1. Go to Settings > Integrations.
  2. Locate Klaviyo and click Connect.
  3. Complete the OAuth flow on Klaviyo’s authorization screen.
  4. Return to SMBcrm.

Example: Profile Added to List Trigger

A common setup is a workflow that starts when a profile is added to a specific Klaviyo list.

  1. Open the workflow and click Add Trigger.
  2. Select Klaviyo from the Apps tab.
  3. Choose Profile added to list.
  4. Select the connected Klaviyo account.
  5. Name the trigger, such as New VIP List Member.
  6. Choose the Klaviyo list to watch.
  7. Use Find New Records to test the trigger.
  8. Select a returned record as the mapping reference.
  9. Save the trigger.

Testing the trigger locks the profile payload schema so downstream workflow steps can use the returned fields.

Example: Send a Draft Campaign

The Send campaign action can send a pre-staged Klaviyo campaign when a workflow condition is met.

  1. Build the campaign in Klaviyo and leave it in draft status.
  2. Add a new workflow step.
  3. Choose Klaviyo from the Apps tab.
  4. Select Send campaign.
  5. Pick the connected Klaviyo account.
  6. Choose the draft campaign from the dropdown.
  7. Click Test Action.
  8. Confirm the result in Klaviyo, then save the action.

Only campaigns currently in draft status appear in the campaign dropdown. Treat tests carefully because the action runs against the live Klaviyo account.

Important Notes

  • Klaviyo triggers are polled every 5 minutes, not instant.
  • Email and SMS consent are handled separately in Klaviyo.
  • Creating or updating a profile does not automatically subscribe that profile.
  • To update profile properties and subscribe a profile, use separate actions.
  • Tags are organizational metadata for Klaviyo lists and segments. They do not contain profiles themselves.

Multi-Level Ad Campaign Previews in SMBcrm

Released May 26, 2026

SMBcrm now supports multi-level ad campaign previews for Meta, Google, and LinkedIn campaign templates. Users can review the full campaign structure before creating a campaign, including multiple ad sets or ad groups and the ads inside each one.

What Changed

When selecting a campaign template from the Ad Template Library or while creating a campaign in SMBcrm Ad Manager, the preview can now show the full hierarchy:

  • Campaign > Ad Set or Ad Group > Ads
  • Multiple ads within each ad set or ad group
  • Placement-specific previews based on the selected platform
  • Sidebar navigation for switching between ad sets, ad groups, and associated creatives

This gives users a clearer view of how campaign templates are structured before they move forward with campaign creation.

Platform-Specific Preview Support

The preview experience is aligned with common ad placements and formats across supported platforms:

  • Meta: Feed, Story, and Reels
  • Google: Search, YouTube, and Gmail
  • LinkedIn: native LinkedIn placement

The same preview component is supported in both the Template Library and template-based campaign creation flows in SMBcrm Ad Manager.

Why It Matters

Previously, single-ad previews could make larger campaign templates harder to understand. Multi-level previews help users evaluate campaign hierarchy, creative groupings, and placement-specific layouts with more context.

For teams using ad campaigns as part of their lead capture workflow, this can reduce confusion before launch and make template-based campaign setup easier to review.

Additional Improvements

This update also includes UI and preview refinements, including fullscreen preview improvements and non-scrollable preview optimizations.

AI Studio Adds Dedicated User Permissions

Released May 27, 2026

AI Studio now supports dedicated permissions for controlling who can view or manage AI Studio within an account. This update also moves AI Studio to the IAM V2 permission architecture for more consistent access management.

What changed

AI Studio now includes two permission levels:

  • View AI Studio: Allows read-only access.
  • View & Manage AI Studio: Allows read and write access.

All AI Studio UI components and APIs are now protected based on assigned permissions. Only authorized users can create, edit, or manage AI Studio resources, and permission enforcement is standardized through IAM V2.

Why it matters

Admins and owners can apply more granular controls over AI Studio access and team responsibilities. This helps teams collaborate more safely while limiting management access to the users who need it.

