Overview
April 2026 brought 97 updates to SMBcrm, with focus on Automation, AI, and Communication.
Highlights include AI Agent Action Added to Workflows, Gift Cards Are Now Available in SMBcrm, and Opportunity Forecasting.
Appointment Triggers Now Support Appointment Guests
Released April 1, 2026
Appointment-based workflow triggers can now enroll guests as well as the primary contact. This makes it easier to automate reminders, confirmations, and follow-ups for multi-participant appointments using Automation.
What Changed
Both Customer Booked Appointment and Appointment Status triggers now support guest contacts.
When setting up the trigger, you can choose who gets enrolled:
- Contact only
- Contact and Guests
- Guests only
If you choose Contact and Guests, the workflow runs once for the primary contact and once for each guest attached to the appointment.
If you choose Guests only, the primary contact is not enrolled.
How It Works
When the trigger runs, SMBcrm checks who is attached to the appointment at that moment and enrolls records based on the option you selected.
For the Customer Booked Appointment trigger, guests added after the appointment is booked are not enrolled from that earlier trigger event.
How to Use It
- Add a Customer Booked Appointment or Appointment Status trigger to your workflow.
- In Who should be enrolled into the workflow? choose Contact only, Contact and Guests, or Guests only.
- Save the trigger and publish your workflow.
Important Notes
- This applies to Customer Booked Appointment and Appointment Status triggers.
- Existing trigger configurations are not affected.
- The default behavior remains Contact only for backward compatibility.
Improved Border Controls in Page Builder
Released April 1, 2026
Page Builder now includes a more consistent border settings panel across supported elements. The update replaces older border controls and gives you more precise control over border styling while keeping existing pages working as expected.
What changed
- Adjust border width for each side individually
- Set border radius for each corner individually
- Choose from additional border styles: double, groove, ridge, inset, and outset
- Use a more consistent border editing experience across supported elements
- Keep older pages working correctly with previous border settings
How to use it
- Open Page Builder and select an existing element that supports border settings.
- In the element’s style settings, open the Border section.
- Adjust border width, radius, style, and color as needed.
Why it matters
These changes make it easier to create more customized page designs and give you finer control over element styling without disrupting existing layouts.

Workflow Trigger Stats Now Show Enrollments at a Glance
Released April 1, 2026
SMBcrm has improved trigger stats in the workflow builder so you can review enrollment activity without leaving the workflow. This makes it easier to understand how contacts are entering a workflow and where filters may be preventing enrollment.
For teams using Automation, the updated stats view gives a faster way to troubleshoot trigger behavior directly from the builder.
What Changed
Each workflow trigger now includes a built-in stats section that shows a quick snapshot of enrollment activity.
From the trigger, you can review:
- attempted enrollments
- matched contacts
- unmatched contacts based on filter criteria
You can also open a more detailed stats view to inspect contact-level results and identify why contacts did not enroll.
What You Can See in the Detailed View
The expanded view includes:
- attempted, matched, and unmatched enrollments
- contact-level details
- top unmatched reasons
- search results for specific contacts
This helps you spot patterns faster and verify whether a contact matched a trigger as expected.
How to Use It
- Open a workflow in the builder.
- Click the trigger.
- Open the stats section to review enrollment details.
- Select a stat or open the detailed stats view to inspect contacts, filter results, and unmatched reasons.
Additional Notes
- Available in both the standard builder and advanced builder.
- You can search for a specific contact to check whether they matched and why they did not enroll.
Ad Manager UI and UX Revamp
Released April 2, 2026
SMBcrm has updated Ad Manager with a redesigned experience across campaign creation, review, and performance tracking. The goal is to make campaigns easier to build, review, and optimize with clearer navigation, better visibility into results, and fewer avoidable errors.
What changed
Ad Manager now uses a more consistent interface across key areas of the product, including:
- Campaign builder flow
- Campaign listing page
- Settings and configuration screens
- Audience creation dialogs
- Onboarding and first-time setup experience
- Review and publish screen
- Ad preview sections
- Error handling and warning prompts
Campaign listing improvements
The campaign listing page now includes a more structured table layout for easier reading and faster scanning.
It also adds a quick-view performance panel so users can preview key metrics without digging into each campaign, including:
- Spend
- Leads
- Clicks
- Cost per lead
- Click-through rate
- Cost per click
- Results
Filtering, search, and date range selection have also been improved.
Campaign creation and review
Campaign creation has been streamlined with a cleaner step-by-step builder. Inputs are grouped more clearly around objectives, budget, targeting, and creative setup.
Validation has also been improved with clearer error messages and warning prompts to help reduce mistakes before launch.
Before publishing, users now get a dedicated review screen and better ad preview visibility for added confidence.
Why it matters
These changes are intended to help users:
- Create campaigns faster
- Navigate Ad Manager more easily
- See performance sooner
- Catch issues earlier in the setup process
- Work more confidently across ad platforms
If you use SMBcrm for lead capture, these Ad Manager updates support a smoother path from campaign setup to performance review.
Advanced Builder UX: Stats, Layout, Click Feedback
Released April 2, 2026
SMBcrm has made several usability improvements to the Advanced Builder to make workflow setup and review easier. These changes affect how stats are displayed, how the builder handles layout when stats are visible, the default AI Builder starting screen, and the visual feedback when clicking workflow nodes.
Cleaner default AI Builder screen
The Advanced Builder now opens to a cleaner default AI Builder screen, giving users a clearer starting point when creating a workflow.
More flexible stats controls
Stats mode is now easier to use inside the builder:
- Individual stats can be toggled
- Stats mode can be turned on in edit mode, not only in read-only mode
- If a workflow is saved with stats toggled on, that view remains saved after reload
These updates make it easier to review workflow performance while working in Automation.
Better layout handling when stats are visible
The builder now adjusts layout more cleanly when stats are shown, including improved handling for overlap and auto layout behavior.
Updated click feedback on workflow nodes
Workflow nodes now show a more polished visual response when clicked, including a drop effect and highlight color. This makes interactions on the canvas clearer and more responsive.
AI Builder Clarifies Missing Details Before Workflows
Released April 2, 2026
SMBcrm’s AI Builder now gathers missing context before generating or editing workflows. When a request is too vague, it asks a small set of focused questions first so the initial result is more accurate and requires fewer revisions.
This update improves the workflow creation experience for teams using Automation and AI features.
What’s Changed
Previously, vague prompts could lead the AI Builder to make assumptions. For example, a request like “follow up with the customer” might generate a full workflow that still needed several edits.
The same issue could happen when editing an existing workflow. If the instruction was too broad, the resulting changes might not match the user’s intent.
Now, the AI Builder can detect missing high-impact details and ask up to three focused questions before it generates or edits the workflow.
When the Clarifying Questions Appear
The AI Builder only steps in when important details are missing, such as:
- the workflow trigger is not specified
- the communication channel is not provided
- the timing of an action is not defined
- an unsupported channel is mentioned and a supported option is needed instead
How It Works
- Open the AI Builder and describe the workflow you want to create or edit.
- If important context is missing, the AI Builder asks targeted questions before continuing.
- Choose from the suggested options or enter your own response.
- Skip any question if you want the AI to decide for you.
- The workflow is then generated or updated using the added context.
Questions appear in a multiple-choice format. If more than one question is shown, you can move between them using navigation arrows. Every question can be skipped.
Why It Matters
AI-generated workflows are only as strong as the instructions behind them. By collecting the right details upfront, the AI Builder can deliver a better first output, reduce back-and-forth revisions, and help users get to a live workflow faster.
AI Builder Improves Data Linking for AI Actions and Tasks
Released April 2, 2026
SMBcrm has improved how AI Builder links data into AI actions and the Create Task action. The update helps generated workflows behave more reliably with less manual cleanup.
What Changed
AI Builder now passes the actual variable into action fields instead of inserting extra prompt text or instructions. In the past, generated workflows could place full instructions into an action input field instead of the value that action needed.
For example, instead of inserting a prompt like “Summarize the following text into bullet points,” AI Builder now passes the relevant variable directly, such as {{message.body}}. This lets the action do its job without redundant instructions that could affect the output.
This improvement applies to several AI-powered steps used in automation workflows and AI features.
Improved AI Actions
The update improves data linking in these actions:
- AI Summarize now passes the target variable directly into the input field.
- AI Translate now passes the source text cleanly without adding translation instructions.
- AI Intent Detection now links the correct content variable for sentiment or intent analysis.
- AI Decision Maker now passes the correct value for the content being evaluated and also fixes an issue where branch names could be left empty.
Create Task Improvement
AI Builder also improves the Create Task action by writing a usable task description for the assignee.
Previously, the description could read like a system instruction, such as “Create a follow-up call task for the new lead.” Now, the description is written as an actual task, such as “Follow up with {{contact.name}} to discuss their inquiry and schedule a discovery call.”
That makes generated tasks clearer and more actionable right away.
Why It Matters
These changes make AI Builder-generated workflows more dependable from the start. Users should see:
- less manual editing after workflow generation
- fewer issues caused by incorrect field inputs
- clearer task descriptions for assigned team members
- more consistent behavior across AI actions
Calendars: Buy Now, Pay Later with Klarna and Affirm
Released April 2, 2026
SMBcrm now supports Buy Now, Pay Later options for bookings with Klarna and Affirm. Eligible customers can choose installment payments during checkout for calendars, services, and rentals.
What changed
Businesses using SMBcrm payments can offer Klarna and Affirm as payment methods during booking. This gives customers more flexibility to pay in installments while still completing their appointment booking.
How it works
For businesses
- Offer Klarna and Affirm as payment options during booking
- Enable these options in Stripe under Payments, Settings, Integrations, and Manage Stripe
- Make sure Klarna and Affirm are enabled for calendars
For customers
- Choose Klarna or Affirm at checkout while booking
- Available options appear dynamically on the booking widget based on location and eligibility
- Complete the booking and pay in installments when eligible
Why it matters
- Gives customers more flexible payment options at checkout
- Can help improve booking conversion with installment-based payments
- Expands available payment provider options for more regions
- Creates a smoother booking experience
Documents Now Transfer During Contact Merges
Released April 2, 2026
Merging duplicate contacts now keeps associated documents together. Documents attached to secondary contacts are automatically transferred to the primary contact during the merge.
This update helps prevent missing files and reduces the need to manually re-upload documents after cleanup in your CRM.
What Changed
- Documents from secondary contacts now transfer automatically to the primary contact during a merge.
- Files remain accessible from the primary contact record after the merge is complete.
- Manual re-uploading and post-merge document tracking are reduced.
How to Use It
- Go to Contacts.
- Select the contacts you want to merge.
- Choose the primary contact.
- Complete the merge as usual.
- Open the documents section of the primary contact to view the combined files.
Why It Matters
- Important documents stay with the merged contact record.
- Duplicate cleanup takes less manual effort.
- Teams can work from a more complete contact history.
Embed the Live Chat Widget Inside Your Pages
Released April 2, 2026
You can now place the SMBcrm Live Chat Widget directly inside your website or funnel content instead of limiting it to a floating chat bubble. This gives you more flexibility in how chat appears across your pages and can help you position conversations closer to forms, CTAs, and other key conversion points.
For teams using SMBcrm for communication and AI features, this update makes it easier to fit chat naturally into the page experience.
What Changed
Inline chat placement is now available
A new Embedded/Inline option is available under Widget Placement in the Live Chat Widget settings. When selected, the widget renders inside the page content instead of appearing only as a sticky or floating bubble.
You can place it in areas such as:
- Below a hero section
- Near a call to action
- Inside or alongside a form
- In pricing or landing page sections
A more integrated on-page experience
Inline placement makes chat feel like part of the page layout rather than an overlay. This can improve visibility and make it easier to present chat where visitors are already making decisions.
Inline customization stays focused
The widget includes customization options suited to the embedded experience, and the preview reflects how the chat will appear within the page layout.
Works across supported page types
Embedded chat can be used anywhere widgets are supported, including:
- Funnels
- Websites
- Landing pages
- Custom HTML sites
You can also use multiple embedded placements across different pages.
Mobile responsive by default
The embedded widget automatically adjusts for smaller screens to maintain a consistent mobile experience.
How to Use It
- Go to Sites → Chat Widget.
- Create a new Live Chat Widget or open an existing one.
- Open the Style tab.
- Under Widget Placement, select Embedded/Inline.
- Customize the widget appearance, messaging, and branding.
- Click Get Code and copy the embed snippet.
- Add the code to your funnel or website using a code, HTML, or embed section.
- Publish the page to render the widget inline within your content.
What Stays the Same
- Existing sticky widget behavior is unchanged
- Embedded and sticky widgets can be used across different pages
- Chat routing, messaging, and backend workflows are unchanged
Gift Cards Are Now Available in SMBcrm
Released April 2, 2026
Businesses can now run gift cards inside SMBcrm from creation through redemption. This update adds gift card products, direct selling and sending options, order tracking, and redemption across supported checkout experiences.
Gift cards work as a prepaid balance that customers can buy for themselves or others, or that businesses can issue directly for refunds, promotions, loyalty, or customer recovery.
For businesses using Payments & Commerce, this brings gift card management into the same platform where payments and checkout activity already happen.
What You Can Do
Create gift card products
You can now create gift card products under Payments. Gift card products support:
- Name, description, and terms
- An optional redemption link in gift card emails
- Optional expiration dates
- Artwork and branding
- Custom uploads and gradient creation
- Multiple denominations
- Optional automatic taxes using the gift card tax category
- Optional categories
- A preview before publishing
Gift card products can also be edited, archived, or deactivated.
A few important details from this release:
- Deactivating a gift card product disables its dedicated sell and send actions immediately
- If a deactivated gift card is still attached to another checkout, it can continue to be sold there until it is manually removed
- Inventory is not set separately by denomination. If quantity is set to 100 and the product has two denominations, each denomination gets 100
- The gift card is created at the last step of the purchase or send process
Sell gift cards through checkout
Each gift card product gets its own dedicated checkout in both test mode and live mode. Businesses can sell gift cards through:
- A dedicated checkout link
- Embed code for a website page
- A QR code that sends customers to the dedicated checkout
- Existing checkouts where the gift card is added as a product, including funnels, forms, payment links, invoices, store checkout, calendar payments where supported, and websites
At the dedicated checkout, customers can:
- Choose a denomination
- Buy for themselves or someone else
- Schedule delivery or send it right away
- Complete payment in test mode or live mode, based on the checkout used
If a gift card is purchased in test mode, it can only be redeemed on test mode checkouts. If it is purchased in live mode, it can only be redeemed on live mode checkouts.
