Housecall Pro Workflow Actions and Triggers
SMBcrm Workflows now include expanded Housecall Pro support for field-service automation. The update adds nine triggers and fourteen actions across jobs, estimates, leads, customers, customer addresses, and job appointments.
What changed
The Housecall Pro integration now covers more of the service lifecycle inside SMBcrm Workflows. Teams can react to operational events in Housecall Pro and use workflow actions to create or retrieve related records.
Available triggers
All triggers use polling. Creation events poll every 5 minutes, while scheduling, completion, and cancellation events poll every 10 minutes.
- Job created: every 5 minutes
- Job scheduled: every 10 minutes

- Job canceled: every 10 minutes
- Estimate created: every 5 minutes

How to use it
- In Workflows, add a Housecall Pro trigger or action.
- Select Connect your account and paste your Housecall Pro API key.
- Generate the key in Housecall Pro under My Apps > Go to App Store > API Key Management, using Full Access.
- For triggers, optionally add filters by customer, tag, employee, or any captured field, then find new records to capture a sample payload.
- For actions, complete the required fields, test the action, then save and publish the workflow.
Authentication uses an API key. After connecting, users can select the appropriate connected account from the Connected Account dropdown.
Example workflow
A homeowner submits a request for a quote on a website. The workflow creates a Housecall Pro lead, notifies dispatch with the lead context, and tags the CRM contact.
When the office books an estimate visit, the Estimate scheduled trigger can send the customer a reminder with the technician’s ETA. After the technician completes the estimate, the Estimate finished trigger can send a review and approval link. Once approved, the workflow can create the job and continue through scheduling, completion, and post-service follow-up.
