Proactive Email Deliverability Protection

SMBcrm has introduced enhanced ESP block monitoring with progressive enforcement to protect your email deliverability. When block rates exceed acceptable thresholds, the platform now takes graduated action to prevent lasting damage to your sender reputation.

What’s New

Account-Level Monitoring with Warning Notifications

When your account surpasses acceptable ESP block thresholds, SMBcrm sends a warning notification indicating that email sending may face temporary suspension if issues persist. This gives you time to take corrective action before any disruption occurs.

Temporary Sending Suspensions

If elevated block activity continues after a warning, email sending is temporarily suspended based on violation history:

  • First suspension — 12-hour temporary halt
  • Repeated violations — 24-hour temporary halt

Potential Permanent Suspension

Accounts experiencing two suspension occurrences may eventually face permanent email sending suspension in a future enforcement phase.

Why This Matters

High ESP block volumes create serious deliverability consequences that affect your entire email program:

  • Sender reputation deterioration across mailbox providers
  • Increased spam folder placement for your messages
  • Mailbox provider throttling that slows delivery
  • Domain or IP blacklisting that can take weeks to resolve
  • Shared infrastructure impact that affects platform reliability for all users

This update protects your inbox placement, ensures compliance with major providers like Gmail, Yahoo, and Outlook, and prevents high-risk sending patterns from degrading the platform for other SMBcrm users.

What You Should Do

If you receive a warning notification, take these steps promptly:

  • Verify clear opt-in — Confirm contacts have explicitly opted in and are actively engaging with your emails
  • Clean your lists — Remove or suppress contacts that consistently bounce, unsubscribe, or show no engagement
  • Maintain consistent volume — Avoid sudden spikes in sending volume that trigger provider scrutiny
  • Review content and authentication — Ensure your message content follows best practices and your email authentication (SPF, DKIM, DMARC) is properly configured