When a gift card is sold through an existing checkout, it is delivered to the email address of the customer who buys it.
Send gift cards directly
Businesses can also issue gift cards directly to customers without taking payment. This send flow is available in live mode only.
You can:
- Select an existing customer
- Add a personal message
- Use Write with AI to draft the message
- Deliver by email, SMS, QR link by email, or PDF by email
- Schedule delivery for a future date
- Preview the communication before sending
Additional details:
- Directly sent gift cards appear in Gift Card Orders, but not in the general Payments orders list
- You can currently send one gift card to one customer per flow
- Sending a gift card reduces inventory
Track gift cards in Gift Card Orders
A new Gift Card Orders tab under Payments shows all sold and sent gift cards after the first one is issued.
From Gift Card Orders, businesses can view:
- Purchaser details
- Recipient details
- Denomination
- Expiration date
- Remaining balance
- Status such as Scheduled, Active, or Inactive
- Gift card number inside the order details view
- Delivery method and schedule
This gives teams a single place to review gift card activity and balances.
Redeem gift cards across supported checkouts
Customers can redeem gift cards anywhere the gift card redemption experience is supported, including:
- Funnels
- Forms
- Payment links
- Invoices
- Store checkout
- Calendar payments where applicable
This also works with supported payment providers including Stripe, NMI, Authorize.net, and Square in scenarios described in the release, including partial payments and subscription purchases. For one-time products that are fully paid by gift card, redemption can be available regardless of payment provider.
At checkout, customers can enter their gift card number and immediately see the remaining balance.
Gift cards can be used for:
- Full payment when the balance covers the order total for one-time products
- Partial payment, with the remaining amount charged to another payment method
For subscription purchases, the system still collects another payment method even if the gift card covers the initial charge, because future billing may be required.
Gift cards cannot be used in upsell purchases.
What Changed After Early Testing
Based on customer feedback, the redemption experience now makes these values clearer during checkout:
- Gift card applied
- Remaining gift card balance
- Amount left to pay, when additional payment is needed
Where to Find It
You can find gift card tools in these areas:
- Payments → Gift Cards → Gift Card Products
- Payments → Gift Cards → Gift Card Orders
- The Sell section within each gift card product for checkout links, embeds, and QR codes
- The Send section within each gift card product for direct issue workflows
- Supported existing checkout experiences where gift cards can be added as products
Current Limitations Noted in the Release
The release also notes a few current limitations:
- Direct sending is live mode only
- Test mode and live mode gift cards cannot be redeemed across modes
- Separate inventory by denomination is not available
- Gift cards must exist and have been sent or purchased before redemption appears at checkout
- Gift cards cannot be redeemed in upsell flows
Services Booking Experience Enhancements
Released April 2, 2026
SMBcrm has updated the Services booking experience in the app and on the booking page. These changes are designed to make scheduling clearer, reduce booking errors, and improve the customer checkout flow.
In-App Booking Improvements
The in-app booking experience now includes several workflow updates for businesses:
- Phone number country codes are auto-selected based on your business location.
- The logged-in user is automatically selected as the staff member when creating a booking, when applicable.
- If a service is no longer available, a clear alert appears before saving, and unavailable services are highlighted.
Appointment Title Improvements
Appointment titles are now more flexible and easier to standardize:
- You can add dynamic values such as contact, service, or location to appointment titles.
- A global default appointment title format can be set under Services → Global Settings → Service Settings.
- That setting applies across service bookings for more consistent calendar entries, notifications, and integrations.
Booking Page Improvements
The customer booking page also includes usability updates:
- Category and location filters are automatically hidden when there is only one option.
- Location details are shown only when they are relevant.
- On mobile, card-on-file flows now display the upfront payment or deposit amount more clearly.
Why It Matters
These changes help make the booking journey smoother from setup to checkout by:
- simplifying the booking flow
- reducing confusion and avoidable errors
- improving visibility into service availability and payment details
- creating more consistent appointment naming across the platform
Social Planner Stats Add Date Ranges and Comparisons
Released April 2, 2026
Social Planner statistics now support custom date ranges and comparison views, making it easier to review campaign performance across the timeframes that matter most.
This update replaces the earlier fixed 7-day analytics view with more flexible reporting options for trends, campaign analysis, and growth tracking.
What Changed
Users can now select a custom start and end date in Social Planner statistics.
Quick presets are also available for:
- 7 days
- 14 days
- 30 days
- Custom
When a date range is selected, KPIs, totals, and charts update based on that timeframe.
Compare Performance With a Previous Period
Social Planner statistics can also compare the selected date range against a previous equivalent period.
Available comparison presets include:
- Previous Period
- Previous 7 days
- Previous 30 days
- Custom
Percentage change indicators are shown for:
- Total Posts
- Likes
- Followers
- Impressions
- Comments
Improved Chart Scaling
Charts now adjust based on the selected timeframe for easier reading.
- Shorter ranges show daily data points
- Longer ranges use aggregated views automatically
Why It Matters
This update makes it easier to:
- analyze performance across exact campaign windows
- compare growth trends without exporting data
- create clearer reports from Social Planner statistics
- reduce reliance on outside analytics tools
Workflow Builder Now Includes Find and Replace
Released April 2, 2026
SMBcrm now includes Find and Replace inside a single workflow, making it easier to locate and update values across your automation steps.
With this update, you can search for custom values, tags, or text, then replace supported custom values and tags one at a time or across the current workflow. It is designed to speed up edits in larger automation workflows.
What Changed
You can now:
- Search within one workflow by custom values, tags, or text
- See matching results instantly
- Jump directly to matching nodes on the canvas
- Replace supported custom values or tags one at a time
- Use Replace All for supported matches within the current workflow
- Undo changes if needed
Find and Replace is available in both the Standard Builder and the Advanced Builder.
How It Works
Open a workflow and click the search icon, or use:
- Alt+F on Windows
- Option+F on Mac
From there, choose whether you want to search by custom values, tags, or text. As results appear, the first match opens automatically and the builder moves to that node on the canvas. You can continue moving through the results and the canvas will follow your selection.
If you turn on Replace, you can choose a replacement from the custom value picker and apply it to the current match or all supported matches in that workflow.
Supported Behavior
A few important details:
- Search supports partial matches
- Search is case-insensitive
- Replace supports custom values and tags only
- Replace All applies only within the current workflow
- Step names and trigger names can be found through text search, but they cannot be replaced in this version
- An in-app tutorial is available to help guide users through the feature
Why It Matters
Large workflows can be difficult to review when the same value, tag, or text appears in multiple places. Find and Replace reduces manual searching and helps you make updates more efficiently.
For example, you can:
- Find a tag such as HighPriority and replace it with Urgent across the workflow
- Replace a custom value such as Agency Email with Support Email wherever it appears in email steps
Template Library Update
Released April 4, 2026
SMBcrm has added more templates across several content types to give teams more ready-made starting points for campaign and asset creation.
What was added
This update includes:
- 1 website template for Automotive
- 1 email template for Restaurant & Bar
- 1 form template for Legal
- 1 survey template for Medical
- 2 social templates for Marketing Agency and Legal
- 3 Google Ad templates for Other, Medical, and Marketing Agency
Teams using Websites & Funnels may find the added website template especially useful when launching or refreshing client-facing pages.
Why it matters
More template coverage can help shorten setup time and give users a clearer starting point when creating websites, marketing assets, and lead capture experiences.
AI Studio: Navigation, Previews, and Reliability
Released April 6, 2026
SMBcrm has updated AI features in AI Studio to improve project navigation, make activity details clearer, and fix several issues that affected previews and project reliability.
What changed
Easier folder navigation
When you open projects inside a folder, AI Studio now shows a breadcrumb trail such as All Projects > My Folder so you can move back more easily.
Clearer dependency activity
When AI Studio adds or removes a dependency, the activity feed now shows the package name instead of a generic message.
Fixes included in this update
More reliable live previews
Several preview-related issues were addressed:
- previews that appeared stuck on “not ready” during code generation are now resolved
- preview status is now checked live more consistently, reducing incorrect “not running” messages
- extended AI thinking phases no longer incorrectly trigger a “Something went wrong” error
Better project and interface stability
This update also fixes a number of workflow issues:
- very long project names no longer push toolbar buttons off-screen
- the original AI summary is preserved when build errors are auto-fixed
- projects reopened with additional installed packages now restore those dependencies correctly
- preview links are marked as non-indexable so they do not appear in search results, while published sites are unaffected
Behind-the-scenes improvements
A few internal changes were also made to improve reliability:
- the sandbox now stays active during long AI generations
- staging and production sandboxes now run separately
- unused preview worker code was cleaned up
Why it matters
These changes make AI Studio easier to navigate and more dependable during longer or more complex project sessions, especially when working with previews and installed packages.
Digital Product Delivery by Email and Instant Access
Released April 6, 2026
SMBcrm now supports more flexible digital product fulfillment for ecommerce stores. You can deliver files by email, share external URLs, and give customers instant access after checkout without requiring a login.
What changed
Store owners can now choose how digital products are delivered after a purchase. Supported delivery methods include:
- Email attachments for smaller files
- External URL delivery for digital products hosted elsewhere
- Instant access from the Thank You page after checkout
Customers can also access download or URL buttons in order emails and on the Thank You page when direct delivery is enabled.
Email delivery behavior
SMBcrm handles file delivery based on file size:
- Files 20 MB or smaller are attached to the order confirmation email
- Files larger than 20 MB are delivered through a secure download button in the email
This helps avoid email attachment size issues while still giving customers access to their purchase through your communication tools.
Instant access after checkout
When direct delivery is turned on, customers can download files or open URL-based products immediately after checkout without signing in. Access buttons appear:
- On the Thank You page
- In order confirmation emails
Delivery control settings
A new setting is available in Payments → Settings → Notifications:
Deliver digital products directly after purchase for Store orders
- When enabled, digital products are delivered right away by email and on the Thank You page
- When disabled, fulfillment defaults to the Customer Access Center
New accounts have direct delivery enabled by default.
URL-based fulfillment with expiration
You can also add an external URL as a digital product and set an expiration period starting from the time of purchase. This is useful when you want to control access to hosted content instead of delivering a file directly.
How to use it
- Go to Payments → Settings → Notifications in your store
- Enable Deliver digital products directly after purchase for Store orders
- Create or edit a product variant
- Select Digital Product
- Upload a file or add an external URL with an expiry setting
- Optionally update your order confirmation email
- Save your changes
Important notes
- If direct delivery is disabled, files are delivered through the Customer Access Center by default
- Existing custom email templates must be re-saved to show the updated download button behavior
- If no digital file or external URL is attached to the product, no download button appears in the order flow
- On iOS devices, downloads may redirect to a file list or the Customer Access Center due to device restrictions
- If multiple files are included, iOS users may need to download them one at a time
Voice AI Full-Screen Agent Builder
Released April 7, 2026
SMBcrm has updated the Voice AI agent builder with a dedicated full-screen workspace that keeps setup, configuration, and testing in one place.
Instead of moving between separate tabs, you can now build and manage Voice AI agents in a layout similar to other SMBcrm builders. This helps reduce context switching and makes the process easier to follow.
What changed
Three-panel workspace
The new builder uses a three-panel layout so you can work across key tasks side by side:
- Edit the agent prompt
- Adjust configuration settings
- Use a live test console to test with a phone call
This makes it easier to update an agent and immediately check how it performs without leaving the screen.
More settings in one place
The builder now organizes agent options into clean, collapsible sections. Available settings include:
- Actions
- Knowledge Base
- Call Settings
- Voice Settings
- System Prompts
- More than 50 additional settings
This reduces the need to search through multiple tabs when updating an agent.
Build and deploy from one view
You can now configure and publish an agent from the same screen, including:
- Agent configuration
- Working hours
- Call routing
- Publishing
For teams using AI features, this creates a more streamlined workflow for both setup and ongoing updates.
Why it matters
This update is designed to make Voice AI agent setup faster and smoother, whether you are creating your first agent or managing many agents across accounts.
Add Task: Flexible Due Dates and Rich Text
Released April 8, 2026
SMBcrm has updated the Add Task action in Automation to give you more control over task scheduling and formatting.
What changed
You can now configure task due dates using:
- Days
- Weeks
- Months
- Years
You can also:
- Set a specific due time
- Use Exclude Weekends when needed
- See a live preview of the evaluated due date and time
- Add rich text formatting to task descriptions
Task description formatting is preserved when the task is saved and displayed in Tasks.
How it works
In the Add Task action, due dates are now set through a Due In field with a numeric value and time unit. If you choose, you can also set a specific due time.
The action shows a live preview of the final due date and time based on the current configuration. If Exclude Weekends is enabled, weekends are skipped in the calculation, and the preview uses the same logic as the final task creation.
Rich text descriptions keep their formatting after the task is saved and when it appears across task views.
Why it matters
This update makes it easier to plan follow-up work beyond a short day-based window and assign tasks for a specific time of day. It also helps teams create clearer task instructions directly from workflows.
For example, a real estate team can create a task due in 2 weeks at 10:30 AM for a follow-up call after a property tour.
Compatibility note
Existing workflows that use the current day-based due date setup continue to work the same way.
AI Agent Action Added to Workflows
Released April 8, 2026
SMBcrm workflows now include an AI Agent action that can reason through tasks, use available tools, and return structured outputs in a single step. It helps teams build more flexible automations without manually mapping every branch and condition.
What Changed
The AI Agent action brings autonomous decision-making into automation workflows. Instead of predefining every branch, condition, and field mapping, you can describe the goal in plain language and let the agent decide how to complete it using the tools you allow.
