Best CRM for Mortgage Brokers (2026): 5 Options Compared

A Realtor refers a buyer on Friday afternoon. By Monday, your team needs to know who called, whether the buyer booked a consultation, and what the referring agent can be told. A CRM for mortgage brokers should make those answers easy to find.

The best choice depends on where your process breaks down. Some brokerages need dependable inquiry follow-up. Others need mortgage campaigns, partner portals, or loan origination system (LOS) data feeding borrower updates. Those needs lead to different shortlists.

We compared five products using official sources accessed October 19, 2026. This is a comparison of documented capabilities and published pricing, not hands-on performance testing. SMBcrm publishes this guide and is one of the options. Best-fit judgments are our assessment; scenarios below are illustrative, not customer results. Prices are in USD and can change.

Pricing evidence and qualifications appear with each option below. A seat price alone does not describe the cost of running borrower communication.

Define the workflow before choosing a vendor

Start with the mortgage broker CRM workflow you want staff to follow. Record the original lead source separately from the referral partner, assign an owner, and give each inquiry a next action. Otherwise, an agent referral and a paid website lead can end up in the same undifferentiated list.

For an illustrative setup, use stages such as new inquiry, consultation booked, application started, processing, closed and long-term nurture. Agree on who may move a record and what each stage actually means. A CRM label should reflect a verified update from the responsible team or connected system.

The CRM can organize appointments, tasks, conversation history and follow-up. Keep the LOS responsible for origination records and approved loan milestones. Underwriting, lending decisions, servicing and sensitive document storage need their own appropriate systems and controls. None of the recommendations here makes SMBcrm a replacement for those functions.

SMBcrm: for configurable follow-up alongside your LOS

SMBcrm fits a brokerage that wants to build its inquiry and relationship process around contacts and pipelines and workflow automation. Its mortgage page documents consultation scheduling, reminder workflows and segmented referral-partner outreach. A practical starting point is an inquiry acknowledgment, an assigned callback task, and a booking reminder.

The tradeoff is configuration. You need to define your fields, stages, messages and ownership rules. We did not verify a native SMBcrm LOS integration for this guide. Treat any proposed connection as a separate technical requirement, including field mapping, permissions, error handling and ongoing support.

SMBcrm pricing lists Startup at $97/month for two users and Professional at $297/month with unlimited users. Annual totals are $970 and $2,970, billed upfront. Email, SMS, calls and other metered services can add charges; review the usage rates. Four guided onboarding sessions are included with Professional and available as a Startup add-on; onboarding details describe the support options.

BNTouch: for mortgage-specific campaigns and partner workflows

BNTouch is worth shortlisting when you want mortgage workflows already represented in the product. Its official pricing and feature list includes mortgage and partner pipeline automation, prebuilt campaigns, tasks, reminders and borrower/partner portals. It also lists LOS connections, but request a demonstration for your exact system and required fields.

The published rate is $165/month for one user or $95/user/month for 2–10 users. It includes 5,000 records per user, with additional records priced at $5 per 1,000. The published allowance is 100 SMS/MMS segments or voice minutes monthly; extras are $0.03 each. Confirm whether these share a pool and whether the allowance is per user or account.

Onboarding and setup are included. Standard plans are month-to-month; 12-month prepayment earns a thirteenth month. Larger accounts receive custom terms, and White Glove service is separately priced. Its record and communications allowances deserve attention if you plan to import a large past-client database.

Jungo: for mortgage workflows on Salesforce

Jungo’s pricing page documents a mortgage marketing library, lead intake forms and an Agent Portal. The Bundle adds LOS Sync, automated pipeline updates, lead distribution and SMS. That makes Jungo a useful candidate when Salesforce-based mortgage workflows and partner visibility matter more than a simple contact list.

The Mortgage App is listed at $96/user/month billed annually, with a $249 setup fee, or $119/user/month with a $299 setup fee. The Bundle is $125/user/month billed annually or $149/user/month, with a $299 setup fee. All contracts carry at least a one-year term, including monthly billing.

Budget for the package your workflow needs. The basic app and Bundle do not offer identical functionality, and integrations can require accounts with the partner services. Ask sales to itemize licensing, messaging allowances, partner subscriptions and implementation work. Confirm which loan milestones sync and how staff handle a failed update before relying on automated borrower messages.

Shape: for coordinated lead routing and communications

Shape’s mortgage platform describes mortgage pipelines, referral management and LOS connectivity. Its routing, workflow and communication tools make it a candidate for teams distributing inquiries across multiple loan officers.

The current Shape pricing page requests quotes rather than publishing a dollar rate. Core is priced per user; Complete includes five users; Enterprise is custom. Monthly and annual billing are offered. Calling, texting and email draw from a prepaid communications balance, so bundled features do not mean unlimited sending.

Onboarding is included, while Core can require add-ons for tools bundled into Complete. Have Shape price your actual user count, required mortgage connection and expected communication volume. Ask Shape to show how a lead is reassigned when its owner is unavailable. The important limitation to resolve is whether your quoted configuration covers that entire workflow without additional modules or manual handoffs.

Total Expert: for centrally managed sales and marketing

Total Expert targets financial institutions with customer insights, automation, sales productivity and marketing tools. Its Sales Center and Marketing Center make it worth evaluating for an organization that needs coordinated campaigns and a shared approach across producers. It also describes onboarding and professional services.

We did not verify a public subscription dollar rate on the reviewed official pages. Request a written quote covering users, modules, implementation, migration, integrations and communications or data charges. Ask for the contract term and renewal conditions rather than assuming a monthly subscription.

Our fit assessment favors organizations with someone responsible for rollout and campaign operations. A small brokerage should test whether the administrative work and quoted scope match its needs. Have the vendor show a borrower handoff and a partner campaign using your approval process; a broad platform demonstration alone will not establish operational fit.

Keep borrower data and outreach under deliberate control

For the Friday referral example, the CRM record might need contact details, referral source, assigned owner and next callback. It does not need a tax return pasted into a conversation note. Keep sensitive files in your approved document system and send borrowers to the appropriate protected upload process.

The FTC’s Safeguards Rule guidance includes mortgage brokers among the types of financial institutions that may be covered. Have your compliance lead assess applicability and vendor controls. Buying a CRM does not establish compliance.

Before enabling nurture, have that lead approve audience selection, consent evidence, opt-out handling and message content. A referral does not, by itself, establish permission for every marketing channel. Test suppression with sample records before importing a live audience. These are setup questions for your team, not legal advice or a claim that any product automatically satisfies your obligations.

Build a shortlist with one repeatable demonstration

Choose two candidates based on your biggest operational gap, then give both vendors the same fictional borrower and referral partner. Ask them to demonstrate:

  1. Capturing the source and partner separately, assigning the inquiry, and scheduling a callback.
  2. Booking a consultation, handling a reschedule, and stopping obsolete reminders.
  3. Updating a borrower milestone from a verified source, including the failure path when a connection is unavailable.
  4. Scheduling a partner check-in and placing a past borrower into an approved nurture segment.
  5. Exporting records, reviewing access permissions, and removing a contact from outreach.

Get a first-year cost sheet: subscription, seats, setup, migration, integrations, messaging, record limits and staff administration. For SMBcrm, prove the configurable follow-up first. For mortgage-specific platforms, prove the exact LOS connection and package inclusions. Choose the system your team can maintain after onboarding, with clear ownership for every borrower update.
