Know who owns it. See where it stands.
Keep the brief, deadline, customer record, and discussion with the task. Choose the view that helps your team decide what to work on next.
Enough context to pick up the work
An owner and a deadline
Each task has one assignee, a priority, and dates. Use a single due date or a start-to-finish range. Assign separate subtasks when several people need to contribute.
The brief and the conversation
Use rich text descriptions for instructions and comments for discussion. Mention teammates, reply to updates, and keep decisions attached to the task.
The customer behind the request
Link related CRM records from the task’s Associated objects section. Share the task’s direct link with teammates who already have access.
Run the board. Review the details.
Kanban view
See tasks as cards grouped into columns. Drag a card to another status to move work forward, and spot the stages where tasks are piling up.
Customize the statuses in your Space to reflect your process, such as Ready, In progress, In review, and Completed.
List view
Compare task fields in rows. Add, reorder, and resize columns to review dates, owners, and priorities together.
Select several tasks for supported bulk actions, including changing their status or deleting them.
Save the question you ask every morning
Build a view for open tasks assigned to you, upcoming deadlines, or work waiting for review. Give it a name, choose the fields, and save the filters and sorting.
Kanban smart lists also let you choose grouping and how subtasks appear. Card size and some layout preferences apply across your task lists, rather than being unique to one saved view.
Example views to set up
My open work
Filter by your assignment and active statuses.
Due this week
Filter the due date and sort the earliest deadlines first.
Waiting for review
Filter for your team’s review status.
Capture the details you actually use
Store a client reference as text, a budget as a monetary field, or a delivery type as a dropdown. Define shared fields higher in the hierarchy and project-specific fields on the List.
Keep sensitive work with the right people
Restrict a single List or an entire Space. Share access before assigning work, and check parent permissions when someone cannot see a project.
Common questions
Can different Lists have different custom fields?
Yes. Add fields at the Space, Folder, or List level. Higher-level fields are inherited below them, while a field created for one List stays specific to that List. Task custom fields cannot currently be marked as required.
Does a smart list copy or move tasks?
No. It is a saved view of existing tasks. You can keep several List and Kanban smart lists for the same work, each with its own fields, filters, and sorting.
Can one task appear in more than one List?
Yes. Adding a task to another List makes the same task visible there. It keeps the status workflow of its home List. Moving a task relocates it instead, and may require a status mapping if the destination Space uses different statuses.
Can I give someone view-only access to a private project?
The current sharing controls select who has access, without a separate view-only level per person. A child item cannot be more public than its parent: a private Space or Folder also restricts the work below it.