The agent can:
- plan the sequence of actions inside a workflow step
- choose inputs based on available context
- handle edge cases during execution
- return outputs for later workflow steps to use
Key Capabilities
CRM Context Awareness
The agent can pull context from across the CRM, including contact details, pipeline data, calendar availability, opportunity history, and custom fields. This reduces the need for manual lookups and variable mapping.
Natural Language Instructions
You can write instructions in plain English instead of relying only on rigid field-by-field setup. For example, the agent can resolve references such as a team member name or a pipeline name from your instructions.
Prompt Enhancement
The Enhance Prompt option can turn rough instructions into a more structured prompt with ordered steps, edge case handling, and messaging guidance.
Ready-to-Use Starting Templates
The AI Agent includes prebuilt starting points for common use cases such as:
- form lead follow-up
- no-show appointment recovery
- Facebook lead nurturing
- stale deal follow-up
- lead research and enrichment
- call transcript summaries and action items
- comment-to-DM outreach
- lead pipeline tracking
- appointment enrichment and confirmation
- quiz lead scoring and routing
- task creation from won deals
Per-Tool Control
You can decide how much autonomy to give the agent. Each tool includes an option to let AI decide field values, while still allowing you to lock specific fields when needed.
Conversation Memory
When enabled, the agent keeps a rolling summary of past executions for the same contact. That allows follow-up actions to adapt based on prior activity instead of treating each run as a separate event.
Structured Output
The agent can return results as text or JSON with a defined schema. Those results can feed into later workflow logic such as If/Else branches, field updates, or downstream actions.
Execution Logs
Each run includes a detailed execution trace showing reasoning steps, tool calls, inputs and outputs, timestamps, token counts, and success or failure status.
Model Options
Available model options include GPT-5.2 with Low, Medium, and High thinking modes, GPT-5.1 with Low, Medium, and High thinking modes, and GPT-5 Nano as the fastest option.
How to Use It
- Open a workflow.
- Click Add Action.
- Search for Agent or browse the Workflow AI category.
- Select AI Agent.
- Choose a template or start from scratch.
- Write the instructions for what the agent should do.
- Add up to 10 tools the agent can use.
- Configure options such as Conversation Memory and Output Format.
- Save and publish.
Pricing Notes
Pricing is usage-based.
Each execution is charged based on:
- total LLM tokens consumed across reasoning and tool calls, based on the selected model rate
- any premium tool executions used through integrations such as ClickUp, Airtable, or Notion
Standard CRM tools such as sending SMS, updating contacts, or adding tags do not add a premium tool charge.
Why It Matters
This update gives workflow builders a way to create automations that respond more flexibly to real CRM context. Instead of manually defining every path, teams can describe the outcome they want and let the AI Agent handle the intermediate reasoning.
Communities Events Now Support Live Rooms
Released April 8, 2026
Communities Events can now host live sessions directly with Live Rooms, or use Zoom, Google Meet, or another meeting link. This gives attendees a more consistent way to join events, including from mobile.
What Changed
You can now run events inside Communities using a built-in Live Room, or continue using an external meeting link.
Available event meeting options include:
- Live Room for built-in live sessions
- Zoom meeting links
- Google Meet links
- Other custom meeting links
This update improves how events are created and joined inside Memberships & Education.
How It Works
When creating an event, you can add the meeting option as part of the setup. If you choose Live Room, the meeting space is created with the event so it is ready to share right away.
That means you can:
- create the event and meeting in one place
- share the event once the meeting is ready
- give attendees a more consistent join experience
What Attendees Can Expect
Attendees can join directly from the event, which reduces confusion about where to go and which platform to use.
This update also supports joining events from the SMBcrm Mobile app.
Conversation Notifications for Followers
Released April 8, 2026
Users can now get notifications for new messages in conversations they follow. This helps teams stay aware of updates without manually checking each conversation.
What Changed
A notification option is now available for conversations where a user is a follower.
- In-app notifications are enabled by default for followers
- Email notifications can be enabled based on user preference
- SMS notifications can be enabled based on user preference
Why It Matters
Previously, only conversation owners could receive notifications for new messages. Followers had to check conversations manually, which made it easier to miss updates.
With this change, followers can stay informed in real time and respond faster inside Communication.
Conversations Usability Improvements
Released April 8, 2026
SMBcrm updated Conversations to make bulk selection easier and internal comments faster to access. These changes reduce friction in everyday communication workflows.
For teams using Communication, the update focuses on two areas that previously slowed down routine conversation handling.
What Changed
Bulk selection is easier to manage
Previously, bulk actions appeared in the center panel and could cover chat history. That made it harder to review conversations before selecting them. Selection could also be cleared if you clicked outside the checkbox, which created extra effort.
Now, bulk actions appear at the top so you can keep viewing conversations while making selections. Selections are retained even if you click elsewhere on the card. Clicking a chat card opens the conversation without clearing your selection, while the checkbox still adds or removes the conversation from the selection.
Internal comments are faster to access
Previously, adding an internal comment required opening the channel selector, finding Internal Comment, posting the note, and then switching back to the original channel. That made collaboration slower during active conversations.
Now, Internal Comment is available directly in the composer with a single click. You can switch more quickly between replying to a customer and leaving an internal note.
Why It Matters
These improvements make conversation management more reliable and reduce interruptions when reviewing messages, working through bulk actions, and collaborating internally.
Meetings Now Support Reusable Personal Links
Released April 8, 2026
Meetings in the client portal now support reusable personal links for one-time and recurring sessions. This makes it easier to share one link and use it again without recreating meetings.
What Changed
You can now use the same personal meeting link across multiple sessions instead of creating a new link each time.
This update supports:
- One-time meetings for single sessions or events
- Recurring meetings that keep the same link every time
- Simpler sharing with clients or team members
- Fewer last-minute issues caused by expired or replaced links
Why It Matters
Reusable meeting links reduce setup work and make scheduling more consistent.
With the same link available each time:
- You only need to share it once
- Participants can join using the same link for future sessions
- Hosts can start a session whenever needed
- Recurring meetings stay available instead of needing to be recreated
Where to Find It
In the client portal, go to Account Settings > Meeting to get your personal meeting link.
This update is especially useful for ongoing sessions inside your Memberships & Education tools, such as coaching calls, weekly syncs, or repeat client meetings.
Packing Slip Updates: Order Notes and SKU Support
Released April 8, 2026
Packing slips now include customer order notes and product SKUs to make order fulfillment clearer and easier to manage.
What Changed
Order notes on packing slips
Customer notes entered during checkout now appear in a dedicated Order Notes section at the top of the packing slip, above the item list.
If an order does not include notes, that section stays hidden.
SKU added to line items
Each product on the packing slip now shows its SKU in the line items table alongside the product name and quantity.
SKU values are pulled from the product configuration.
How It Works
- Customer notes entered during checkout appear automatically on the packing slip
- Product SKUs are displayed for each line item
- The packing slip layout adjusts for both single-item and multi-item orders
- Existing packing slips remain compatible
Why It Matters
These updates help fulfillment teams see customer instructions more easily and identify products faster during packing.
Schema Markup Form View Now Shows Missing Fields
Released April 8, 2026
Users working with schema markup in the website and funnel builder will now see a warning when form view cannot display every field in a schema.
This update makes schema editing clearer by showing when unsupported fields are present and giving users a direct path to full editing in JSON view.
What Changed
When a schema contains fields that the form view cannot render, an amber warning banner appears below the schema type.
The banner:
- appears only for schemas with unmapped fields
- lets users expand View details to see the exact missing field names
- shows nested fields using dot notation, such as
estimatedCost.value - displays the first 5 fields, with a
+X moreindicator for longer lists - includes a JSON view link so users can switch directly to full editing
- updates automatically if missing fields are later mapped or removed
Why It Matters
Previously, unsupported fields were hidden in form view with no indication that anything was missing. Now users can quickly see when a schema is incomplete in the editor and understand how to access the full data.
This improves:
- transparency when AI-generated or pasted schema includes unsupported fields
- confidence that important fields are not being overlooked
- guidance for switching to JSON view when full control is needed
For teams using SMBcrm for lead capture and website experiences, this helps reduce confusion when managing structured data inside the builder.
How to Use It
- Add schema using AI or a JSON script.
- Open the schema in form view.
- If unsupported fields exist, the warning banner appears below the schema type.
- Click View details to review the missing fields.
- Click JSON view to edit the full schema.
Fully mapped schemas are unaffected and continue to display normally.
Social Planner Adds Magic Link Post Approvals
Released April 8, 2026
Social Planner now supports secure magic links for post approvals. This lets clients and stakeholders review content, approve or reject posts, add notes, and request scheduling changes without signing in.
What Changed
The new external approval flow is designed to reduce back-and-forth during content review. Instead of sending screenshots or asking reviewers to access the platform, you can generate a secure link and share it directly.
With these approval links, reviewers can:
- approve or reject posts with notes
- reschedule posts
- use bulk actions like Approve All or Reject All
- review post details before taking action
Each approval page includes:
- a post preview with image or video and caption
- scheduled time
- platform details
- creator notes
Security and Link Controls
Approval links include an auto-generated password option, and links expire after 30 days. Users can also:
- regenerate links
- revoke access
- extend link validity
- track link status as Active, Expired, or Revoked
If a link expires, the reviewer can request a new one and the creator can regenerate it.
How to Use It
In Social Planner, select the approver and generate an approval link. You can use an auto-generated password or create a custom one, then share the link with your client or stakeholder.
The reviewer can open the link, review the post, and take action. Notes added during approval or rejection sync back into Social Planner so the post creator can see feedback in context.
You can also manage approval links from the Manage Links section in settings.
Notes
- Approval links are valid for 30 days.
- Links can be regenerated or revoked at any time.
- Actions are restricted once a post is published.
- Only users with the required permissions can generate approval links.

Version history and rollback
Every edit is saved so you can preview, bookmark, or roll back changes when needed.
Unsaved changes protection
The builder warns you before leaving with unsaved changes, helping prevent lost work.
Why It Matters
This update makes custom website editing more efficient by keeping coding, searching, reviewing, and fixing issues in one place.
AI Studio Improves Agent Tasking with Todo Manager
Released April 9, 2026
SMBcrm has updated AI Studio tasking with Todo Manager, making multi-step agent workflows more reliable and easier to follow. The update improves task transitions, progress visibility, and context awareness for better execution.
What Changed
This update shifts agent task management from an implicit process to a more explicit workflow system.
Key improvements include:
- Explicit task creation, transitions, and additions through Todo Manager
- Label-based task transitions instead of numeric task indexing
- Dynamic task status updates for active and completed work
- Better planning and context awareness for multi-step task execution
- More structured tool handling with centralized task management
For teams using AI features and automation workflows, this should make complex task sequences easier for agents to manage and easier for users to follow.
Why It Matters
Previously, task handling relied on numeric indexes and inferred transitions, which could create mismatches and make progress harder to interpret.
With Todo Manager, task flow is more clearly defined. That improves:
- Reliability in multi-step jobs
- Accuracy when tasks are added or updated during execution
- Readability with human-friendly task labels
- Visibility into active and completed task states
- Overall model awareness of task order and dependencies
UI and Workflow Improvements
The update also improves the way task progress appears in the interface.
- Tasks now use more descriptive labels
- Progress states are clearer in the frontend
- Existing UI compatibility is maintained while supporting richer task detail
Practical Impact
This update helps AI agents handle multi-step work with clearer transitions and better awareness of what comes next. In practice, that can reduce tasking errors, improve progress tracking, and support more dependable execution in AI-driven workflows.
Contact Page Customization Is Available in Labs
Released April 9, 2026
Contact page customization is now available in Labs for all users.
This update gives teams more control over how contact records are structured and viewed inside the CRM. Instead of using one fixed layout for everyone, you can create different contact views based on role, workflow, or team needs.
What Changed
You can now customize the contact detail page with options such as:
- Custom contact detail layouts for users and admins
- Up to 5 different views per account
- View assignment for specific users or user groups
- 2-panel or 3-panel layouts
- Tabs or dropdowns for modules
- Drag-and-drop module placement across panels
- An enhanced contact card with key details like email, phone number, and address
- More control over where modules appear on the page
- Show or hide custom fields and folders based on relevance
How It Works
To use contact page customization:
- Enable contact page customization in Labs.
- Go to Contacts > Settings > Customize contact detail view.
- Create a custom view.
- Arrange modules, choose the panel layout, and select how modules display.
- Set visibility for custom fields and folders.
- Assign the view to individual users or user groups.
Once assigned, users will see their designated layout when they open contacts.
Why It Matters
Previously, all users had to work from the same contact layout, even when their responsibilities were different.
With this update, teams can:
- Tailor the contact experience by role
- Surface the most important information first
- Reduce clutter by hiding unnecessary fields
- Improve productivity with layouts that better match day-to-day work
Looking Ahead
The source release also notes planned improvements, including:
- More control over who can create custom views
- Panel resizing
- Allowing modules to appear multiple times on the page
- Module renaming
- Renaming the Actions and All fields tabs
- Making tags available as a movable standalone card
Contact Tag Trigger Adds Configuration Safeguards
Released April 9, 2026
SMBcrm added two safeguards to the Contact Tag trigger to help users avoid common workflow setup mistakes. These changes make trigger behavior clearer and help prevent unintended workflow runs.
For teams using Automation with contact-based processes in CRM & Sales, the update adds better guidance directly inside workflow configuration.
What Changed
Retroactive enrollment info banner
When you add a tag inside the Contact Tag trigger filters, an info banner now explains that the trigger applies only to tags added after the workflow is published.
The banner is dismissible using the close icon. Once dismissed, it will not appear again for that user. If it is not dismissed, it will appear up to 3 times before stopping automatically.
Warning when no filters are configured
If a user tries to save the Contact Tag trigger without any filters, SMBcrm now shows a warning that the workflow will trigger for every tag added or removed across all contacts.
The warning gives two options:
- Add Filter to return to filter configuration
- Save without filters to continue for advanced use cases
Why It Matters
- Sets clearer expectations about post-publish trigger behavior
- Helps prevent accidental workflow runs across the full contact base
- Puts retroactive enrollment guidance closer to where users need it
- Keeps advanced users flexible by allowing warnings to be dismissed or overridden
Courses Settings UI Now Available in Labs
Released April 9, 2026

- Easier custom domain setup
- Image cropping support for brand logos and favicons
- Faster loading across the settings area
- Improved form validation and usability
- Clearer navigation feedback when opening client portal settings
How to Enable It
This feature is currently available in Labs.