This update also addresses a frequently requested improvement for SMBcrm AI features.

Browse AI Actions and Triggers in Workflows

Released May 27, 2026

SMBcrm Workflows can now connect directly to Browse AI. This adds one instant trigger, New Completed Task, and four actions: Run Task, Bulk Run Tasks, Get Task, and Get Bulk Run.

These workflow steps help automations respond when a Browse AI robot task finishes, start robot runs on demand, and retrieve task or bulk run results.

What changed

The Browse AI trigger fires as soon as a robot task is completed. It can be filtered by Robot and Select Operator, and it returns the captured data along with task metadata.

The Browse AI actions let a workflow:

  • Run a single robot task
  • Queue a bulk run
  • Fetch the result of a previous task
  • Fetch the result of a previous bulk run

Workflow variables are accepted in every input field, making the integration useful for dynamic automation paths inside SMBcrm automation.

How to use it

  1. In Workflows, add the Browse AI trigger or action.
  2. Select Connect your account and paste your Browse AI API key.
  3. For triggers, choose the Robot to monitor and optionally add a Select Operator filter.
  4. Run Find New Records to capture a sample payload.
  5. For actions, choose the Robot ID and pass any input parameters the robot expects.
  6. Run Test Action to validate the setup.
  7. Save and publish the workflow.

You can generate a Browse AI API key from the Browse AI dashboard under Settings > API Keys.

Example use case

A customer submits a competitor URL through a request form. The workflow runs the relevant Browse AI robot against that URL, waits for the task to finish through the New Completed Task trigger, parses the captured fields, and writes them to the customer’s CRM record.

This can reduce manual scraping and copy-paste work by connecting web data collection directly to CRM automation.

Additional notes

  • Trigger: New Completed Task, an instant webhook-backed trigger.
  • Trigger filters: Robot and Select Operator.
  • Actions: Run Task, Bulk Run Tasks, Get Task, and Get Bulk Run.
  • Authentication uses a Browse AI API key.
  • These are premium workflow steps billed per execution at the standard automation rate.
  • Browse AI usage, including robot credits or task credits, is billed by Browse AI directly on your account.
  • This integration is in beta.
  • Multi-account support is available through the Connected Account dropdown on each step.

Browse AI workflow steps can also support AI-assisted processes when paired with broader SMBcrm AI features.

AI Data Extract Action Added to Workflows

Released May 29, 2026

SMBcrm workflows now include AI Data Extract, a native AI-powered action for extracting structured data from unstructured text. It can take raw input from emails, SMS messages, webhook payloads, or AI outputs, then return clean, typed variables for use in later workflow actions.

This gives teams a way to turn messy text into usable workflow data without code or external tools. It is part of SMBcrm’s automation and AI features capabilities.

Key Capabilities

  • Custom value input: Select text-based data already available in the workflow using the custom value picker.
  • Optional context field: Add supporting context to help with more complex or ambiguous extraction needs.
  • Pre-built templates: Choose from common extraction patterns or define a custom field set.
  • Downstream variables: Each extracted field becomes a workflow variable that can be used in subsequent actions.

How It Works

To use AI Data Extract in a workflow:

  1. Click + Add Action in the workflow builder.
  2. Search for AI Data Extract in the AI action category.
  3. Select an input source, such as an email body or webhook payload, using the custom value picker.
  4. Optionally add context to guide the extraction.
  5. Choose a pre-built template or define custom fields.
  6. Save the action.

After saving, the extracted fields are available as variables for downstream workflow actions.

Why It Matters

Extracting usable data from unstructured text previously required manual workarounds or external tools. AI Data Extract brings that process directly into the workflow builder, making it easier to convert raw text into structured, actionable automation data.

AI Reply Suggestions Are Ready When You Open Conversations

Released May 29, 2026

SMBcrm has improved suggestive mode in Conversations AI so reply suggestions are prepared before you open the conversation. This helps teams using communication tools and AI features respond with fewer clicks while keeping every message under human review.

