AI Workflow Analytics in the Workflow Builder
SMBcrm’s AI Assistant in workflows can now answer analytics, performance, and discovery questions in plain language. It reads live data from your account and returns structured answers without leaving the workflow canvas.
Use it alongside SMBcrm automation and AI features to understand how workflows are performing, find specific workflows, and investigate contact movement through each step.
What you can ask
Performance insights
Ask how a workflow is performing over a selected period. The Assistant can return entries, compare results with the prior period, break down statuses such as completed, failed, waiting, and skipped, and show completion rate, goal conversions, drop-off points, trends by week, day, or hour, and how many contacts are currently at each step.

Email and SMS results
Pull delivery and engagement metrics for an email or SMS step, including delivered, opened, clicked, replied, bounced, unsubscribed, opted out, and more.

Branch and path insights
For if/else and split steps, ask what percentage of contacts took each branch.

Contact tracking
Ask whether a contact completed, failed, or is still active in a workflow. You can also ask when they entered, how long they took, where they are now, who entered last week, or which contacts failed at a specific step.

Trigger diagnostics
Check whether a trigger is firing, what percentage of fires qualified, and the top reasons contacts are rejected. You can inspect a single trigger fire to compare the value checked against the expected value.
Workflow search and version history
Search workflows by name, status, tags, included triggers or actions, or who last edited them. You can ask questions such as “which workflows use a Wait step?” or “which use the Invoice Paid tag?” and get an answer from across your workflows.
You can also ask who last edited a workflow and how many versions exist.

How to use it
Open the AI Assistant in any workflow and ask your question. No setup is required.
Built for read-only answers
When answering analytics and discovery questions, the Assistant only reads workflow data and does not change your workflows. Time periods such as “last 7 days” use your account timezone. If there is no data, it says so and suggests what to check.
Answers lead with key figures, compare against the previous period when applicable, and end with suggested next steps.
Why it matters
Workflow performance questions that previously required digging through execution logs can now be answered in plain language from the workflow canvas. This helps you connect workflow building with performance review and troubleshooting.