- Turn it on to use the updated experience
Drip Action Upgrades for Schedule Visibility
Released April 9, 2026
SMBcrm has improved the Drip action with clearer schedule previews, better in-workflow visibility, and more reliable pacing when workflows move between draft and published states.
These changes help users understand how drip schedules will run before publishing and reduce confusion when workflow settings or status changes affect queued contacts.
What Changed
Live schedule preview during setup
When configuring a Drip action in Automation, you can now preview how the schedule is expected to run before publishing.
The preview includes:
- Up to 10 upcoming batches
- Batch number and scheduled send time
- A warning when an active workflow time window shifts batches to the next available slot
The preview appears during initial setup and stays hidden when contacts are already queued in the drip.
Better statistics and batch insights
The Drip action’s statistics icon is now a clearer, more discoverable button that opens a detailed view of drip activity.
This view includes:
- Contacts currently in the drip
- Next batch details and ETAs
- A full batch schedule with scheduled send times
- Active timing constraints affecting delivery
- A status column and pagination
- Existing actions such as moving a contact to the next step, deleting, and opening the contact record
When drip settings are edited after contacts have already been queued, SMBcrm also clarifies that those updated settings apply only to new contacts entering the workflow.
Clearer warning when batch size changes
If you change batch size on a workflow that has already been published and currently has queued contacts, an informational note explains that queued contacts will keep the previous batch size while new contacts use the updated setting.
Auto-pause in draft and resume on publish
If a workflow is switched from published to draft while contacts are queued in a Drip action, those contacts are now paused for the full time the workflow remains in draft.
When the workflow is published again, the drip resumes from where it stopped instead of sending queued contacts all at once. This helps preserve the intended pacing.
Drip details on hover
A hover tooltip now shows the Drip action configuration without opening the step. For example, users can quickly see settings like batch size and interval directly from the workflow view.
Updated field tooltips
Tooltips inside the Drip action have been refreshed with clearer descriptions and examples so users can understand each field more easily while configuring the action.
Why It Matters
These changes address several common points of confusion in drip scheduling:
- Workflow time windows can shift batch timing
- Mid-run setting changes may apply only to new contacts
- Moving a workflow between published and draft could disrupt pacing
By surfacing those details more clearly in the product, SMBcrm makes drip behavior easier to understand and manage.
Good to Know
- The schedule preview shows a maximum of 10 batches
- If fewer than 10 batches exist, all available batches are shown
- The preview is hidden while editing a Drip action that already has contacts in it
- The batch size notice appears only when the workflow has been published before and contacts are currently queued in the drip
- The note about updated settings applying only to new contacts appears only when contacts are already queued
Mixed Consent Support Added to Chat Widget A2P Registration
Released April 9, 2026
Businesses can now use a mixed use case in the chat widget A2P registration flow. This makes it possible to collect separate consent for marketing and informational messages through a single widget.
What changed
A Mixed message type is now available alongside the existing marketing and transactional options in the chat widget flow.
When this option is selected:
- The campaign use case is assigned automatically based on account type
- The generated chat widget includes two separate consent checkboxes
- Each checkbox includes its own locked disclosure text
- Contacts can opt into marketing only, informational only, or both
- Neither consent checkbox is pre-selected
- Consent language, STOP and HELP disclosures, and compliance fields are system-controlled and cannot be edited
Why it matters
Previously, businesses that needed both marketing and informational messaging had to use a self-serve registration path instead of the pre-built widget flow.
With this update, mixed-use campaigns can be registered through the chat widget flow with clearer consent separation and built-in compliance language. For teams using SMBcrm for communication workflows, this creates a more streamlined setup and may help reduce registration issues.
Nested Folders for Campaigns, Templates, and Sequences
Released April 9, 2026
SMBcrm now supports nested folders for campaigns, templates, and sequences. You can create folders inside other folders to keep assets organized in a clearer, more scalable structure.
This update helps reduce clutter, improves navigation, and makes it easier to manage larger sets of assets across your account.
What Changed
You can now create subfolders within existing folders across campaigns, templates, and sequences.
Key benefits include:
- Better organization with hierarchical folder structures
- Faster navigation when managing many assets
- A more scalable setup for growing teams and accounts
- Consistent folder logic across campaigns, templates, and sequences
For teams working across pages and assets in Websites & Funnels, this can make day-to-day organization easier.
How It Works
To use nested folders:
- Create a folder as usual.
- Open that folder.
- Click New Folder from inside the folder view.
- Move items into the nested folder.
- Use the folder path to confirm the nested structure.
This release supports more than five layers of folder nesting.
Smarter Field Pickers in Workflows
Released April 9, 2026
The field picker in Custom Values and If/Else steps is easier to search and navigate. It now surfaces fields inside nested folders and uses a more consistent selection experience across workflows.
What Changed
The updated picker helps users find and select fields more quickly when building automations.
Key improvements include:
- Search can now return fields stored inside folders and subfolders
- Navigation through nested folders is smoother
- Field lists are grouped more clearly for easier scanning
- Long field names now show tooltips for better readability
- The picker experience is more consistent across Custom Values and If/Else branches
How It Works
When you search for a field, matching results can appear even if the field is inside a nested folder. This removes the need to open each folder manually before searching.
The picker also follows a more consistent dropdown pattern across workflow areas, so selecting fields feels the same in both Custom Values and If/Else conditions.
How to Use It
- Open the field picker in a Custom Value or an If/Else branch filter
- Search for the field name
- Select the matching field directly from the results, including fields inside nested folders
Notes
- Search results can include matching field names from folders and subfolders
- Only enabled folders appear in search results
- Users only see fields and folders that are available and enabled in that context
- Once required dependencies are cleared, available fields will appear
WhatsApp Onboarding Now Supports Connect, Create, or Migrate
Released April 9, 2026
SMBcrm has updated WhatsApp onboarding to make setup clearer for different business situations. Accounts can now choose from three paths: connect an existing WhatsApp Business App, create a new WhatsApp Business Account, or migrate from another provider while preserving existing assets.
This update is part of SMBcrm’s broader Communication features and is designed to reduce setup friction for businesses already using WhatsApp, businesses starting fresh, and teams moving from another provider.
What Changed
Migrate from Another Provider
Accounts using another WhatsApp Business Solution Provider can now move through a self-service onboarding flow instead of creating a brand new account.
According to the source release, migration preserves:
- Phone number
- Display name
- Quality rating
- Messaging limits
- Official Business Account status
- Previously approved templates
The flow also validates eligibility before migration begins.
Redesigned WhatsApp Onboarding
The onboarding experience now presents three clear options with guidance for each one:
- Connect your WhatsApp to link an existing WhatsApp Business App while continuing to use it on your phone
- Create a new WhatsApp Business Account for a new setup using a landline, a mobile number not currently on WhatsApp, or a brand new number
- Migrate from an existing provider to move an existing WhatsApp Business Account into SMBcrm
For accounts that connect an existing WhatsApp Business App, up to 6 months of chat history will sync automatically.
555 Business Phone Numbers
Eligible accounts can claim up to two 555 business phone numbers during onboarding.
The source release states these numbers:
- Use the US country code and 555 area code
- Work like standard business phone numbers inside the WhatsApp Business Platform
- Are verified automatically
The release also notes that 555 numbers cannot be migrated to another WhatsApp Business Account or used outside the WhatsApp Business Platform, and display names must be approved before messages can be sent.
How to Get Started
Go to Settings → WhatsApp in your account, then choose the setup path that fits your situation.
Option A: Connect Your WhatsApp
Use this option if you already use the WhatsApp Business App and want to manage conversations inside SMBcrm without interrupting phone-based usage.
Before starting:
- Verify your phone number’s country code is not on the restricted list
- Confirm your phone number is added to your Meta Business Manager account
- Make sure you are already using the WhatsApp Business App on your phone
Then select Connect with Facebook and follow the guided steps.
Option B: Create a New WhatsApp Business Account
Use this option if you want a fresh WhatsApp Business setup.
Before starting:
- If you plan to use a personal phone number, remove it from personal WhatsApp first
- Existing chat history will not transfer, so back up chats before proceeding
- If eligible, you may see the option to claim a 555 business phone number during setup
Then select Connect with Facebook and complete the setup flow.
Option C: Migrate from an Existing Provider
Use this option if your WhatsApp Business Account is currently managed by another provider and you want to preserve your existing setup.
Before starting:
- Turn off two-step verification in WhatsApp Manager
- Confirm your business is verified in Meta Business Manager
- Confirm your phone number display name is approved
Then select Connect with Facebook and complete the embedded signup flow.
Why It Matters
This update helps solve three common setup problems:
- Businesses can move from another provider without losing key WhatsApp assets
- Teams already using WhatsApp on their phone can bring conversations into SMBcrm
- New WhatsApp setups can start faster, including with eligible 555 business numbers
The source release also says this can reduce onboarding time and lower support needs related to migrations, number setup, and asset preservation.
Facebook Integration Enhancements
Released April 10, 2026
SMBcrm has updated the Facebook integration to improve setup and give users more context in Click-to-Messenger conversations.
What Changed
Easier search for Pages and Ad Accounts
Users can now search Facebook Pages and Ad Accounts by name to find the right option faster during setup.
Search becomes available after all Pages are loaded, since Facebook does not provide native search support for this use case. Because the search runs on already loaded data, accounts with a large number of Pages may take longer to finish the initial loading step before search is available.
More context for Click-to-Messenger conversations
Click-to-Messenger flows now support ad images. This helps users identify the specific ad creative that started a conversation.
Why It Matters
- Faster selection of the correct Facebook Page or Ad Account
- Better visibility into which ad or creative drove a lead or conversation
Import Content From Another Course
Released April 10, 2026
You can now import content from an existing course directly into another course in the Courses Builder. This makes it easier to reuse proven material instead of rebuilding content manually.
For teams using Memberships & Education, this update helps streamline course setup and keep training content more consistent.
What Changed
You can now use an Import from Another Course option from the Add Content menu to bring content into a destination course.
With this import flow, you can:
- browse and select a source course in a dedicated import modal
- choose exactly what to import
- track import progress in a status modal
- continue building with minimal disruption to your workflow
What You Can Import
You can import:
- individual lessons
- modules and submodules
- an entire course structure
Imported content can include:
- lesson titles and structure
- module and submodule hierarchy
- videos and attached media
- lesson and media thumbnails
- descriptions and formatted content
- quiz questions and related lesson content
- assignment materials and supporting resources
All imported items are added to the destination course and are ready for editing.
Why It Matters
This update helps you:
- create courses faster by reusing existing content
- maintain consistency across similar courses
- reduce manual setup when building standardized curriculum
- import only the parts you need, from a single lesson to a full structure
Smoother Drag-and-Drop in Forms, Surveys, and Quizzes
Released April 10, 2026
SMBcrm improved drag-and-drop behavior in the form, survey, and quiz builder. Users now get clearer visual feedback and automatic scrolling when rearranging elements in longer builds.
This update is especially helpful when working in longer lead capture builds where repositioning fields and sections can take more time.
What changed
- Dragged elements now show a subtle gray shadow for clearer visual feedback.
- Drag-and-drop interactions feel smoother with a more polished animation.
- Long forms, surveys, and quizzes now auto-scroll while you drag elements.
- You can move elements higher or lower in longer builds without stopping to scroll manually.
How to use it
- Open the form, survey, or quiz builder.
- Drag any element to a new position.
- As you move it, you will see the updated drag effect and automatic scrolling when you reach the top or bottom of a longer build.
Why it matters
Building longer forms, surveys, and quizzes is more efficient with less manual scrolling. The updated drag behavior also makes it easier to see what you are moving and where it will land.

Make Voice Calls Using Your Existing Phone Number
Released April 11, 2026
You can now place outbound voice calls in SMBcrm using a phone number you already own. This removes the need to buy a separate phone number before getting started.
What Changed
When you open the dialer without a purchased phone number, you can choose to use an existing number as your caller ID for outbound calls.
How Setup Works
- Open the dialer and choose Use your existing phone number.
- Enter the phone number you want to use as caller ID for outbound calls.
- Answer the verification call sent to that number.
- Enter the 6-digit code to confirm that you own the number.
- After verification, you can place a test call to your own number.
- To call contacts, complete the one-time identity check using a government ID and selfie.
Managing Your Verified Caller ID
To review settings for your verified caller ID, go to Account Settings > Phone System > Phone Numbers > Verified Caller ID.
You can also use the 3-dot menu to enable call recording.
Before You Use It
This feature is controlled through Labs and must be activated before it can be used in an account.
Good to Know
- Call costs stay the same as standard outbound calling
- Inbound calls still ring on your existing phone number as usual
- You can continue making outbound calls from that number outside SMBcrm
- You can still purchase a dedicated phone number later if needed
- Identity verification is required once per account

Carrier Fee Pricing Update for AT&T and Verizon
Released April 13, 2026
SMBcrm is updating certain messaging carrier fees to reflect carrier cost changes and support continued message deliverability.
Effective Dates
- April 1, 2026: AT&T carrier fee updates
- May 1, 2026: Verizon carrier fee increases
AT&T Carrier Fee Updates
Effective April 1, 2026, the following rates are changing for standard and toll-free numbers:
- SMS, outbound and inbound: $0.0030 to $0.0035
- MMS, outbound and inbound: $0.0075 to $0.0090
Verizon Carrier Fee Updates
Effective May 1, 2026, the following rates are changing:
- Outbound SMS for toll-free numbers: $0.0040 to $0.0045
- Outbound MMS for standard and toll-free numbers: $0.0065 to $0.0070
This applies to U.S. messaging traffic on the Verizon network.
Why This Is Changing
These pricing changes come directly from downstream carriers in response to changing delivery costs across telecom networks.