What Changed

  • AI suggestions are generated automatically when a new contact message arrives.
  • Suggested replies are prepared in the background instead of waiting for you to open the composer.
  • A redesigned suggestion card makes it easier to review, edit, and send AI-assisted responses.
  • You can accept a suggestion in one click or adjust it to match your voice.
  • Suggestions remain drafts only. Nothing is sent automatically.

How It Works

  1. A contact sends a new message.
  2. Conversations AI starts preparing a suggested response in the background.
  3. When you open the conversation, the suggested reply is already waiting in the suggestion card.
  4. You can review, edit, rewrite, or send the suggestion when it looks right.
  5. If a newer message arrives, the suggestion refreshes so it stays relevant.

Why It Matters

This update reduces waiting and removes the need to manually trigger suggestions after opening a conversation. Your team still controls the final message, but AI can now help prepare a response earlier in the workflow.

Reviews AI Adds Facebook Review Replies

Released May 29, 2026

Reviews AI now supports Facebook review replies in both suggestive and auto-response modes. Teams can use SMBcrm AI features inside Reputation workflows to respond faster while keeping control over tone, language, and source rules.

What changed

Users can now generate AI-assisted replies for Facebook reviews directly from the Reviews page. In suggestive mode, SMBcrm drafts a reply that users can review, edit, and send manually.

Auto responses for Facebook reviews

Reviews AI Agents can now automatically respond to Facebook reviews based on configured rules. Once an agent is created, it can respond to matching Facebook reviews automatically, helping teams improve response coverage with less manual effort.

Page-level source control

When creating or editing a Reviews AI Agent, users can choose which Facebook pages should receive auto responses. Supported review source options include:

  • All sources
  • All Google pages
  • All Facebook pages
  • Specific connected Google or Facebook pages

This gives teams more control over where review automation is enabled.

Supported AI Agent rules

Facebook auto responses use existing Reviews AI Agent settings, including:

  • Review type or rating conditions
  • Tone selection
  • Language preference
  • Review source selection
  • Page-level source control

How it works

To generate a suggested response, go to Reputation, open Reviews, and select AI Reply.

To configure auto responses:

  1. Go to Reputation, then Settings, then Reviews AI.
  2. Select Create Agent.
  3. Choose the tone, language, and review conditions.
  4. Select All Facebook pages or specific Facebook pages under Review Source.
  5. Save the agent.

The AI Agent can then respond automatically to matching Facebook reviews based on the selected pages and configured rules.

Test Integration Actions in Workflow Builder

Released May 29, 2026

SMBcrm now supports live testing for external-app action steps inside Workflow Builder. This helps builders validate mapped inputs, run the action against the connected app, and review the provider response before relying on the step in a workflow.

What changed

A Test Action button is available on every external-app action step. From the action configuration card, builders can launch a test flow without leaving the workflow setup experience.

When a test runs, SMBcrm uses the same connected account the action will use at runtime. Workflow variables, custom values, and transformations are resolved and applied the same way they would be when the workflow runs.

This gives teams using SMBcrm automation a clearer way to check integration actions during configuration.

What the test shows

The test drawer displays two side-by-side views:

  • Data In: The resolved inputs that will be sent to the provider after variable interpolation and transformations.
  • Data Out: The raw JSON response returned by the provider.

Large payloads are scrollable. Key response fields are also surfaced as inline chips and cards above the expandable JSON, making important values easier to review.

How it works

  1. Configure the external-app action as usual by selecting the integration, choosing the action, and mapping the required inputs.
  2. If the action depends on custom values from earlier workflow steps, those upstream values must be resolvable before the test can run.
  3. Click Test Action.
  4. The test drawer opens with a progress state while the live call runs.
  5. After a successful test, review the Data In and Data Out results.

The response schema automatically populates output fields that can be used by later workflow steps.

Why it matters

This update reduces the gap between setup and runtime by letting builders confirm how an integration action behaves while they are still configuring the workflow.