Conversation AI Adds KB Triggers and Instructions
Released April 13, 2026
Conversation AI now supports optional triggers and instructions for Knowledge Base usage. This update gives you more control over when AI should prioritize Knowledge Base content while keeping existing behavior unchanged unless you add triggers.
What Changed
You can now define specific trigger conditions or instructions inside the Knowledge Base to guide when Conversation AI should use it.
This update also expands Knowledge Base configuration limits:
- Up to 4 triggers can be created
- Each trigger can include up to 7 Knowledge Bases
- Previously, only 7 Knowledge Bases could be configured in total
How It Works
Default Behavior
If no triggers are configured, nothing changes.
Conversation AI will continue to:
- Decide on its own when to query the Knowledge Base
- Follow the existing behavior in your current setup
Optional Trigger Conditions
When you add triggers or instructions:
- Conversation AI evaluates those conditions during execution
- If a condition is met, the system prioritizes retrieving information from the Knowledge Base
- AI can still decide independently to use the Knowledge Base when needed
This means you can combine AI decision-making with more explicit control for important scenarios.
Why It Matters
This update can help:
- Reduce cases where AI misses relevant Knowledge Base information
- Improve response accuracy and consistency
- Give users more predictable control for critical workflows
Notes
- This is a newly released capability and may evolve based on feedback
- Existing workflows are not affected unless triggers are configured
Funnel and Website AI Improves Page Generation and Cloning
Released April 13, 2026
SMBcrm has updated Funnel and Website AI to improve the quality of generated pages on the first pass. This release focuses on better design consistency, more relevant imagery, stronger copy, and more accurate cloning when you ask for changes.
If you use Websites & Funnels or AI features to build pages faster, this update is meant to improve the results you see right away.
What changed
Better first-generation output
The page generation engine has been rebuilt across planning, design, writing, imagery, and page assembly. According to the release, generated pages should now feel more cohesive, more aligned to the brand brief, and more intentionally designed.
You may notice improvements such as:
- layouts that feel more structured and composed
- sections that flow together more naturally
- copy that better fits the offer and brief
- imagery that better matches the purpose of each section
Stronger design planning
The AI now uses a more structured generation pipeline, with separate stages for planning the page, designing it, and generating individual sections. This helps carry strategy and design intent through the full build process instead of treating each section independently.
The update also adds more built-in design logic for choices like background treatment, accents, spacing, imagery usage, and visual rhythm across the page.
Section-specific generation
SMBcrm now applies section-specific guidance for common page elements such as:
- hero sections
- navigation
- calls to action
- FAQs
- features
- pricing
- testimonials
- footers
This helps each section follow patterns that fit its purpose instead of using the same approach everywhere.
More relevant imagery
The image generation pipeline has also been updated so images are planned around each section’s intent. The release says this should help visuals feel like part of the page rather than separate assets added afterward.
Improved cloning with changes
Cloning has been updated so customization requests are carried through the generation process more directly. If you clone a funnel and ask for specific adjustments, those requests should be reflected more clearly in the result.
Clearer progress updates
Generation progress now includes more meaningful per-section updates. This should make it easier to understand what is happening while a page is being built.
What to look for
When you generate or clone a funnel after this update, check for:
- stronger visual consistency across the page
- section imagery that matches the content more closely
- copy that reflects the specific offer more accurately
- cloned pages that better honor your requested changes
- clearer progress feedback during generation
Category-First Booking for Services
Released April 14, 2026
SMBcrm now supports an optional category-first booking flow for services. Instead of starting with a list of services, customers can begin by choosing a category such as Hair, Spa, or Wellness.
This can make booking easier to navigate when your business offers multiple types of services.
What Changed
With category-first booking enabled:
- Customers start by selecting a category before choosing a service
- Only services within the selected category are shown
- The add-another-service flow makes it easier to return and choose the same or a different category
- Categories without services are hidden automatically
Category Display Improvements
This update also adds more ways to organize and present categories on the booking page:
- Category images can be added for a more visual browsing experience
- Category descriptions can provide more context about what each category includes
- Categories appear in a clean card-based layout for easier scanning
How It Works
This booking flow is optional. If you do not enable it, your existing booking experience continues to begin with service selection.
The setting is available in Global settings > Booking Page.
Why It Matters
For businesses with a larger service menu, category-first booking can help:
- Reduce clutter during booking
- Make service discovery easier for customers
- Better match how services are organized in the business
- Create a more structured booking experience
Opportunity Forecasting
Released April 14, 2026
SMBcrm now includes a Forecast tab inside Opportunities, giving teams a clearer view of projected revenue without relying on spreadsheets. The update adds weighted revenue forecasting, expected close dates, timeline views, and risk insights to support better pipeline management within CRM & Sales.
What Changed
The Forecast tab adds several new ways to review and manage pipeline performance:
- Forecast revenue using expected revenue weighted by probability
- Track an Expected Close Date for each opportunity
- Review a summary dashboard with:
- Max potential revenue
- Expected revenue
- Won revenue
- Open opportunities
- Use a forecast timeline view by week, month, or quarter
- Drill into the opportunities behind each metric and edit them directly
- Identify data quality issues such as:
- Missing close dates
- Missing opportunity values
- Overdue deals
- Review risk levels based on deal slippage
- Set custom risk thresholds
- Filter and group opportunities by fields like owner, status, and close date
How It Works
To use forecasting, go to Opportunities → Forecast. The source release states that this feature can be enabled from Account > Labs.
From there, you can:
- Use the summary view to understand overall pipeline health
- Switch to the forecast timeline to track deals over time
- Change the time range by week, month, or quarter
- Apply filters to segment your pipeline data
- Click metrics such as missing close dates to drill into affected opportunities
- Drag and drop opportunities to update their close date in the timeline view
- Adjust risk settings to match your sales cycle
Why It Matters
This update helps teams move from basic pipeline tracking to more structured revenue forecasting. It can help you:
- Estimate what may close and when
- Spot at-risk deals earlier
- Improve forecasting accuracy with cleaner opportunity data
- Reduce manual reporting work
Notes
A few details from the release are worth keeping in mind:
- Opportunities are assigned the highest risk level they qualify for
- Deals without close dates are excluded from forecast calculations
- Forecast accuracy depends on complete and accurate opportunity data
Assigned User Custom Values in Funnels and Calendars
Released April 15, 2026
SMBcrm now supports assigned user custom values more consistently across booking flows, including Websites & Funnels. This means assigned user details can carry into the next funnel step after a calendar booking and appear in calendar confirmation thank-you messages.
What Changed
Assigned user custom values are now supported in these places:
- The next funnel step after booking a calendar appointment
- The thank-you message on the calendar confirmation page
This improves consistency in how assigned user data is displayed across calendar booking and funnel experiences.
How It Works
If you use a Calendar element in a funnel and set the redirect action to go to the next step, users are redirected after booking as usual. With this update, assigned user custom values can now populate on that next step.
These values also work in the thank-you message shown on the calendar confirmation page. The output is based on the assigned user linked to the contact.
Why It Matters
This update helps you create a more personalized experience after someone books an appointment. It also makes assigned user information more reliable across booking and funnel steps.
Control Service Image Visibility on the Booking Page
Released April 15, 2026
SMBcrm now includes a global setting that lets you choose whether service images appear on the booking page. If you turn images off, the booking flow switches to a cleaner, full-width layout that gives more space to service details.
What Changed
You can now decide whether to display service images on the booking page.
- A global setting controls image visibility across all services
- When images are turned off, they are hidden throughout the booking flow
- The page adjusts to a full-width, text-first layout
- Service name, description, price, and duration get more room
- When images are turned on, the booking page works as it does today
- You can still use either Card view or List view
How It Works
Go to Services > Global settings > Booking Page and choose whether the booking page should display services with images or without them. This setting applies across all services.
Why It Matters
This update gives you more control over how services are presented.
- Creates a cleaner booking experience when you want a text-focused layout
- Helps customers scan services more quickly
- Reduces unused space, especially on mobile devices
- Makes key service details easier to review
Easier Calendar Setup with Auto-Navigation to Missing Fields
Released April 15, 2026
SMBcrm has improved the calendar setup experience so it is easier to find and fix missing required fields while editing and saving a calendar.
Previously, if required fields were missing, selecting Save changes would not complete the save, but the interface did not clearly guide users to the issue. That could make it unclear whether the calendar had been saved and lead to extra troubleshooting.
What’s Changed
- If a required field is missing in the current tab, the page now scrolls directly to that field.
- If the issue is in a different tab, SMBcrm navigates to the correct tab automatically.
- Validation errors are highlighted more clearly so they can be fixed quickly.
How It Works
When you click Save changes and there are validation errors:
- If the error is in the current tab, SMBcrm scrolls to it and highlights it.
- If the error is in another tab, SMBcrm opens that tab and highlights the error there.
Why It Matters
This update helps reduce confusion during calendar setup by making missing fields easier to spot. It also speeds up troubleshooting and makes it clearer why a calendar could not be saved.
Extended Conditional Logic Support in Calendar Booking Forms
Released April 15, 2026
SMBcrm has improved how form conditional logic works in calendar booking flows when you use custom forms. This update makes booking behavior more consistent for qualification rules, redirects, custom messages, and dynamic fields.
For businesses using Lead Capture forms in booking flows, the result is a more predictable scheduling experience and better control over what happens before and after a booking is submitted.
What’s Changed
- Lead disqualification logic is now applied before a booking is created.
- Redirects and custom messages from forms are now handled more consistently after form submission.
- A new confirmation page option, Use custom form rules, lets you control the post-booking experience.
- Show or hide field logic continues to work within booking flows.
How It Works
When someone completes a custom form during booking:
- Dynamic show or hide field logic updates the form based on responses.
- Lead disqualification conditions are evaluated first.
If the lead is disqualified:
- No appointment is created
- No payment is collected
- The configured redirect page or custom message is shown
If the booking succeeds, you can choose the confirmation page behavior in your confirmation page settings:
- Default
- Redirect URL
- Use custom form rules
When Use custom form rules is selected:
- The form’s redirect or custom message is shown after booking
- If nothing is configured, SMBcrm falls back to the default confirmation page
Why It Matters
This update helps prevent unwanted appointments by qualifying leads before scheduling. It also makes booking outcomes more consistent and gives you more flexibility to build dynamic form experiences inside calendar flows.
Support for conditional logic in booking flows is expected to extend to Services (v2) and Rentals in an upcoming update.
Improved Equal Distribution in Round Robin Calendars
Released April 15, 2026
SMBcrm has updated the Optimize for Equal Distribution logic in round robin calendars to support fairer appointment allocation across your team.
Bookings are now evaluated within the month of the appointment, helping keep workloads more balanced and reducing cases where one team member gets too far ahead.
What Changed
- Appointment distribution is now calculated monthly based on the booking month
- Bookings are prioritized for the least-booked team member in that month
- If one team member gets too far ahead, their availability is temporarily limited
- Availability updates dynamically to help maintain balanced distribution
- The troubleshooting view now flags imbalance with a ROUND ROBIN status
How It Works
This logic applies only when Any Available Staff is selected.
If a specific team member is chosen, the booking still goes through regardless of distribution.
When a booking is made:
- SMBcrm checks how many appointments each team member has in that month
- The least-booked team member is prioritized
- If there is a tie, the predefined team order is used
- If the selected team member is unavailable, the system moves to the next eligible team member
Monthly Distribution Logic
Distribution is evaluated only within the same month as the booking.
No team member can be more than 3 appointments ahead of another. If that threshold is exceeded, that person’s availability is temporarily hidden until the gap is reduced.
Example
If a customer books an appointment for April, SMBcrm only considers bookings scheduled in April.
- Team Member A has 3 bookings in April
- Team Member B has 0 bookings in April
In this case, Team Member A is temporarily hidden until Team Member B receives more bookings and the gap narrows.
Important Notes
- Adding or removing a team member resets distribution counts
- Switching between Optimize for Equal Distribution and Optimize for Availability also resets counts
Best Practices
- Disable Allow Staff Selection if you want stricter equal distribution
- This works best when team members have similar or overlapping availability
Why It Matters
This update helps teams:
- distribute workload more fairly
- reduce confusion caused by uneven scheduling
- improve consistency in round robin bookings
Improved Store Element Visibility in Builder
Released April 15, 2026
SMBcrm has updated the Add Elements panel in the Builder to make store elements easier to discover while building pages.
If a store exists in your account, store elements now appear at the top of the panel. If no store exists, they appear between the Blog and Media sections. This change improves visibility without changing how the elements themselves work.
What Changed
Dynamic ranking when a store exists
When a store has been added to your account, store elements are prioritized at the top of the Add Elements panel.
Default placement when no store exists
If no store is present, store elements appear between the Blog and Media sections for a more logical layout.
No change to element functionality
This update affects visibility and placement only. Individual store elements continue to work the same way.
How to Find Store Elements
- Open the Store Builder.
- Click Add Elements in the left panel.
- If a store exists in your account, store elements will appear at the top.
- If no store exists, they will appear between Blog and Media.
- Drag the store elements you want to use onto your page, such as Featured Products, Cart, or Collection.
More Control Over Service Discovery in Booking
Released April 15, 2026
SMBcrm now gives you more control over how customers discover services during booking.
You can choose whether customers stay within the service or category link they started from, or browse your full list of services before completing a booking.
What Changed
A new setting lets you control whether customers can explore other services from their original booking entry point.
- When enabled, customers can navigate to the full services list and book any available service
- When disabled, customers are limited to the service or category link they opened first
- This works alongside the existing multiple service selection setting
That means you can separately control:
- whether customers can discover additional services
- whether customers can book more than one service in the same booking
Where to Find It
Go to Global Settings > Booking Page Settings and turn on Allow customers to explore other services.
Why It Matters
This update gives you more flexibility in how your booking flow works.
- Keep booking focused when you want a customer to complete one specific service
- Allow broader service discovery when you want customers to browse more options
- Support cross-selling by letting customers find additional services from a single entry point
- Create either a guided or more exploratory booking experience based on your business needs
Apify Actions and Triggers in Workflows
Released April 16, 2026
SMBcrm workflows now support Apify actions and triggers. You can run Apify tasks and actors, scrape data, and use external results inside your automations without relying on webhooks or third-party connectors.
If you use Automation to power lead routing, alerts, or follow-up, this update gives you more ways to bring external data into your workflow steps.
What changed
Triggers from Apify into workflows
These triggers can start or continue a workflow based on activity in Apify:
- Finished Actor Run
- Finished Task Run
Actions from workflows into Apify
You can now use these workflow actions:
- Run a Task
- Run an Actor
- Scrape Single URL
- Fetch Dataset Items
- Find Last Task Run
- Find Last Actor Run
Example use cases
- Scrape local business data and send those records into outreach workflows
- Monitor competitor changes and trigger alerts or follow-up tasks
- Enrich lead records by scraping a website and using those details for segmentation or personalization
How to connect Apify
- In Workflows, search for Apify actions or triggers
- If your Apify account is already connected, the setup fields appear immediately
- If not, select Connect Now and authenticate with your API key
- You can also connect from Settings > Integrations > Apify
Notes
For large datasets, add a wait step after an actor runs, then use Fetch Dataset Items to process the data with an array action.
Usage charges are based on Apify pricing for compute and storage, along with premium workflow usage where applicable.
Drag and Move Workflow Nodes in the Builder
Released April 16, 2026
You can now drag and move workflow nodes directly on the canvas. This update makes it easier to reorganize actions and branches as your workflow changes.
For teams using automation, this reduces the time it takes to clean up larger workflow layouts and adjust branch structure.
How It Works
When you hover over a node, a 6-dot drag handle appears. Click and hold that handle, then move the node to a new position in the workflow.
As you drag, the canvas shows a “Move here” indicator so you can see valid drop locations before placing the node.
How to Use It
- Hover over a node to reveal the 6-dot drag handle.
- Click and hold the handle.
- Drag the node to a new position.
- Drop it where the “Move here” indicator appears.
What Changed
Previously, reorganizing workflow steps could require deleting steps or using a right-click move option for each node. With direct drag and move behavior on the canvas, reorganizing branches is more straightforward.
Notes
- The 6-dot drag handle only appears when you hover over a node.
- Nodes are moved directly from the canvas.
- Valid drop locations are guided by the “Move here” indicator.
Funnels Can Now Be Added as Course Lessons
Released April 16, 2026
You can now add funnels directly inside courses as individual lessons. This makes it easier to combine learning content with guided actions inside a single course experience.
What Changed
Course creators can now add a funnel as its own lesson type inside a course, alongside other lesson content. Funnels render inside the course player for a smoother learner experience and stay visually consistent with the rest of the course.
This update connects Memberships & Education with Websites & Funnels so you can build more action-oriented course journeys without rebuilding existing funnel pages.
What You Can Do
- Add funnels as standalone lessons in a course module or sub-module
- Use existing funnels for forms, calls to action, offers, and multi-step flows
- Guide learners through structured actions without leaving the course experience
- Let learners preview the funnel in the course player and open it full screen when needed
How to Use It
- In a course module or sub-module, click Add Content.
- Enter a title for the funnel lesson.
- Select the funnel and choose the page you want to use.
- Add it as a lesson.
- Use the edit modal to preview changes, add page thumbnails, then save and publish.
Why It Matters
This update helps you connect education and action in the same flow. Instead of sending learners to separate pages, you can place lead capture, offers, or guided next steps directly inside the course path.
That can make course experiences more interactive while also helping move learners through the outcomes you want them to take.
Inbound Email Trigger for Workflows
Released April 16, 2026
You can now start a workflow when an inbound email reaches your mailbox. This can apply to first-time emails from new senders, messages from existing contacts, and, if enabled, replies within existing threads.
This update helps teams automate lead capture, routing, support intake, and follow-up as soon as an email arrives.
Why this matters
Inbound email often signals a new lead, a support need, or progress on an active deal. With this trigger, your team can act immediately instead of sorting messages manually.
It also supports first-touch inbound emails from people who are not yet in your CRM, which makes it easier to automate early-stage inquiries.
How it works
The trigger runs when an inbound email is received. You can narrow it using filters such as mailbox, sender, CC, subject, body content, attachments, and whether the message was tied to a workflow.
You can also choose to run the trigger only for new email conversations so replies in the same thread do not keep retriggering the workflow.
To set it up, go to Automations > Workflows and add the Inbound Email trigger. From there, you can add actions such as creating a contact, assigning an owner, adding a tag, sending a notification, or replying automatically.
Teams using Automation together with Communication can use this to respond faster and route inbound email more consistently.
Available filters
- Email Sent To / Mailbox: Matches the receiving mailbox
- From: Matches the sender’s email address
- CC: Checks copied recipients
- Subject: Matches the email subject line
- Body (plain text): Checks the email body
- Has Attachments: Checks whether attachments are present
- Replied to Workflow: Checks whether the email came from a specific workflow
- Contact Tag: Filters by whether the contact has or does not have a specific tag
Custom values available
{{message_id}}: Unique message ID of the inbound email{{subject}}: Subject line of the inbound email{{body_plain}}: Plain-text body content of the email{{from.email}}: Sender’s email address{{from.name}}: Sender’s display name{{cc}}: CC recipients of the inbound email{{inboundEmail.bodyFullPlain}}: Full body, including the reply thread
Common use cases
- Inbox routing: Send messages from sales, support, or billing inboxes into different workflow paths
- Subject-based assignment: Route emails with subjects like “refund” to the right team faster
- Attachment intake: Trigger workflows only when attachments are present so teams can react to forms, documents, or proofs quickly
- Contextual first response: Use inbound email content in downstream actions for a more relevant autoresponse
Important notes
- Full cold inbound capture is supported for dedicated email domains and Mailgun dedicated domains
- Gmail and Outlook two-way sync, shared domains, and other SMTP setups do not support full cold inbound capture
- This trigger is separate from Customer Replied, so both can exist at the same time
- In some cases, one email can match both triggers, so filters and reply tracking settings can help reduce overlap
- Each account should use its own dedicated email subdomain. Reusing the same domain across multiple accounts can cause unpredictable inbound routing
Live Sessions in Courses
Released April 16, 2026
SMBcrm now supports live sessions directly inside courses, making it easier to schedule, host, and reuse live learning from one place. Course creators can run one-time sessions or recurring series inside the course experience.
For businesses using Memberships & Education, this brings live delivery and course content closer together in a single workflow.
What Changed
Flexible scheduling
Creators can schedule one-time live sessions or recurring series directly within a course. Recurring sessions support daily, weekly, and custom patterns, with timezone-aware scheduling for participants.
Built into the course experience
Live sessions now appear in the course outline in a dedicated section. Each session is shown as a card with preview details so creators and learners can quickly review upcoming sessions.
More control over session management
Creators can edit or cancel sessions at any time. For recurring sessions, changes can be made to one occurrence or applied to all upcoming sessions.
Go-live timing and notifications
The Go Live button becomes available 15 minutes before a session starts. Admins receive reminder emails, and creators can manage learner notifications for reminders, updates, and go-live alerts.
Recordings for future use
After a session ends, creators can access the recording, download it, and add it back into the course as a lesson for future viewing.
Why It Matters
Live sessions bring scheduling, hosting, notifications, learner access, and recordings into a single course workflow. That can reduce manual coordination for creators while giving learners a more organized live learning experience.
Tax Support Added to Course Offer Checkout
Released April 16, 2026
Course offer checkout now supports automatic tax calculation and a clearer tax breakdown during purchase. This helps businesses present more accurate pricing and gives learners better visibility before they complete checkout.
What Changed
Taxes are now calculated automatically during checkout based on the buyer’s billing address. Buyers can also see a tax breakdown before completing their purchase, which makes the final price easier to understand.
This update also supports region-based tax configuration, helping businesses align checkout pricing with local tax requirements.
Tax handling is built into the existing checkout flow, so the purchase experience stays streamlined. Coupon codes continue to work, with taxes applied correctly after discounts.
Businesses can also choose between tax-inclusive and tax-exclusive pricing models.
Why It Matters
- More accurate pricing during checkout
- Better transparency before purchase
- Better consistency between displayed prices and charged amounts
- More flexibility for how prices are shown
Getting Started
To use tax support for course offer checkout:
- Add nexus addresses in Payments settings
- Configure tax rules and categories
- Verify your business address for accurate address mapping
- Enable automatic tax in Payments settings
AI Agent Actions Can Access Full Conversation History
Released April 17, 2026
AI Agent actions in workflows can now review a contact’s full conversation history across channels before responding. This gives the agent more context across past interactions and helps it continue conversations more accurately.
For teams using Automation, Communication, and AI features, this means automated replies can reflect more of the conversation that already happened.
What changed
The AI Agent action inside workflows can now see conversation history across channels, including:
- SMS
- Facebook Messenger
- TikTok
- Other supported channels mentioned in the conversation history
Before replying, the agent can review earlier conversations with the contact instead of only using context from the current handoff point.
What the agent can access
For each conversation, the agent can access:
- The channel where the conversation happened
- Message bodies for recent thread history, with the last 20 messages per thread by default and up to 50
- Message direction, including inbound and outbound messages
- Timestamps for each message
- An AI-generated summary of the full conversation for quicker context
How it works
The agent uses this conversation-history tool when it is referenced in the system prompt or needed to complete its goal. It can pull in conversation threads, recent messages across channels, and an AI-generated summary when conversations are long.
That allows the agent to respond with better awareness of prior interactions.
Why it matters
Previously, the agent’s context started from the point where it entered the conversation. If a contact had already been communicating through multiple channels, that earlier history was not visible to the agent.
With this update, the agent can respond with broader context across past messages. For example, if a contact discusses a quote by email and follows up later on Instagram, the agent can respond with awareness of both conversations and continue from where things left off.
AI Agent Actions Now Support MCP Tools
Released April 17, 2026
AI Agent actions in Automation now support MCP-compatible tool connections. This allows an agent to access external apps, services, APIs, databases, browsers, and search tools in real time during a workflow.
What Changed
With this update, AI features in workflows can use MCP connections as tools. Key capabilities include:
- Connect an MCP-compatible server as a tool for an AI Agent
- Automatically discover available tools by testing the connection
- Enable or disable individual tools for each agent
How to Use It
- Open the AI Agent node in your workflow.
- Click Add Tools and open the MCP tab.
- Click Add Connection and configure the connection details:
- Connection Name
- Server URL
- Transport Type: HTTP Streamable or SSE
- Auth Type: None, Bearer Token, API Key, OAuth2, or Custom Header
- Click Test Connection to discover available tools.
- Choose which tools the agent can use, then save.
Why It Matters
This expands AI Agent workflows beyond data stored in your account.
- Agents can pull live information from connected external services during a workflow run
- MCP supports an open ecosystem of compatible servers instead of a fixed set of integrations
- You can start with existing MCP servers and add custom tools as needed
- Tool access can be controlled at the individual agent level
Technical Details
- Transport types: HTTP Streamable and SSE
- Auth options: None, Bearer Token, API Key, OAuth2, and Custom Header
- Tool discovery happens through Test Connection
- Tool selection is configured per agent
AI Agent Workflow Action Uses Fewer Tokens
Released April 17, 2026
The AI Agent action in Automation now uses fewer tokens per execution without reducing output quality. Because usage is billed per token, this can lower cost and make it easier to scale AI-powered workflows.
What Changed
Several optimizations were made to how the AI Agent action sends context to the model:
- Cleaner context: Duplicate data, internal system data, redundant contact details, and unnecessary workflow metadata are no longer sent on every turn.
- Smarter tool responses: Only relevant fields such as name, email, and phone are passed to the model instead of large sets of unrelated record fields.
- Conversation memory management: Long-running agents now summarize older conversation steps while keeping recent steps in full detail.
- Structured output optimization: The final extraction step no longer repeats the full context, which reduces token usage further.
Results
Tested on the same workflow and contact with no reported quality loss:
- First LLM call: 36% token reduction
- Total execution: 20% token reduction
Why This Matters
Each workflow run is more efficient, which can help reduce usage-based AI cost while preserving output quality. For teams using AI Features inside automations, this creates more room to run and scale AI processes without increasing token usage at the same rate.
AI Studio Enhancements and Fixes
Released April 17, 2026
AI Studio now retains more project history, keeps context across builder sessions, improves thinking feedback, and makes cloning more reliable.
These updates improve consistency and usability for teams using AI features in everyday work.
What Changed
Larger Project History Support
AI Studio now supports a larger context window for project history. For projects that exceed the history budget, compaction helps retain important context so responses stay more accurate and useful.
Better Thinking Feedback
Thinking messages are now more intuitive and more closely aligned with user actions. Instead of a long-running generic “Thinking…” indicator, users will now see more relevant and timely feedback.
Context Continuity Across Sessions
AI Studio now maintains persistent project context across builder sessions. Previously, context could be limited to a single session, which made it easier for the AI to lose track when a new session started.
This change should lead to more consistent outputs across ongoing project work.
Faster, More Reliable Cloning
An internal infrastructure issue that could occasionally cause slow or partial cloning has been resolved. Cloning has been optimized for better speed and reliability.
Why It Matters
For teams working in AI Studio, these changes help reduce context loss, improve response quality, and make common actions feel more predictable.
Ask AI for WhatsApp Campaigns and Template Management
Released April 17, 2026
Ask AI can now help manage WhatsApp activity from a single conversation. Users can describe what they want in plain English and use that prompt to create templates, send messages, manage flows, review performance, and handle setup checks.
This update is most relevant for teams using Communication tools alongside AI features to run WhatsApp outreach more quickly.
What Changed
Build WhatsApp templates with prompts
Ask AI can create WhatsApp templates based on a plain-language request. Supported actions include:
- creating marketing and utility templates
- adding contact variables and buttons
- supporting standard URLs, trigger links, dynamic URLs, quick replies, and copy-code buttons
- adding image, video, document, or location-pin headers
- updating an existing template by describing the change
- previewing destructive actions before deletion
Send WhatsApp messages to one contact or a tagged audience
Ask AI can also help send WhatsApp messages using an approved template.
You can:
- send to a single contact
- send to contacts in a tagged audience
- personalize messages per contact
- review a proposed send before approval
- track sent, delivered, read, or failed status for recipients
Before sending, Ask AI checks conditions such as the WhatsApp 24-hour window, DND status, funds, and phone validity. If a free-form message is not allowed, it can propose using an approved template instead.
Manage WhatsApp flows conversationally
For WhatsApp flows, Ask AI can help create, link, publish, deprecate, or delete flows through chat. One example is appointment booking flows linked to a calendar.
Ask for performance without opening dashboards
Users can ask performance questions in natural language, such as which template has the highest click rate or how a campaign performed over a given period.
Get guided setup checks
The update also adds setup guidance for WhatsApp operations. Ask AI checks whether the WhatsApp subscription and integration are active before actions run, and it can help guide onboarding scenarios such as a new number, WhatsApp Business App coexistence, or migration from another provider.
Review changes before action is taken
Ask AI uses a proposal-first workflow for create, update, delete, publish, and send actions. Read-only requests run immediately, while changes wait for user approval.
How to Use It
To activate this workflow:
- Open Ask AI in an account where WhatsApp is configured.
- Start the request with “WhatsApp” so the action is routed to the WhatsApp channel.
- Review the draft Ask AI returns and approve it before the action runs.
Why It Matters
This update is designed to reduce the number of separate steps needed to run WhatsApp work. Instead of moving between template builders, audience filters, sending tools, and reporting screens, users can describe the result they want and review the proposed action in one place.
Newsletter Time Configuration
Released April 17, 2026
Community admins can now choose when newsletters are sent, including the time, day, date, and timezone. This gives each account more control over newsletter scheduling and member engagement.
What Changed
Newsletter sending is no longer limited to one default send time for every community. You can now configure newsletter timing based on what works best for your members.
Available scheduling options include:
- Daily: Set your preferred time and timezone
- Weekly or bi-weekly: Pick the day, time, and timezone
- Monthly: Choose a date from 1 to 27, or the last day of the month, plus the time and timezone
This update gives membership-based accounts more flexibility when planning communications for their audience.
Why It Matters
Choosing the right send time can help you:
- Reach members when they are more likely to engage
- Improve opens and clicks through better timing
- Support audiences across multiple timezones
- Manage newsletter schedules with more control and less manual adjustment
Smarter End Date Selection on the Rentals Booking Page
Released April 17, 2026
The Rentals booking page now opens the end date picker in the same month as the selected start date when that start date is in a future month. This removes an extra step in the booking flow and makes date selection more intuitive.
What Changed
Previously, if someone selected a start date in a future month, the end date picker could still open in the current month. That meant navigating across months again before choosing the end date.
With this update, the end date picker opens in the same month as the selected start date.
How It Works
When a customer selects a start date in a future month on the booking page, the end date picker automatically opens to that same month.
Why It Matters
- Reduces friction during rental booking
- Speeds up date selection
- Improves the overall booking experience

Personal Meeting Links and Recordings Hub
Released April 20, 2026
SMBcrm has updated live sessions to make hosting easier and more consistent. This release includes reusable personal meeting links, a centralized recordings hub, and clearer audio through improved noise cancellation.
For businesses using Memberships & Education, these updates can help streamline training, onboarding, events, and recurring sessions.
Personal Meeting Links
You now have a dedicated meeting room link that stays the same instead of creating a new link for every session.
Why it matters:
- Use one link for 1:1 sessions, events, and recurring meetings
- Share a custom branded URL anywhere
- Give attendees a more consistent session experience
Recordings Hub
The new recordings hub gives you one place to manage session recordings after a live event ends.
What you can do:
- Access all recordings in one place
- Watch, download, or delete recordings at any time
- Build a content library for training, onboarding, or community use
Improved Noise Cancellation
Audio quality has also been improved to help reduce distractions during live sessions.
Enhancements include:
- Reduced background noise
- Better voice clarity for participants
- A more polished live session experience
Why This Update Matters
These changes reduce friction before, during, and after live sessions. You can reuse the same meeting link, manage recordings more easily, and deliver clearer conversations for attendees.
Affiliate Pay Per Sale for Forms, Surveys, and Calendars
Released April 21, 2026
SMBcrm now supports pay per sale commissions for affiliate campaigns connected to forms, surveys, and calendars. This helps businesses reward affiliates based on completed revenue, not just lead submissions.
What changed
You can now choose either Pay Per Lead or Pay Per Sale when setting up affiliate campaigns for forms, surveys, and calendars.
For pay per sale campaigns, commissions can be configured as:
- A flat dollar amount
- A percentage of the sale value
Affiliates can earn commissions when:
- A user submits a form or survey, or books a calendar, through an affiliate link
- That same user completes a purchase within the tracking window
If products are associated with the campaign, sales attribution applies only to those products.
Pay per lead and pay per sale remain mutually exclusive, which helps prevent double rewards.
Why it matters
This update gives businesses more flexibility in how they structure affiliate programs.
Instead of rewarding only lead volume, you can align commissions with actual sales performance across Lead Capture assets such as forms and surveys, as well as calendars used for booking and conversion.
Important details
For forms or surveys embedded inside funnels or websites that include products:
- Only funnel or website products are considered for pay per sale tracking
- If a funnel or website has no products, form-level products are not automatically surfaced for tracking
For calendars, pay per sale applies only when payment is enabled.
AI Pages Adds Color Previews and Image Regeneration
Released April 21, 2026
SMBcrm AI Pages now includes live color palette previews, per-image regeneration, and expanded section variants. These changes give users more control when building AI-generated WordPress pages.
You can access AI Pages in WordPress under All Sites > Manage Website > Pages > AI Generated Pages.
What Changed
Live color palette previews
Color customization now updates in a live preview as you adjust palettes in the Styles panel.
- See changes instantly across headings, body text, buttons, backgrounds, and accents
- Try different palette options before committing changes
- Updates are only applied after you click Update Page
Regenerate individual images
You can now regenerate specific AI-generated images without changing the rest of the page.
- Hover over an AI-generated image to use Regenerate Image
- Enter a custom prompt in the Generate Custom Image dialog
- Preview the result before inserting it
- Regenerate again if needed, then save when you are ready
More section variants for generated pages
AI-generated pages now pull from a broader set of section layouts and content styles.
This includes more options for testimonials, services, FAQs, hero sections, and similar page areas. The added variety can help generated pages better match different industries, audiences, and use cases.
- More layout variants across section types
- More variety in generated page structure and presentation
- Better fit out of the box for different business needs
Why It Matters
These improvements make AI Pages more flexible during editing. You can preview design choices faster, fine-tune visuals one image at a time, and start from a wider range of page layouts.
Custom Date Reminders Now Support More CRM Record Types
Released April 21, 2026
Custom date reminders can now evaluate date fields on more record types in SMBcrm workflows. This gives teams more flexibility to build date-based automation across their CRM without workarounds.
What Changed
Custom date reminders were previously limited to contact date fields in contact-based workflows. With this update, supported date fields now include:
- Opportunity date fields in contact-based workflows
- Custom object date fields in custom object-based workflows
- Company date fields in company-based workflows
This makes it easier to run reminders and follow-up automations based on the record that matters most to the workflow.
How It Works
A custom date reminder trigger now checks the supported date field for the workflow type you are using.
- In contact-based workflows, the trigger can evaluate opportunity date fields
- In custom object-based workflows, the trigger reads date fields from that custom object
- In company-based workflows, the trigger reads date fields from the company record
When the reminder timing matches, the workflow starts as configured.
For teams using Automation with their CRM, this expands the range of date-driven processes you can automate.
How to Use It
- Create or open a workflow for contacts, custom objects, or companies
- Add a custom date reminder trigger
- Choose a supported date field for that workflow type
- Set the workflow to run before, on, or after that date
Why It Matters
This update removes a previous restriction that limited custom date reminders to contact date fields in contact-based workflows. You can now automate follow-ups and reminders across more parts of your CRM with less manual setup.
Examples
- Trigger a contact-based workflow from an opportunity close date to remind a contact before a renewal conversation
- Trigger a custom object-based workflow from an expiry date to send an internal reminder when a record needs attention
Delete Schema Markup from Website and Funnel Pages
Released April 21, 2026
You can now remove schema markup directly from pages in the Website and Funnel Builder. This update makes it easier to clean up outdated, incorrect, or unwanted structured data without starting over.
What changed
You can now delete schema markup in three ways:
- Form View
- JSON View
- AI chat
You can remove a single schema or clear all schema markup from a page. Before deletion is completed, the builder shows a confirmation message.
Where it works
This applies to page editing in both the Website Builder and Funnel Builder.
How to remove schema markup
Delete from Form View
- Open the page in the Website or Funnel Builder.
- Go to SEO & AI search optimization and open Schema Markup.
- In Form View, use the menu next to a schema to delete that item.
- To remove all schema markup, delete each schema from the list, then click Validate & Save.
- Confirm the deletion when prompted.
Delete from JSON View
- Open Schema Markup and switch to JSON View.
- Remove the JSON-LD code from the editor.
- Click Validate & Save.
- Confirm the deletion when prompted.
Delete with AI chat
- Open the available AI chat inside the builder.
- Ask it to remove schema markup from the current page, such as deleting all schema markup or removing a specific schema type.
- Review the result shown in chat.
Recovery option
If schema markup is removed by mistake, you can recover it through page version history:
- Open the page in the builder.
- Restore a previous version that still contains the schema markup.
- Copy the JSON-LD from that version.
- Return to the latest page version, paste the script back into JSON View, then save and publish.
Good to know
- Deletion only affects the page you are editing.
- Removed schema markup can be recovered through version history.
- Changes appear in preview after saving, and go live when the page is published.
Lesson Experience Upgrades for Courses
Released April 21, 2026
SMBcrm has updated the lesson experience in courses to make progression more seamless for learners and easier to manage for course creators.
For teams using Memberships & Education, this update improves how video and text lessons advance, how completion is tracked, and how course-level lesson settings can be applied.
Video Lesson Improvements
Video lessons now auto-play when a lesson opens.
An Up Next overlay has also been added inside the video player. It:
- displays the next lesson thumbnail
- shows a countdown before auto-play starts
- includes a Play Now action to skip the wait
Video lesson completion has also been updated. Lessons are now marked complete when enough progress has been made and the learner moves forward.
Text Lesson Completion Improvements
Text lessons can now be completed automatically when a learner navigates forward.
This reduces the need to manually select Mark as Complete during course progression.
Course-Level Learner Experience Controls
Course creators now have additional settings to shape the learning experience, including:
- auto-start first lesson
- auto-play next lesson
- auto-complete lessons
- apply settings across all courses
What This Changes
For learners, these updates reduce friction between lessons and create a more continuous course experience.
For course creators, they add more control over how lessons progress and make it easier to scale settings across multiple courses.
Coming Soon
SMBcrm has also indicated two planned additions:
- custom lesson completion thresholds
- fully automated course progression
Locale-Based Currency Formatting for Store Elements
Released April 21, 2026
SMBcrm now supports locale-based currency formatting for store elements, making prices easier to read for shoppers in different regions.
Prices can display in regionally familiar formats such as $1,000.00 or €1.000,00 instead of plain numbers. This applies to product listing pages, product detail pages, cart, checkout, and other store elements.
What Changed
- You can enable Locale-Based Currency Formatting in Store Settings.
- Price formatting is determined by page language and the visitor’s location.
- The system automatically handles separators, decimals, and currency symbol placement.
- If locale data is unavailable, formatting defaults to en-US.
How to Use It
- Open Store Settings in your ecommerce store.
- Turn on Locale-Based Currency Formatting.
- In the builder, open SEO & AI Search Optimization settings.
- Set the Page Language under the language section.
- Save and publish your changes.
Important Notes
- This feature changes formatting only. It does not convert prices using exchange rates.
- Displayed formatting is based on the visitor’s location, not the store’s location.
- The update is intended to improve price clarity and consistency for international shoppers.
Security Update for Inactive API Keys and Tokens
Released April 21, 2026
SMBcrm has updated how legacy v1 API keys are managed to reduce the risk of unused credentials and support the transition to Private Integration Tokens.
Legacy v1 API keys that have been inactive for more than 90 days are now automatically marked as expired. Active keys are not affected.
What changed
- Legacy v1 API keys inactive for more than 90 days are automatically marked as expired
- This applies to both agency-level and account-level keys
- Expired keys can be made usable again by rotating or refreshing them
- New v1 API key creation is no longer supported
- Email notifications are sent for keys nearing expiration
- Private Integration Tokens should be used for new credentials going forward
Why it matters
This change helps reduce security risk from stale credentials and encourages a more consistent approach for new integrations.
If you still rely on an expired legacy key, you can restore access by rotating or refreshing that key.
Services Calendar Improvements for Booking, Pricing, and AI
Released April 21, 2026
SMBcrm has updated the Services Calendar experience to make booking clearer and more reliable. These changes improve pricing visibility, service selection, location handling, and AI response accuracy.
Pricing and booking summary updates
Several fixes improve how pricing appears during booking:
- Staff-specific pricing appears only when there is an added charge.
- Booking summaries are formatted more clearly for easier review.
- When a service variation is selected, the base service price is no longer shown again unnecessarily.
- Extra staff charges are highlighted more clearly.
- Staff override pricing now calculates totals more accurately.
AI response improvements
SMBcrm also resolved service knowledge base issues that could cause inaccurate AI responses. This improves reliability for teams using AI features alongside booking workflows.
Booking flow and selection fixes
The booking experience now includes several behavior fixes:
- Default variation selection works more consistently.
- Multi-service selection behaves more smoothly.
- The staff selection toggle now works correctly.
- Booking links now support add-ons.
These updates support a smoother customer experience across service scheduling and communication tools.
Account location handling
Location prompts now better match account setup:
- If multi-location is disabled, customers are no longer asked to choose a location, and it does not appear in the booking summary.
- If only one location is set up, customers are not asked to choose it during booking, but it still appears in the summary for clarity.
Why it matters
Together, these changes help reduce pricing confusion, improve booking accuracy, and make AI-assisted service interactions more dependable.

Released April 21, 2026
SMBcrm has updated the default theme for forms, surveys, and quizzes to provide a cleaner starting point and a more consistent builder experience. This refresh improves the look of common components while making finished assets feel more polished with less manual styling.

Date placeholders now update automatically based on the selected format, and signature fields support custom placeholder text.
More consistent theme behavior
Images, labels, placeholders, footer colors, and chips now better match the overall theme.
How to access it
Open the Form, Survey, or Quiz Builder and create a new item or edit an existing one. These updates appear across the default theme and supported components, including file upload, collect payment, date picker, signature, checkboxes, and radio buttons.
Why it matters
This update gives forms, surveys, and quizzes a more modern default appearance without as much manual styling. It also improves clarity for end users and gives you more control over how important components look and behave.
Opportunity Smart Lists
Released April 22, 2026
Opportunity Smart Lists make it easier to save and reuse the opportunity views your team uses most. Instead of rebuilding filters, sorting, and visible fields each time, you can save a view once and open it again whenever you need it.
This update is part of CRM & Sales and is currently available in Labs.
What changed
You can now create Smart Lists inside Opportunities and use them in either Board view or List view.
With Smart Lists, you can:
- Save advanced filters, sort order, and visible fields
- Create views for all pipelines or only selected pipelines
- Set a Smart List as the default view for specific pipelines
- Duplicate an existing Smart List to create a variation faster
- Export Smart List results to CSV
- Share Smart Lists with admins only, all users, or selected users
- Give shared users view or edit access
- Copy a direct link to a Smart List
- Save changes back to the same Smart List or save them as a new one
- Use the Manage Smart Lists page to see all Smart Lists in one place
How it works
To use this feature:
- Turn on Opportunity Smartlists – Views & Defaults in Labs for your account.
- Open Opportunities.
- Create a Smart List in Board view or List view.
- Apply the filters, sorting, and fields you want.
- Choose which pipelines the Smart List should appear in.
- Name the Smart List and save it.
- Reopen it anytime to edit, share, export, or duplicate it.
You can also use Customize list to manage settings such as where the Smart List appears, whether it is the default view, sharing and permissions, export, duplication, and deletion.
Why it matters
Smart Lists reduce repetitive setup for teams working in Opportunities and make it easier to return to the exact views you rely on most.
They also help standardize pipeline views across users, make important filtered views easier to share, and give admins more control over how opportunity views are organized.
Notes
- This feature is currently available in Labs
- By default, Smart Lists are shared with admins only
- Users with edit access can also change sharing permissions
- Default views apply at the account level for all users, not per individual user
Printful Shipping Profiles Now Auto-Configure for Live Rates
Released April 22, 2026
SMBcrm now automatically creates and manages the shipping profile required for the Printful integration to show live shipping rates at checkout.
This update reduces manual setup and helps avoid configuration mistakes that can prevent shipping rates from appearing in your store. It is part of our ongoing improvements to Payments & Commerce.
What changed
- A dedicated Printful shipping profile is automatically created for live checkout rates.
- New accounts get the profile pre-configured during setup.
- Existing accounts can trigger automatic shipping setup when a synced Printful product is updated.
- If products are removed from the Printful shipping profile, shipping rates will no longer calculate for those items.
- If the profile is deleted, it will not be recreated automatically. Reinstalling the integration is required to restore it.
How to use it
For new accounts
- Install and connect the Printful app from the Marketplace.
- Sync your Printful products with your store.
- SMBcrm automatically creates and configures the required shipping profile.
- Keep products assigned to the Printful profile so live shipping rates remain available at checkout.
For existing accounts
- Make an update to any product in your Printful store.
- That update will automatically create the shipping profile and enable live rates.
- Keep products assigned to the Printful profile so shipping rates continue to work.
Important notes
- The Printful shipping profile is system-generated for correct functionality.
- Manual edits are not recommended.
- Removing products from the profile disables shipping rate calculation for those products.
- Deleting the profile requires a full reinstall of the integration to restore functionality.
Safer Store Deletion Behavior
Released April 23, 2026
Deleting a store now removes only the pages tied to that store, helping prevent accidental changes to the rest of your website.
What changed
Store deletion is now limited to store-related pages only. This includes pages such as:
- Products List
- Product Details
- Cart
- Checkout
- Thank You
Your main website pages, such as Home or About, are not affected when you delete a store.
This behavior now works the same way whether you delete a store from the Stores list or from Store Settings.
What stays the same
Deleting a website from the Websites section still removes the entire website, including any associated store pages.
This keeps a clear distinction between deleting a store and deleting a website.
Why this matters
This update reduces the risk of deleting an entire website when the goal is only to remove a store. The confirmation message has also been updated to make the outcome clearer before you proceed.
How to delete a store
- Go to Stores and choose the store you want to delete.
- Open the three-dot menu or go to Store Settings.
- Click Delete Store.
- Type DELETE in the confirmation window and continue.
Key points
- Only store pages are deleted
- Main website pages remain intact
- The behavior is consistent across store deletion entry points
- To remove an entire website, use Delete Website under Website Settings

What Changed

When enabled:

Email Verification in Workflows
Released April 27, 2026
You can now verify a contact’s email address inside workflows before sending emails. This helps reduce bounces, improve deliverability, and protect sender reputation.
What Changed
A new Verify Email action can be added to workflows to check whether an email address is valid, risky, or invalid before the workflow continues.
This gives you more control over how automation handles email sends and helps keep your contact data cleaner.
How It Works
Place the Verify Email action before any email step in your workflow. Based on the result, you can decide whether to continue, branch, or stop the workflow.
This can help improve communication outcomes by preventing sends to low-quality addresses.
Why It Matters
Sending emails to invalid or risky addresses can lead to bounces and failed deliveries. Verifying emails inside the workflow helps you:
- reduce bounces
- improve deliverability

Mistral AI Workflow Actions
Released April 28, 2026
SMBcrm workflows can now use Mistral AI actions for chat completion, embeddings, and image analysis. This helps teams automate multilingual replies, semantic search, and structured data extraction inside workflows.
This update extends Automation with AI steps that can use your own Mistral API key. Outputs are available as workflow variables, so you can use them in later steps across AI features, messaging, data updates, and conditional logic.
What’s Included
The integration includes three workflow actions:
- Create Chat Completion for text generation
- Create Embeddings to turn text into a 1024-dimension vector for semantic search, classification, or clustering
- Analyze Image (Vision) to send an image and prompt to a vision-capable model and receive a structured natural-language response
All three actions are released as Beta.
Why It Matters
These actions make it easier to bring AI into automations without sending work to a separate tool.
Common use cases include:
- Drafting replies in a contact’s preferred language
- Matching inbound questions to the closest FAQ or knowledge base content
- Extracting structured data from receipts, IDs, screenshots, charts, and product photos
- Passing AI outputs into email, SMS, internal notifications, custom fields, or later workflow branches
Setup
Before using any Mistral AI action, connect the integration with your Mistral API key.
You can connect it in either place:
- Workflow Builder by adding a Mistral AI action and selecting Connect Now
- Settings > Integrations by locating Mistral AI and saving your API key
Action Details
Create Chat Completion
Use this action to generate text from a prompt. You can include workflow variables in both the system prompt and the main prompt.
Typical uses include:
- multilingual customer replies
- AI-assisted drafting for follow-up messages
- generating structured or formatted text for downstream steps
You can choose from supported Mistral model families in the action settings and adjust options such as temperature and max tokens when available.
Create Embeddings
This action converts text into a 1024-dimension vector.
It can support:
- semantic FAQ matching
- retrieval workflows
- text classification
- clustering and vector database use cases
Analyze Image (Vision)
Use this action to send an image URL and prompt to a vision-capable model.
It can help with:
- receipt parsing
- document and ID extraction
- interpreting screenshots or charts
- processing image-based intake flows
Current Limits
There are no triggers for this integration in this release. Mistral AI is action-only for now, which means workflows can call Mistral models from a step, but cannot start from a Mistral event.
Notes for Use
- These actions require your own Mistral API key.
- Mistral usage is billed through your Mistral account.
- All three actions use premium workflow actions at the standard automation rate.
- Action outputs are exposed as workflow variables rather than stored as separate records by default.
- Errors and timeouts appear in the workflow execution log.
Custom Product Detail Pages Now Inherit Default Design
Released April 29, 2026
Creating a Custom Product Detail Page is now faster in the Store Builder. Instead of starting from a blank page, a new Custom Product Detail Page automatically copies the design of the existing default product detail page.
This gives you a structured layout to edit right away while keeping the custom page independent from the default design.
What Changed
When you enable Create Custom Product Details Page, SMBcrm now creates the page using the current default product detail page layout.
The copied design can include:
- Section structure and layout
- Store elements such as media, title, price, variants, and calls to action
- Styling such as fonts, colors, spacing, borders, and shadows
- Desktop and mobile visibility rules
How Custom Pages Work
Custom Product Detail Pages remain fully editable after creation. The inherited design is a one-time copy, not a live sync.
That means:
- Changes to the default product detail page do not affect existing Custom Product Detail Pages
- Existing Custom Product Detail Pages are not changed by this update
- One Custom Product Detail Page can be assigned to multiple products
- The inherited design applies across all selected products
How to Use It
- Go to Store Builder and create a new page.
- Enable Create Custom Product Details Page where available.
- Select the product or products to assign.
- Open the generated page with the inherited design.
- Customize the page and publish it.
In funnel-first flows, the custom product detail page option is hidden to keep that workflow simplified and consistent.
Key Notes
- The default product detail page remains unchanged after creating a custom page.
- Design inheritance happens only at creation.
- Existing custom pages are unaffected.
- Builder preview supports the inherited page design on desktop and mobile.
Add Notes to Custom Object Records with Workflows
Released April 30, 2026
SMBcrm workflows now support the Add Note action for custom objects. When a workflow runs for a custom object, it can automatically create a note on that custom object record.
What changed
Teams can use Automation to save updates, context, or important details directly on custom object records without manually returning to the record.
How to use it
- Open a custom object workflow.
- Add the Add Note action.
- Enter the note content.
- Save and publish the workflow.
Example
A consulting team can use a custom object workflow to add a note to a Project record when a milestone is completed.
Additional notes
- Custom object workflows now support the Add Note action.
- Support for note titles or color coding will be updated in a future release after native support is introduced in Custom Objects.
Add Notes Workflow Action Supports Titles and Colors
Released April 30, 2026
SMBcrm workflows can now create richer contact notes with an optional title and selected note color. Existing workflows continue to work because both fields are optional.
What Changed
The Add to Notes action in Automation now supports the same note title and color options available in the updated contact notes experience. This helps teams add context to workflow-created notes and organize them visually.
How to Use It
- Open a workflow and add or edit the Add to Notes action.
- Add a note title and note color as needed.
- Save and publish the workflow.
Additional Notes
- Existing notes are not affected by this update.
- Note title and note color are optional.
Certificate and Badge Editing Improvements
Released April 30, 2026
SMBcrm has introduced several improvements to make designing certificates and badges faster, more precise, and easier to use in Memberships & Education.
What changed
- Hover highlighting: Elements now highlight when you hover over them, making it easier to identify and select items on the canvas.
- Improved resize control: Elements resize from the edge or corner you drag, making layout adjustments more predictable.
- Keyboard shortcuts for text: Standard shortcuts are now supported for faster text editing:
- Ctrl/Cmd + B for bold
- Ctrl/Cmd + I for italic
- Ctrl/Cmd + U for underline
- Copy and paste from external tools: Content pasted from tools like Docs or OpenAI is handled with fewer formatting issues.
Why it matters
These updates help users design certificates and badges with better control over layouts and elements. They also reduce the time spent fixing formatting issues after pasting content from other tools.
Clearer Email Failure Messages in Conversations
Released April 30, 2026
SMBcrm now shows clearer error messages when emails fail in Conversations, helping users understand what went wrong without interrupting their workflow.
What Changed
Failed emails in Conversations now display clearer, user-friendly error messages. When an error includes a detail link, the link opens in a new tab so you can review it without losing your current view.
This update supports teams using SMBcrm communication tools to manage email conversations and follow up with contacts.
Why It Matters
- Understand why an email did not send more quickly.
- Review error details while keeping your current conversation open.
- Troubleshoot failed email messages with less disruption.
Conversation Message Details Now Show App Source
Released April 30, 2026
SMBcrm now makes it easier to identify which marketplace app or custom provider sent a message in Conversations. Message details can display the app name and app ID for messages sent through OAuth-connected marketplace apps.
What changed
Previously, it was not always clear which app sent a message, which could make troubleshooting harder. Now, when a message is sent through a marketplace app or custom provider, the message details can show:
- App name
- App ID
This gives teams more context when reviewing messages, managing connected integrations, or investigating message issues in SMBcrm communication tools.
How to view the app source
Open a conversation, select a message, and view the message details. If the message was sent through an OAuth-connected marketplace app, SMBcrm shows the app name and ID in the details panel.
Meeting Rooms Add Seamless Rejoin and Smarter Host Controls
Released April 30, 2026
Meeting Rooms in SMBcrm are now easier to manage during common disruptions such as browser refreshes, network drops, or permission issues. Sessions can stay active when a host disconnects unexpectedly, and hosts have clearer options for leaving or ending a meeting.
For teams using SMBcrm’s Memberships & Education tools, these improvements help keep live sessions and group conversations moving with fewer interruptions.
Seamless Rejoin for Uninterrupted Meetings
Meetings no longer end automatically when the host disconnects unintentionally. The host can rejoin the same session, while attendees remain connected without needing to restart or reconnect.
This helps reduce confusion during live meetings and keeps the session active when temporary technical issues occur.
Clearer End and Leave Controls
Hosts now have safer exit options:
- End Meeting for All ends the session for everyone.
- Leave prompts host reassignment before the current host exits.
These controls help prevent meetings from being left without a host and make it easier to hand off control when needed.
Automatic Host Restoration
When the original host returns, SMBcrm automatically restores that user’s host privileges. Any temporary host is moved back to participant status, so no manual reassignment is needed.
Why It Matters
These updates are designed for real meeting conditions where short interruptions can happen. Meeting Rooms can now better support continuous sessions, smoother host handoffs, and more reliable collaboration.
